Tablets in homes, clinics and schools, with session data that always gets through

ABA & Autism Therapy Providers IT Services

ABA therapy happens in living rooms, school classrooms and clinic rooms all at once, which means children's session data and videos sit on a fleet of tablets carried by RBTs who may have joined last month.

At a glance

When a device is lost, a login is shared or an authorization can't be documented, you risk both a child's privacy and the payment that funds their hours.

We manage the tablets and laptops your technicians and BCBAs use, onboard and offboard staff quickly in CentralReach, Rethink or Catalyst, protect session recordings used for supervision and secure the payer portals behind every authorization.

ABA providers in Texas and nationwide get U.S.-based engineers who understand why turnover is an IT problem.

IT that keeps sessions synced, new RBTs ready, authorizations covered.

Managed IT for ABA providers whose therapists work in homes and schools, not behind a desk.

Therapy in many places

Your therapists carry the clinic in a tablet

A single learner might work with an RBT at home in the morning, attend a clinic social group after lunch and get a school session later in the week. Data collection, supervision, parent training and billing all follow along on mobile devices. Here's what that schedule depends on, where it goes wrong, and the setup we build around it.

01 · The pressure

Every trial recorded, every hour backed by notes

RBTs collect trial-by-trial data on tablets during sessions, often without reliable Wi-Fi in a family's home. BCBAs review graphs, adjust programs and supervise through video or in person. Session notes must match scheduled hours, because insurers and Medicaid pay against authorizations that run out. Parents expect updates. When a tablet won't sync, a note goes missing or a new technician can't log in on day one, sessions get cancelled and authorized hours go unused.

  • Trial data collected on tablets in homes
  • Supervision by video and in person
  • Notes matched to authorized hours

02 · How it breaks

Turnover, shared tablets and videos on camera rolls

High turnover means accounts linger long after technicians leave. Tablets get passed between staff with the last person still signed in. Session videos for supervision end up on personal phone camera rolls or in consumer cloud folders. A technician's home Wi-Fi password is the only protection on a laptop. A fake payer email harvests the authorization coordinator's credentials, and suddenly someone else can see every learner's diagnosis.

  • Former staff accounts still active
  • Supervision videos on personal phones
  • Authorization coordinator logins phished

03 · What we change

Managed tablets, day-one access, day-zero removal

Every tablet and laptop gets enrolled in mobile device management, with encryption, a passcode, app restrictions and remote wipe. We build onboarding and offboarding checklists tied to HR, so new hires get the right access on their first day and departures lose it the day they leave. Session recording happens in an approved app with storage you control. Clinical and billing staff get MFA everywhere, plus phishing training built around payer and parent-portal lures.

  • MDM on every tablet and laptop
  • Access tied to hire and termination dates
  • Session video stored where you control it

04 · The after

Sessions run, notes land and audits make sense

RBTs open a tablet and their caseload is there. When someone leaves, their access ends that day and you don't wonder where the videos went. A lost tablet gets wiped before anyone can open it. Authorized hours get used because sessions aren't lost to tech problems. When a payer audits notes or a parent asks how their child's videos are protected, you can explain it clearly and show the records.

  • Caseloads ready on every device
  • Lost tablets wiped, not worried about
  • Clear answers for payers and parents

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Therapist Tablet & Laptop Management

We enroll every tablet, phone and laptop in mobile device management with encryption, screen locks, app allowlists and remote wipe. Devices can be assigned to individuals or set up for safe sharing between shifts, with session timeouts so the last user isn't still signed in. Lost devices get locked and wiped quickly.

Practice Platform Access Control

We manage user accounts, roles and MFA for CentralReach, Rethink Behavioral Health, Catalyst and similar platforms, making sure RBTs see only their caseload and billing staff see only what they need. Configuration of programs, goals and billing rules stays with your clinical leaders and the vendor, and we handle the technical tickets.

Fast Onboarding & Offboarding

Turnover is constant in ABA. We build a repeatable process tied to your HR system: a new hire gets an email account, platform login, device and training links on day one, and a departure triggers account disablement, device return tracking and removal from every portal the same day.

Session Video Protection

Videos used for supervision and parent training show children and their families, often at home. We set up recording in approved apps, store files in practice-controlled storage with access limited to the care team and remove the habit of saving clips to personal phones. Retention follows your policy, and we make it enforceable.

Payer & Authorization Portal Security

Authorization coordinators and billers work across Medicaid, managed care and commercial payer portals all day. We replace shared logins with named accounts where portals allow it, vault the rest, enable MFA and alert on unusual sign-ins. Bank detail changes from payers or vendors require call-back verification.

Clinic Network & Wi-Fi

Clinic rooms, parent waiting areas and staff spaces need separate networks. We set up reliable Wi-Fi for therapy rooms so tablets sync, a guest network for families that never touches clinical data, and secure connections for satellite clinics. Home-based staff get guidance and VPN where it's needed.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Authorized Hours Get Used

When devices sync, logins work and new technicians are ready on day one, fewer sessions get cancelled for technical reasons. Children receive the hours their plans call for, and your organization bills for work actually delivered.

Turnover Stops Being a Risk

A tied-in onboarding and offboarding process means former staff don't keep access to learner records, and new staff aren't stuck without logins. You can show exactly who had access to what and when it ended.

Families Trust You With Video

Parents share very personal moments when sessions are recorded at home. Keeping that video in controlled storage, off personal phones, lets you answer their questions honestly and protects the relationship you've built with each family.

Cleaner Payer Audits

Payers audit session notes against authorized and billed hours. Reliable data sync, protected accounts and complete records make those reviews faster and reduce the risk of clawbacks caused by missing or unsigned documentation. When an auditor asks who wrote a note and when, the platform logs answer it.

Frequently Asked Questions

Our RBTs turn over constantly. How do we keep access under control?▼
Tie access to employment, not to someone remembering. We connect onboarding and offboarding to your HR system or a simple shared checklist, so a hire date creates the email account, platform login and device assignment, and a termination date disables them and flags the device for return. We also run monthly access reviews comparing active accounts to your roster. That way a technician who left in the spring doesn't still have access to learner records in the fall.
Can therapists use their own phones for session data?▼
It's possible, but it's harder to control. If you allow personal phones, we enroll them in a work profile that keeps your practice apps and data separate, lets you wipe only that portion and enforces a passcode. Practice-owned tablets are simpler, because you control the whole device. Either way, session data should live in your practice platform, not in a phone's notes app, and session video shouldn't land on a personal camera roll.
Where should supervision and parent training videos be stored?▼
In storage the practice owns and controls, with access limited to the learner's care team. Many practice platforms and secure video tools support this directly. We remove workarounds like personal phones and free cloud folders, set retention to match your policy and make sure deleting a video actually deletes it. Parents should be able to ask how their child's recordings are protected and get a clear answer, and consent policies belong with your clinical director and counsel.
Do you support CentralReach, Rethink and Catalyst?▼
Yes, on the IT side. We manage user accounts, roles, MFA, the devices staff use and the networks they connect through. The vendor supports its own application, including data collection templates, billing rules and reporting. When something goes wrong, we work out whether it's the device, the connection, an account or the application, fix what's ours and open a clear ticket with the vendor for the rest. Your clinical team spends less time troubleshooting.
Our therapists work in schools. Does that change anything?▼
It adds another network you don't control and another set of people around your data. Technicians shouldn't join school Wi-Fi without a VPN or rely on school computers for your records. We configure devices to work safely on school networks or cellular connections and keep your data inside your platform. Your contract with the district may include its own data requirements, and those terms should be reviewed by your administrator and counsel.
We're growing fast with new clinics. How do you keep up?▼
With a standard. We document a clinic template covering network design, Wi-Fi, devices, accounts and security, then apply it to each new site so it opens ready to see learners. Remote engineers handle most of the work, and hands-on setup is done locally or by a vetted technician we direct. We monitor every clinic from one view and keep documentation current, so expansion doesn't multiply the problems you already have.
