Secure creditor placements, dialers and consumer payments under audit

Collection Agencies IT Services

A collection agency holds other companies’ customer data, and every creditor client that places accounts with you will audit how you protect it, so one breach can cost you placements across your whole client roster at once.

At a glance

Your collectors work from dialers, a collection platform, skip-tracing tools and payment portals all day, while Regulation F and the FDCPA dictate how and when they can reach consumers and how long you keep proof.

We run IT and cybersecurity for first-party and third-party agencies, medical and utility collectors, and debt buyers with in-house recovery teams.

That means hardened collector floors, controlled placement file transfers, call recording storage and the vendor audit evidence creditors ask for. We work with collection agencies in Texas and nationwide.

IT that keeps placements coming, dialers dialing, audits passing.

Security for agencies whose creditor clients judge them on how well they protect someone else’s customers.

Inside a collection agency

You’re trusted with data you don’t own

A hospital, utility or lender sends you a placement file full of names, balances, Social Security numbers and phone numbers. Your platform loads it, the dialer works it, collectors negotiate, and payments come in by card, ACH or check. Then you report back to the creditor and keep the records, calls and letters to prove you followed the rules.

01 · The pressure

Creditor audits decide whether placements keep coming

Your revenue depends on creditors trusting you with new placements every month. Many send detailed vendor security questionnaires or audit you onsite, especially hospitals and banks. Collectors need the dialer and platform up every shift, and consumer contact rules mean missed calling windows can’t be made up later. A breach means notifying consumers who already owe money, telling every affected creditor and probably losing some of them before the investigation finishes.

  • Creditors audit you before sending placements
  • Missed calling windows can’t be recovered
  • One breach touches every creditor’s data

02 · How it breaks

Emailed placement files and an exposed recording archive

A creditor’s analyst emails a placement spreadsheet unencrypted because the SFTP login expired. Call recordings pile up on a network share anyone can browse. Collectors share dialer logins during a busy shift, so a complaint can’t be tied to a person. A skip-tracing site serves malware to a collector’s browser. Someone pretending to be a creditor client calls asking for an account export. A payment portal gets hit with card testing overnight.

  • Placement files arriving by plain email
  • Call recordings on a share anyone can open
  • Shared dialer logins blur complaint records

03 · What we change

Controlled intake, named collectors, locked recordings

Placement and recall files move through a managed SFTP or secure portal with per-creditor accounts and alerts on failed transfers. Every collector gets an individual login to the dialer and platform, tied to their extension. Call recordings and letters move to restricted, encrypted storage with retention rules. Collector PCs get a locked-down build with filtered browsing. Payment pages go through your processor’s hosted fields, and we help document your Safeguards Rule and HIPAA controls.

  • Per-creditor SFTP accounts with transfer alerts
  • Individual dialer logins tied to extensions
  • Encrypted recording storage with retention rules

04 · The after

Questionnaires answered, complaints traced, clients kept

When a hospital sends its vendor risk questionnaire, you answer from a current security program instead of scrambling. A consumer complaint comes in and you pull the right call recording, the collector who made it and the account notes in minutes. Placement files stop showing up in inboxes. Creditor audits find named users, encrypted storage and tested backups, and you get to talk about recovery rates instead of explaining gaps.

  • Vendor questionnaires answered from a real program
  • Complaints traced to a call and a collector
  • Creditor audits focus on results, not gaps

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Secure Placement and Recall Transfers

Placement files are your largest concentration of consumer data. We run managed SFTP or a secure file portal with separate accounts for each creditor, MFA for portal users, encryption at rest, automatic alerts on failed or unusual transfers and logs you can hand to a creditor auditor. Email attachments stop being the fallback when something breaks.

Dialer and Collection Platform Support

Your collectors live in the collection platform and dialer every shift. We keep workstations, softphones, headsets and network quality steady, manage named user accounts tied to extensions, coordinate with your software and dialer vendors on updates and integrations, and schedule changes outside calling hours so a patch never takes the floor down at peak time.

Call Recording and Letter Retention

Recordings, letters, emails and text messages are your proof that contacts followed the FDCPA and Regulation F. We move them to encrypted storage with access limited to compliance and management, apply the retention periods your counsel sets, back them up separately and make retrieval quick when a dispute or complaint arrives.

Collector Floor Workstation Hardening

Collectors use skip-tracing sites, verification tools and email all day. We build their PCs to a standard image with EDR, a managed browser, web filtering that allows the sites they need, blocked USB storage and screen locks, so one risky click doesn’t spread across the floor. Spare machines stay imaged for quick swaps.

Creditor Audit and Questionnaire Support

Hospitals, banks and utilities ask detailed questions about encryption, access control, backups, incident response and vendor management. We maintain the evidence behind your answers, help you complete questionnaires accurately and sit in on audit calls when technical questions come up, without overstating what’s in place.

Consumer Payment Channel Security

Consumers pay by phone, IVR, web portal and text link. We work with your processor on hosted payment fields and pause-and-resume recording so card numbers stay out of recordings and notes, add bot protection to stop card testing, and monitor payment activity for anything unusual overnight or on weekends.

Keep and Win Creditor Clients

A current security program, named access and clean audit evidence make you an easier vendor to approve and renew. When a prospect’s vendor risk team reviews you, the security section helps your sales pitch instead of stalling it for weeks.

Faster Complaint and Dispute Response

Individual logins and organized recording storage mean you can pull the exact call, letter and collector behind a complaint quickly. Your compliance team responds with facts, and patterns across collectors become visible before a regulator points them out.

Fewer Disruptions on the Floor

Standard workstations, stable softphones and changes scheduled outside calling hours keep collectors productive. When a machine fails, a spare goes in fast and the collector is back on the dialer, with U.S.-based help available during business hours and after-hours emergency response for active incidents.

Less Consumer Data Exposure

Encrypted transfers, restricted recordings and card data kept out of notes shrink the amount of sensitive information sitting where it shouldn’t. If something does go wrong, the blast radius is smaller and your counsel has better facts to work with.

Our Process

1
Map how placements arrive, where consumer data lives, how collectors reach consumers and how payments, recordings and letters are stored.
2
Review creditor contract requirements, your Safeguards Rule program and any HIPAA business associate obligations to set priorities.
3
Move placement transfers to managed SFTP or a secure portal with per-creditor accounts, encryption and transfer alerts.
4
Issue individual dialer and platform logins, harden collector workstations and restrict call recording storage to compliance staff.
5
Secure payment channels with your processor, deploy managed detection and response, and test backups of platform data and recordings.
6
Keep audit evidence current, answer creditor questionnaires and review access, retention and vendors each quarter.

Frequently Asked Questions

Does the FTC Safeguards Rule apply to collection agencies?▼
Collecting consumer debts is a financial activity, so many collection agencies are financial institutions under the FTC Safeguards Rule. That means a written information security program, a Qualified Individual, a risk assessment, MFA, encryption of customer information, service provider oversight, training, an incident response plan and an annual report to leadership. Under the amended rule, qualifying security events involving consumer data also go to the FTC. Creditor contracts usually stack their own requirements on top. Your counsel decides how the rule reads for your agency, and we put the controls in place and write them down.
We collect medical debt. Does HIPAA apply to us?▼
Often, yes. When a hospital or medical practice places accounts with you, you’re typically acting as their business associate, and the business associate agreement you signed obligates you to follow the HIPAA Security Rule for the patient information you receive. That includes risk analysis, access controls, audit logs, encryption and breach procedures. We help you meet those safeguards across your platform, dialer, recordings and file transfers and document them for your healthcare clients’ audits.
How should we store call recordings for Regulation F and FDCPA disputes?▼
In one place, encrypted, with access limited to the people who review them and retention set by your counsel. Recordings scattered across dialer servers and file shares are hard to find and easy to leak. We move them to managed storage, index them so you can search by account, date or collector, back them up separately and log every access. When a dispute, complaint or lawsuit arrives, your compliance team pulls the evidence without hunting.
A creditor client sent a long security questionnaire. Can you help?▼
Yes, and we’ll keep the answers honest. We review each question against what you actually have in place, gather evidence like encryption settings, MFA enrollment, backup test results and policies, and draft technical answers your leadership approves. Where there’s a gap, we flag it with a realistic plan rather than claiming something you don’t do. Over time, a maintained evidence library makes the next questionnaire take hours instead of weeks.
Our collectors share dialer logins during busy shifts. Is that a real problem?▼
It is. When a consumer complains about a call, you need to know which collector made it, what was said and whether contact rules were followed. Shared logins make that impossible and weaken your defense. They also make it easy for a departing employee to keep access. We set up individual logins tied to extensions, make them quick to use with single sign-on where your dialer supports it, and remove accounts the day someone leaves.
How do we keep card numbers out of call recordings?▼
Use your dialer’s pause-and-resume or automatic redaction when collectors take a card payment by phone, or better, route consumers to an IVR or a secure payment link so collectors never hear the number at all. We configure those features with your dialer and processor, block collectors from writing card numbers in notes and review recordings and notes for slips. Keeping card data out of your systems reduces your PCI DSS scope significantly.

What does Collection Agencies IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
