Keep pawn tickets, ID scans and loan records secure from counter to vault

Pawn Shops IT Services

A pawn shop is a lender, a retailer and a buyer of goods all at the counter, and every loan ticket ties a customer’s driver’s license scan, photo and thumbprint to a dated pledge record that police, regulators and the customer may all ask to see.

At a glance

When the pawn software or the network goes down, you can’t write loans, take renewals or file the transaction reports your jurisdiction requires.

We run IT and cybersecurity for single-store pawnbrokers and multi-store operators.

That covers pawn management software, counter workstations, ID scanners, camera networks, online sales listings and the FTC Safeguards Rule program that applies to pawnbrokers making loans. We support shops in Texas and nationwide.

IT that keeps loans writing, tickets on record, reports filed.

Security and support for pawnbrokers who hold customer IDs, pledge records and cash in the same small building.

Behind the pawn counter

Every pledge creates a record you have to defend

A customer brings in a chainsaw or a ring, your clerk scans their ID, photographs the item, writes the ticket and counts out cash. That ticket feeds renewals, forfeitures, inventory and the daily transaction upload to law enforcement. Months later, a detective or a customer may ask to see exactly what happened that afternoon.

01 · The pressure

Loans, renewals and reports all run through one system

Your pawn software holds every open loan, maturity date, customer ID scan and item photo. Clerks need it to write new loans, process renewals and pickups, and move forfeited goods to the sales floor or online listings. Police reporting pulls from the same records. When the system or internet fails on a Friday before payday, customers walk to the next shop, and missed transaction uploads become a conversation with your local department.

  • Pawn software holds every ID scan and ticket
  • Police transaction uploads can’t lapse
  • Busy counters can’t wait on a frozen PC

02 · How it breaks

Shared counter logins and a camera recorder online

Every clerk logs into the pawn software as the manager, so nobody can tell who voided a ticket or changed a loan amount. The camera recorder sits on the same network as the counter PCs with its default password and a port open to the internet. An old Windows PC in the back runs the ID scanner software. A fake supplier email phishes the owner’s mailbox and an attacker browses months of customer records.

  • One shared login hides who voided a ticket
  • Camera recorder exposed with a default password
  • Unpatched back-office PC running ID scan software

03 · What we change

Named clerks, separate networks and a written program

Each employee gets a personal login to the pawn software with permissions that match their job, so voids, loan edits and overrides carry a name. Cameras, alarm panels and guest Wi-Fi move onto separate network segments, with remote viewing through a secure app instead of an open port. Counter and office PCs get EDR, patching and backups. We help you document the Safeguards Rule program: risk assessment, MFA, encryption, vendor review and an incident plan.

  • Personal pawn software logins with set roles
  • Cameras and alarms isolated from counter PCs
  • Safeguards Rule program written and maintained

04 · The after

A detective calls and you pull the record in minutes

When law enforcement asks about an item, you have the ticket, the ID scan, the photo and the camera footage, and you know who wrote the loan. Inventory shrink investigations follow named audit trails instead of guesses. The owner stops worrying that a stolen laptop means stolen customer IDs, because devices are encrypted and backups exist. And when an examiner or insurer asks about your information security program, there’s a binder to hand them.

  • Footage, ticket and ID scan line up together
  • Audit trails name who changed a loan
  • A written security program ready for examiners

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Pawn Management Software Support

Your pawn software runs loans, layaways, buys, inventory and reporting. We keep the server or cloud connection stable, manage user accounts and roles, schedule updates around store hours, back up the database and coordinate with the software vendor when something breaks at the counter, so clerks aren’t on hold while customers wait.

FTC Safeguards Rule Program

Pawnbrokers that make loans are financial institutions under the FTC Safeguards Rule. We help your Qualified Individual complete the written risk assessment, turn on MFA for systems holding customer information, encrypt that data, review service providers, test the controls and prepare the annual report to the owner.

ID Capture and Customer Record Security

Driver’s license scans, customer photos and fingerprint captures are some of the most sensitive data a small business can hold. We secure the scanner and signature pad workstations, limit who can view or export customer profiles, encrypt local copies and make sure old exports aren’t sitting in a Downloads folder.

Police Transaction Reporting Uptime

Many jurisdictions require pawnbrokers to upload buy and pawn transactions to systems like LeadsOnline on a set schedule. We keep the upload path working, monitor the internet connection, set up a cellular backup line and alert you if a scheduled export fails so you can fix it before it becomes a compliance issue.

Camera and Alarm Network Isolation

Security cameras are your evidence for disputed transactions and theft. We move recorders, cameras and alarm panels onto their own network, change default passwords, close open ports, set up secure remote viewing and keep footage retention configured so the recording you need still exists when someone asks.

Online Sales and Marketplace Accounts

Forfeited inventory often sells on your website, eBay or other marketplaces. We secure those seller accounts with MFA and individual logins, protect the email addresses tied to payouts, and keep listing workstations patched so a hijacked marketplace account doesn’t redirect your sales proceeds or list fake items under your store’s name.

Clerks Keep Writing Loans

Stable counter PCs, a backup internet line and a pawn system that’s maintained on a schedule mean fewer lost customers during the busy days before paydays and holidays. When something does break, you call one number instead of three vendors.

Answers When Police Ask

Named logins, reliable transaction uploads and footage that’s actually retained give you a complete, defensible record when a detective calls about an item. That record protects your license and your reputation with the local department.

Less Internal Shrink

When every void, price override and loan edit carries a clerk’s name, the audit trail tells you what happened. Owners and district managers spend less time reconstructing a bad day and more time running stores.

A Program You Can Hand Over

Your Safeguards Rule program is written down, current and backed by real controls. Examiners, insurers and a future buyer of your store see a business that takes customer data seriously, and renewing your cyber insurance gets easier because the answers already exist.

Our Process

1
Visit or remotely survey each store to map counter PCs, ID scanners, cameras, alarm panels, network gear and every account tied to the pawn software.
2
Run the Safeguards Rule risk assessment with your Qualified Individual and list the gaps that matter most.
3
Give each clerk a personal pawn software login with role-based permissions and remove shared manager credentials.
4
Separate cameras, alarms and guest Wi-Fi from counter systems, close exposed ports and add a backup internet line.
5
Deploy EDR, patching, encryption and backups, then confirm police transaction uploads run and alert on failure.
6
Document the program, train staff on ID data handling and phishing, and review access and controls each quarter.

Frequently Asked Questions

Does the FTC Safeguards Rule really apply to a pawn shop?▼
If you make pawn loans, yes. Pawn loans are consumer credit, which puts a pawnbroker in the FTC’s definition of a non-bank financial institution. The Safeguards Rule requires a written information security program, a designated Qualified Individual, a risk assessment, MFA for anyone accessing customer information, encryption, service provider oversight, staff training, an incident response plan and an annual written report. Certain security events also have to be reported to the FTC. Your counsel confirms how it applies to your stores; we build and document the controls.
Why does it matter which clerk is logged into the pawn software?▼
Because the pawn ticket is a legal record. If everyone uses the manager login, you can’t prove who wrote a loan, who voided a ticket or who changed a forfeiture date. That hurts you in shrink investigations, customer disputes and police inquiries. Personal logins also let you limit what each role can do, like restricting voids and overrides to managers. Most pawn software supports this; it just has to be set up and kept current as staff turn over.
Our camera system is on the internet so I can watch from home. Is that safe?▼
Only if it was set up carefully, and most aren’t. Many recorders are reachable through an open port with a default or weak password, and attackers scan for exactly that. A compromised recorder can show criminals your store layout or become a way into the network your counter PCs share. We put cameras on their own network segment, change credentials, update firmware and give you remote viewing through the manufacturer’s secure app or a VPN, so you keep watching without the exposure.
What happens if our internet goes down and we can’t upload police reports?▼
Rules vary by city, county and state, so check your local requirements with counsel. Practically, the fix is to keep the upload path from failing. We add a cellular backup internet line that takes over automatically, monitor the primary connection, and set alerts if a scheduled transaction export to LeadsOnline or your local system doesn’t complete. If there’s an extended outage, you’ll know right away and can follow whatever catch-up process your jurisdiction allows.
Do anti-money-laundering rules affect a pawn shop’s IT?▼
Some can. Pawnbrokers that buy and sell enough jewelry, precious metals or stones may meet FinCEN’s definition of a dealer and need an anti-money-laundering program, and large cash transactions trigger IRS Form 8300 reporting. Your compliance advisor decides what applies. On the IT side, we make sure the records those programs depend on, like customer IDs, transaction histories and filed reports, are retained, backed up and protected from tampering or deletion.
Can you manage several pawn stores from one place?▼
Yes. We standardize counter PCs, network equipment and security settings across stores so each location behaves the same, and we manage them remotely through U.S.-based engineers. New store openings follow a checklist. For hardware swaps or cabling, we work hands-on near our offices or dispatch a vetted local technician directed by our engineer. District managers get one view of which stores have issues, and a single policy change reaches every location at once.
Do you provide Pawn Shops IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers pawn shops IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Pawn Shops IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
