Protect the logins to dozens of client practices, not just your own office

Medical Billing Companies IT Services

A medical billing company holds the keys to other people's practices: logins to client EHRs, clearinghouse accounts, payer portals and bank lockbox reports, often for dozens of providers at once.

At a glance

One compromised biller can expose every client they touch, and your clients' contracts, BAAs and security questionnaires assume you have that under control.

We run managed IT and cybersecurity for billing, coding and revenue cycle management companies, including fully remote teams.

That covers credential vaulting for client systems, managed devices for billers and coders, client-by-client access separation and the documentation your practices and their auditors ask for.

IT that keeps claims going out, client logins locked, remits posting.

Managed IT for billing and RCM companies that carry the access, and the risk, of every client they serve.

Medical billing IT

You hold the keys to every client's revenue

Billing companies sit in the middle of healthcare's money flow. Charges come in from client EHRs, claims go out through clearinghouses, remits and denials come back, and payments get posted. Every step runs through someone else's system using credentials your team holds. Here's what that means and how we protect it.

01 · The pressure

Claims out, remits in, for every client

Each morning your billers log into a dozen client EHRs to pull charges, scrub claims and push batches to the clearinghouse. Coders work charts. A posting team reconciles 835 remits against deposits. Denial specialists chase payers by portal and phone. If your systems go down, client cash flow stops with them, and after the 2024 attack that froze a major clearinghouse for weeks, every practice you serve knows exactly how much that hurts.

  • Logins to many client EHRs and portals
  • Claim batches and remits moving daily
  • Client cash flow depends on your uptime

02 · How it breaks

Credential sprawl across every client system

Most billing company incidents start with credentials. Passwords for client EHRs kept in a spreadsheet or browser. A shared login to a payer portal used by five people. A coder working from a personal laptop at home. A phished email account used to send a client a fake banking change for their lockbox. A biller who left last month but whose access to three practices nobody revoked, because no one had a list of where they had accounts.

  • Client passwords in spreadsheets and browsers
  • Shared payer portal logins
  • Access never revoked when billers leave

03 · What we change

A vault, a map and managed devices

We move every client system credential into an enterprise password vault with per-client folders, MFA and access logging, so billers use credentials without ever seeing or copying them. Billers and coders work on managed, encrypted devices or virtual desktops. We build an access map of who can reach which client and automate removal when someone leaves. Email gets impersonation protection, and endpoints get managed detection and response with 24/7 SOC monitoring.

  • Per-client credential vault with logging
  • Managed devices or virtual desktops
  • Access map tied to offboarding

04 · The after

A security story that wins and keeps clients

When a prospective practice sends a vendor questionnaire, you answer it in a day with real evidence. When a client asks who on your team can reach their EHR, you pull a report instead of polling staff. Offboarding a biller is one action, not a scramble across portals. And if a client suffers its own incident, you can show your access was controlled and logged, which matters a great deal to their counsel and yours.

  • Vendor questionnaires answered with evidence
  • Per-client access reports on request
  • One-step offboarding across every client

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Client Credential Vaulting

We deploy an enterprise password manager with a folder per client, MFA on the vault and logging of every credential use. Billers can fill logins without viewing passwords, and access is granted by client assignment. When a client relationship ends, their folder is archived and access removed in one step, with a record you can share with that client.

Biller & Coder Device Management

Remote and in-office billers and coders get managed laptops with encryption, endpoint detection, patching and remote wipe, or a virtual desktop when contractors use their own hardware. Conditional access ensures client systems and your billing platform are only reachable from devices you manage, which stops the home-PC problem cold.

Client Access Mapping

We build and maintain a map of which staff can reach which client EHRs, clearinghouse accounts and payer portals. It feeds your onboarding and offboarding checklist, supports quarterly access reviews and gives you a ready answer when a practice asks who touches their data. It also shows where shared logins still need to be replaced.

Payment & Banking Fraud Controls

Billing companies are targets for fake bank-change requests aimed at your clients' deposits and your own payroll. We add email impersonation protection, external sender banners and lookalike domain monitoring, and help you write a call-back verification procedure for any change to remittance or deposit details. If you take patient payments by phone, we scope those systems for PCI DSS 4.0.

Clearinghouse & EDI Connectivity

Claims and remits move as X12 837 and 835 files through clearinghouse portals, SFTP connections and APIs. We secure the accounts and service credentials behind those connections, monitor them for failures and keep backup paths documented. If a clearinghouse goes down, you have a tested plan for switching or holding batches without losing track of what was sent.

Business Associate Documentation

As a HIPAA business associate, you need your own Security Rule risk analysis, policies and incident response plan, plus evidence for client BAAs. We help produce and maintain that documentation and can support a SOC 2 aligned control set if clients start asking for it. Breach notification decisions sit with your counsel and your clients' counsel.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

One Compromise Doesn't Become Twenty

Vaulted credentials, managed devices and per-client access mean a single phished biller can't hand an attacker the keys to every practice you serve. The damage stays contained to what that person could reach, and you can prove exactly what that was.

Faster Wins in Sales Cycles

Practices and health systems vet their billing partners closely now. Having a current risk analysis, access reports and documented controls ready turns a security questionnaire from a deal-stalling hurdle into a reason to choose you over the next vendor.

Clean Offboarding Every Time

Billing teams have real turnover. With an access map and automated deprovisioning, departing staff lose access to every client system on their last day, and you keep a dated record showing it was done if a client ever asks.

Continuity When Partners Fail

Your clients' revenue depends on your ability to keep working when a clearinghouse or payer portal has an outage. Documented backup paths and tested recovery for your own systems keep cash moving when someone else's platform stops.

Our Process

1
List every client, the systems your team logs into for each one and how those credentials are stored and shared today.
2
Inventory staff, contractors and devices, flagging personal machines, shared logins and accounts for people who no longer work with you.
3
Deploy the credential vault with per-client folders, migrate passwords out of spreadsheets and browsers, and turn on MFA everywhere it's offered.
4
Enroll devices or stand up virtual desktops, enforce conditional access and add email impersonation and banking-change protections.
5
Document your business associate risk analysis, incident response plan and access map, and align them with your client BAAs.
6
Run quarterly access reviews per client, monthly security reports and a yearly tabletop exercise built around a client-impacting incident.

Frequently Asked Questions

Are we really responsible for HIPAA if we're just doing billing?▼
Yes. A billing company that handles protected health information for providers is a HIPAA business associate. The Security Rule applies to you directly, so you need your own risk analysis, safeguards, policies and incident response, and you must report breaches to your covered entity clients under your BAAs. Your clients will also hold you to whatever their contracts say. We help you build and maintain the technical safeguards and documentation. Questions about contract terms and notification obligations belong with your counsel.
Our billers keep client passwords in a spreadsheet. What's the fix?▼
Move them into an enterprise password vault organized by client. Each biller gets access only to the clients they work, the vault requires MFA, and every credential use is logged. Browser autofill lets staff sign into client EHRs without seeing the password, so there's nothing to copy into a note. Where client systems support individual named accounts, we push for those instead of shared ones. The vault also becomes your record of where each person has access, which makes offboarding reliable.
Most of our team works from home. How do we secure that?▼
Start with the device. Billers and coders should work on company-managed laptops with encryption, endpoint detection and patching, or through a virtual desktop if they use their own computers. Conditional access then blocks your billing platform, email and vault from unmanaged devices. We also check home network basics, set screen lock policies and make sure printing at home is either disabled or controlled. That gives you the same baseline whether someone works in your office or three states away.
What should we do to prepare for another clearinghouse outage?▼
Document which clearinghouse each client uses, which payers can be reached directly and how you'd switch or hold claims if your primary went down for days. Keep enrollment paperwork for a secondary clearinghouse ready where clients agree to it. We secure and monitor your clearinghouse accounts, keep copies of submitted batches and remits so you can reconcile after an outage, and help you run a tabletop exercise so your team knows the plan before they need it.
Clients are asking for SOC 2. Can you help?▼
We can help you build and operate a SOC 2 aligned control environment: access management, change control, logging, vendor management, incident response and the evidence an auditor will want to see. The audit itself and the resulting report come from an independent CPA firm, and LayerLogix doesn't certify anyone. Many billing companies start with a strong HIPAA risk analysis and documented controls, which answers most client questionnaires, then move to a SOC 2 audit when contract size justifies it.
Do you work with offshore or overseas coding staff?▼
We support U.S.-based teams with U.S.-based engineers, and we can apply the same device and access controls to any workforce you employ. Some payer contracts, state Medicaid programs and client agreements restrict where PHI can be accessed or stored, so your counsel should review those terms before work moves overseas. Technically, we can enforce location-based access rules, require virtual desktops for specific groups and log access by region so you can show clients what the contract requires.
Do you provide Medical Billing Companies IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers medical billing companies IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Medical Billing Companies IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
