Telehealth, remote clinicians and the most private notes in medicine, kept safe

Behavioral Health & Counseling IT Services

Behavioral health records are among the most sensitive data any practice holds, and most counseling groups now run with clinicians spread across home offices, telehealth platforms and personal devices.

At a glance

Session notes, intake questionnaires and psychotherapy notes live in SimplePractice, TherapyNotes, Valant or a larger EHR, while video sessions run from kitchen tables and spare bedrooms.

We secure the clinician accounts and devices, set up telehealth that's private on both ends, and protect the email and billing systems that bad actors use to get in.

Group practices, psychiatric clinics and community counseling organizations in Texas and nationwide get support from U.S.-based engineers, with local help when it's needed.

IT that protects every session, every note, every clinician.

Secure telehealth, managed clinician devices and tight access for counseling and psychiatric practices.

The session room moved home

Your practice now spans dozens of living rooms

Counseling used to happen in one building with a locked file room. Now clinicians see clients by video from home, write notes on laptops the practice may not own, and message clients through portals. The work got more flexible. The attack surface got much wider. Here's where it breaks and how we tighten it.

01 · The pressure

Trust depends on records nobody else ever sees

Clients share trauma, substance use, relationships and legal trouble because they believe it stays in the room. That information lands in session notes, intake forms, treatment plans and sometimes separately kept psychotherapy notes. Clinicians need access from wherever they practice, often as independent contractors. Billing teams handle insurance and authorizations. If the EHR, telehealth platform or a clinician's laptop is compromised, the harm to clients is personal and lasting, well beyond downtime.

  • Session and psychotherapy notes with deep personal detail
  • Clinicians working from home on varied devices
  • Telehealth sessions running on home networks

02 · How it breaks

Personal laptops, family PCs and open sessions

Behavioral health incidents often start outside the office. A contractor clinician writes notes on a family computer that a teenager also uses. A stolen clinician password, never protected by MFA, lets someone read months of notes. Video sessions run on a consumer app because it was easier one day. Mental health records have been stolen and used to extort individual clients directly, which turns a breach into something far worse than a fine.

  • Notes written on shared family computers
  • EHR logins without MFA
  • Consumer video apps used for sessions

03 · What we change

Managed endpoints and private sessions everywhere

Every clinician who touches client records works from a managed, encrypted device, or a locked-down virtual desktop if they use their own hardware. MFA protects the EHR, email and telehealth accounts. We standardize on a telehealth platform that signs a business associate agreement, and we coach clinicians on private session setups at home. Psychotherapy notes get tighter access where the EHR supports it, and managed detection watches for unusual logins and bulk record access.

  • Managed devices or virtual desktops for all clinicians
  • MFA on EHR, email and telehealth accounts
  • Alerts on unusual logins and bulk record access

04 · The after

Flexible work without loose ends

Clinicians can work from home, the office or both, without you wondering whose laptop has client notes on it. When a contractor leaves, their access and any local data go with a single offboarding step. Clients who ask how their information is protected get an honest, specific answer. Payers, insurers and auditors see documented controls instead of a policy binder. And you can hire clinicians in other cities without adding risk.

  • One-step offboarding for departing clinicians
  • Specific answers for clients who ask
  • Room to hire remote clinicians safely

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Clinician Device Management

Whether clinicians use practice laptops or their own computers, client data needs to stay on managed, encrypted ground. We enroll practice devices for encryption, updates and remote wipe, and offer locked-down virtual desktops for clinicians who use personal hardware so notes never land on a family PC or an unmanaged tablet.

Telehealth Setup and Privacy

We help you standardize on a telehealth platform that signs a business associate agreement, secure the accounts with MFA, and give clinicians simple guidance for private home sessions: headsets, room placement, network basics and avoiding consumer apps. When video quality suffers, we help diagnose whether it's the home connection, the device or the platform.

EHR Access Controls

SimplePractice, TherapyNotes, Valant, Qualifacts and Netsmart each offer role controls. We help you configure them so clinicians see their own caseload, billing staff see what billing requires, and psychotherapy notes stay restricted where the system supports it. Access reviews catch leftover accounts from departed staff and contractors.

Contractor Onboarding and Offboarding

Many practices rely on independent contractor clinicians who come and go. We build a repeatable process: accounts, device or virtual desktop, MFA and training on day one, and complete removal on the last day, including any client data on devices they used during their time with the practice.

Detection for Bulk Record Access

The worst behavioral health breaches involve someone quietly reading or exporting many client records. Managed detection and response and EHR audit log reviews flag unusual logins, odd hours and bulk access, backed by 24/7 SOC monitoring. People respond during business hours, with after-hours emergency response for active incidents.

Email and Messaging Security

Clinicians and intake staff exchange messages about scheduling, referrals and sometimes clinical matters. We protect mailboxes with MFA and impersonation filtering, steer clinical communication into the EHR portal, and set up encrypted email for the cases where outside providers or courts need records sent securely.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Client Trust You Can Back Up

Clients choose a practice partly on whether they feel safe sharing. Being able to explain specifically how notes, sessions and devices are protected supports that trust, and it gives clinicians confidence when clients ask hard questions about who can read their records.

Remote Work Without Guesswork

Managed devices and virtual desktops mean you know where client data lives even when clinicians are spread across many homes. You can hire talented clinicians outside your area without worrying about what's on their personal computers.

Clean Contractor Turnover

When a clinician leaves, one checklist removes their EHR, email and telehealth access and any client data on devices they used. No lingering logins, no notes left on a laptop that walked out the door with someone who doesn't work for you anymore.

Clear Answers for Payers and Insurers

Payers, cyber insurers and auditors ask about MFA, encryption, access reviews and incident response. You can show documented configuration and logs rather than relying on what you believe clinicians are doing at home. Renewal forms get filled in from facts.

Our Process

1
We list every place client information lives, including the EHR, telehealth platform, email, shared drives, and every device clinicians use for notes or sessions.
2
We review accounts and permissions, flag former staff and contractors with lingering access, and check where MFA is missing.
3
We secure the highest-risk gaps first: MFA on the EHR and email, managed devices or virtual desktops, and a BAA-backed telehealth platform.
4
We configure EHR roles so access matches each person's work and restrict psychotherapy notes where the system allows.
5
We set up managed detection, EHR audit log review and a standard onboarding and offboarding checklist for clinicians.
6
We review access, devices and incidents with you quarterly and update the setup as your clinician roster changes.

Frequently Asked Questions

Our clinicians use their own computers. How do we keep client notes off them?▼
The cleanest option is a virtual desktop or a browser-only setup with controls that block downloads, so notes stay in the EHR and never save to the personal device. Where clinicians use practice-owned laptops, we manage them centrally with encryption, updates and remote wipe. Either way, we pair it with MFA and a short checklist for home setups. Your compliance lead decides the policy, including whether personal devices are allowed at all. Our job is making the technology enforce that decision every day.
Which telehealth platform should we use?▼
One that signs a business associate agreement with your practice and fits your clinicians' workflow, often the telehealth tool built into your EHR or a dedicated healthcare video platform. Consumer apps without a BAA shouldn't be the default. Beyond the platform, privacy depends on the clinician's environment: a private room, a headset, a secured home network and a managed device. We help you choose, configure accounts securely and give clinicians practical guidance. Legal questions about cross-state practice belong with your counsel.
How are psychotherapy notes different, and can you protect them?▼
Under HIPAA, psychotherapy notes kept separately from the rest of the record get extra protection and generally require specific authorization to disclose. Whether a note qualifies depends on how it's created and stored, which is a question for your clinical and compliance leads. On the technical side, we help you use your EHR's features for separate, restricted notes where available, limit who can view them, and monitor access. If your EHR doesn't support that separation well, we'll tell you plainly.
Does 42 CFR Part 2 apply to our practice?▼
It might, if you provide substance use disorder diagnosis, treatment or referral services and receive federal assistance, which can include Medicare or Medicaid participation. Part 2 adds consent and disclosure rules on top of HIPAA for those records. Whether you're a Part 2 program is a legal determination for your counsel. If you are, we help configure your EHR, permissions and data flows so Part 2 records are segmented and tracked, and we document the technical safeguards protecting them.
What happens if a clinician's laptop is lost or stolen?▼
If the laptop is managed and encrypted, the risk drops sharply. We lock and wipe it remotely, revoke the clinician's sessions and reset credentials, and document what was on the device and when it was last checked in. That record is what your privacy officer and counsel need to decide whether the loss is a reportable breach. If the device was unmanaged, the analysis gets much harder, which is the main reason we push for managed devices or virtual desktops from the start.
We're a small group practice. Do we need all of this?▼
You need the parts that match your risk, and small groups face the same core risks as large ones. The essentials are MFA everywhere, managed or virtual desktops for anyone touching client records, a BAA-backed telehealth platform, encrypted email for outside records requests, and a clean offboarding process. Those cover most real incidents. We size the rest to your practice and handle the day-to-day support, so the practice owner isn't also the IT department.
