Protect children's records, photos and pickup lists like the safety issue they are

Childcare Centers IT Services

A childcare center holds information that's directly tied to children's safety, from who is authorized to pick up each child to allergies, custody notes and daily photos, and if that data leaks or the check-in system fails, the consequences go far beyond an IT problem.

At a glance

Your day runs on a child care management platform, check-in kiosks, classroom tablets, a parent messaging app, cameras, tuition autopay and staff files that include background check results. Directors juggle licensing visits and subsidy billing on top of it.

We support the IT behind childcare centers and early learning programs in Texas and nationwide: devices, networks, cameras, accounts, backups and security monitoring, explained in plain language.

IT that keeps pickups verified, photos private, parents informed.

Check-in, parent communication and children's records handled with the care you'd expect for the kids themselves.

Childcare & early learning

The data is about children. Treat it that way.

Parents trust you with their kids for most of the day, and with a surprising amount of information too. Pickup lists, medical notes and photos all live in apps and on tablets. Here's what your center depends on, how things actually go wrong and what we change to keep it safe.

01 · The pressure

Drop-off, ratios and a pickup list that must be right

Morning drop-off runs through a check-in kiosk or a teacher's tablet, recording which children are present so ratios stay legal. Teachers log meals, naps and diaper changes, send photos to parents and note incidents. At pickup, staff verify the adult against an authorized list that may include custody restrictions. If the check-in system fails, attendance goes to paper. If the pickup list is wrong or outdated, a child could leave with someone who shouldn't have them.

  • Attendance and ratios recorded at check-in
  • Authorized pickup lists and custody notes
  • Daily photos and reports sent to parents

02 · How it breaks

Shared tablets, old staff accounts, exposed cameras

Classroom tablets get shared by every teacher under one login, and nobody removes access when an assistant teacher leaves. A director's email is phished, and the attacker sends parents a tuition 'payment update' with a fake link. Classroom cameras streamed to parents sit on default passwords. Staff files with background check results live in a shared folder anyone can open. Each of these is a small lapse until it becomes a parent's worst fear.

  • One tablet login shared by every teacher
  • Fake tuition payment emails sent to parents
  • Background check files in an open folder

03 · What we change

Named access and locked-down devices

Every teacher gets a named login to your child care platform, scoped to their classroom, and access ends the day they leave. Tablets get device management so they only run approved apps and can be wiped if lost. Cameras get unique credentials and secure parent viewing through the vendor. Staff and background check files move to restricted storage. Director and office email get MFA and phishing protection, with endpoints under 24/7 SOC monitoring.

  • Classroom-scoped logins removed on departure
  • Managed tablets limited to approved apps
  • Restricted storage for staff and background files

04 · The after

Licensing visits and parent questions go smoothly

When a licensing inspector asks for attendance records or staff background documentation, your director pulls them from organized, protected storage. When a parent asks who can see their child's photos, you can explain it clearly. Former staff can't log in. Parents know you'll never ask them to change payment details by email. And on a busy morning, check-in just works, so teachers can focus on kids instead of tablets.

  • Records ready for licensing visits
  • Clear answers when parents ask about privacy
  • Former staff locked out the day they leave

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Child Care Platform Support

Brightwheel, Procare, Kangarootime, Lillio and Tadpoles run your attendance, billing and parent communication. We support the devices and accounts that use them, set up staff roles and classroom permissions properly and coordinate with the vendor when something breaks during drop-off or pickup, when parents are waiting.

Classroom Tablet Management

Shared classroom tablets need to be simple for teachers and locked down for everything else. We enroll them in device management, restrict them to approved apps, prevent photos from landing in personal cloud accounts and make sure a lost or broken tablet can be wiped and replaced the same day.

Camera & Parent Viewing Security

Classroom cameras reassure parents only if strangers can't watch too. We set unique credentials, update firmware, isolate cameras on their own network segment and route parent viewing through your vendor's secure, login-protected service, so feeds of children aren't reachable by anyone scanning the internet. Staff access gets reviewed too.

Staff Files & Background Records

Background check results, certifications and training records are sensitive and reviewed during licensing visits. We move them into restricted storage with access limited to directors and administrators, add backups and keep them organized, so you can produce what an inspector needs without exposing it to every staff member.

Tuition Billing & Payment Security

Tuition autopay, subsidy billing and card payments run through your platform and payment processor. We protect the accounts that handle billing with MFA, segment any payment devices and help you set a rule that parents never get asked to change payment details by email, closing off a common fraud path.

Center Network & Wi-Fi

Classrooms, offices, cameras and parent-facing Wi-Fi should never share one network. We design coverage that reaches every classroom and the playground check-in point, separate staff, camera and guest traffic and add an internet backup so check-in keeps working if the main line drops. Automated monitoring watches the whole network.

Safer Pickups

Accurate, protected pickup lists and a check-in system that stays up mean staff can verify adults confidently every time. Changes to who's authorized get made by the right people and logged, not edited by anyone on a shared tablet.

Parent Trust You Can Explain

Parents ask more questions about photos, cameras and apps than ever. Clear controls let your director explain exactly who sees what, and that confidence is part of why families choose and stay with your center.

Smoother Licensing Visits

Attendance, staff qualifications and background documentation are organized and retained, so licensing inspections focus on your program rather than a search through filing cabinets, email and someone's personal laptop. Directors spend that saved time with teachers and families instead.

Support Directors Can Call

Our U.S.-based engineers work business hours, which line up with your center's day, with after-hours emergency response for active incidents. Directors get plain answers, not jargon, and one place to call for every device in the building.

Our Process

1
Walk each classroom, office and entry to document tablets, kiosks, cameras, Wi-Fi, printers and every shared login.
2
Review your child care platform's roles and permissions with the director, and set classroom-scoped access for teachers.
3
Enroll tablets in device management, restrict apps and stop photos from syncing to personal accounts.
4
Secure cameras with unique credentials and isolate them, then confirm parent viewing works through the vendor's service.
5
Move staff and background files to restricted storage, turn on MFA for directors and office staff and add backups.
6
Create a staff onboarding and offboarding checklist and review access and devices with you before each school year.

Frequently Asked Questions

Who should be able to see children's photos?▼
Only the child's parents or guardians and the staff who need to. Most child care platforms let you control this, but defaults and shared logins often undo it. We set classroom-scoped staff access, make sure photos go through the platform rather than personal phones or texts and stop tablets from syncing images to personal cloud accounts. Your photo and media policy, including parent consent, is your decision with guidance from licensing rules and counsel; we make the technology match it.
Do licensing rules affect our IT?▼
Indirectly. State child care licensing rules require you to keep records like attendance, immunizations, incident reports and staff qualifications, and the federal CCDBG rules require comprehensive background checks for staff at centers receiving subsidy funds. Licensing staff review those records. We make sure the systems holding them are organized, access-controlled and backed up, so you can produce them quickly. What you must keep, and for how long, comes from your state licensing agency.
We're a Head Start program. Is that different?▼
Yes, in some ways. Head Start grantees follow the Head Start Program Performance Standards, which include specific requirements on protecting the privacy of child records and disclosing personally identifiable information. That puts more weight on access controls, sharing practices and record retention. We set up your systems to support those policies: role-based access, restricted sharing, logged access where possible and backups. Your program's policies and your grants staff define the requirements.
Are classroom cameras a risk?▼
They can be if they're installed with default passwords or exposed directly to the internet, since a hijacked feed would show children to strangers. We secure each camera with unique credentials and current firmware, put cameras on their own network segment and make sure parent viewing goes through your vendor's login-protected service. We also review who on staff can view or export recordings. Done properly, cameras stay a reassurance for parents rather than a risk.
What should we do when a teacher leaves?▼
Remove their access the same day, everywhere. That means the child care platform, email, any shared drive, the camera app and any classroom tablet they used. We give you a short offboarding checklist and handle the technical steps when you notify us. Because every teacher has a named account instead of a shared one, removing one person doesn't disrupt anyone else. We also review access at the start of each school year to catch anything that slipped through.
Parents received a fake tuition payment email. What now?▼
First, tell parents right away through your normal app that you didn't send it and that you never change payment details by email. Then we check whether a staff mailbox was compromised: reviewing sign-ins, forwarding rules and sent messages, resetting credentials and turning on MFA if it wasn't already. If the email came from a lookalike domain, we add protections against it. Whether any formal notification is required is a question for you and your counsel.

What does Childcare Centers IT Services cost for a Houston business?▼

We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
