Frequently Asked Questions

Is Nextcloud secure enough for sensitive business data?
Yes, when it is hardened properly. Nextcloud supports enforced two-factor auth, hardware security keys, brute-force and anomalous-login protection, server-side and end-to-end encryption, and rule-based file access control. The important honesty: security depends entirely on the deployment. A default install missing fail2ban, TLS hardening, and correct data-directory placement is not secure. That hardening is precisely what we deliver and document.
How does the cost really compare to Microsoft 365 or Google Workspace?
SaaS is per-user-per-month forever, with Microsoft 365 Business Premium around $22/user/month on annual billing in 2026 before Copilot or compliance add-ons push the effective regulated-org cost higher. Nextcloud has no per-seat license; you pay for infrastructure plus management instead. Savings grow with headcount because infrastructure scales on resource use, not seats. The honest flip side: for very small teams, roughly under 15 to 25 users, SaaS is usually cheaper and simpler once you price in real management and backups. Can Nextcloud really replace Microsoft Office?
For most day-to-day work, yes. Collabora, OnlyOffice, and the newer Euro-Office engine give you real-time co-editing of documents, spreadsheets, and presentations in the browser. Being honest: these are LibreOffice-class or comparable engines, not Microsoft's own, so complex Excel macros, advanced pivot tables, and pixel-perfect PowerPoint can lose fidelity, and it is not a drop-in for the full desktop Office suite. We pick the engine that best matches your files, OnlyOffice for MS-heavy shops, Collabora or Euro-Office for open-standards and sovereignty.
Should we run it on-premises or hosted?
Both are valid and we support both. On-premises or a trusted local/regional cloud gives you maximum sovereignty and control, which is the whole point for regulated data. Provider-hosted is more convenient but trades away some of that control. We help you choose based on your compliance needs, IT footprint, and disaster-recovery requirements, and we can architect a self-hosted setup with proper backups so uptime does not depend on a single box.
Does this help with HIPAA or CMMC/CUI compliance?
It can, with the right honesty. Nextcloud is compliance-capable and aligns with HIPAA, GDPR, and other frameworks, and because the vendor has no access to your data the data-processor burden is reduced. But Nextcloud is not HIPAA- or CMMC-certified out of the box; compliance depends on the hosting and controls the deploying party puts in place. For CMMC/CUI, the real value is keeping controlled data inside an enclave you own rather than a costly GCC High tenant. We build and document the controls that make the posture defensible.
What about backups and uptime?
We configure automated, encrypted, off-site backups that capture all three required parts, database, data directory, and config, taken consistently with maintenance mode and, most importantly, test-restored on a schedule so recovery is proven.
