How do criminals steal equipment lease fundings?▼
The usual pattern starts outside your company. An attacker compromises a small equipment dealer’s or vendor’s email, watches deals in progress, then sends a corrected invoice or a letter with new remittance instructions right before funding. Sometimes they register a lookalike domain one letter off. Your funding desk sees a familiar name and wires the money. The fix is procedural and technical: verify any bank change by calling a number you already have on file, require a second approver, log it, and flag lookalike domains in email.
Does the FTC Safeguards Rule apply to an equipment leasing company?▼
It depends on who you lease to. The Safeguards Rule protects customer information about consumers, people getting financing for personal, family or household use. A lessor doing only commercial deals with businesses may sit largely outside it, though personal guarantor data still deserves the same protection and state breach laws can still apply. If you write any consumer leases, the rule’s written program, risk assessment and MFA requirements come into play. Your counsel makes that call; we build the controls either way.
We work with dozens of independent brokers. How do we control their access?▼
Treat broker portal accounts like employee accounts with an expiration date. Each broker user gets an individual login with MFA, not a shared office account. Access is limited to their own submissions. We compare active portal users against your current broker agreements on a set schedule and disable anyone who hasn’t submitted recently or whose agreement ended. Your sales team gets a simple way to request new partner access so nobody shares credentials to get a deal in.
Our lease servicing vendor needs remote access to our server. Is that a problem?▼
It can be. Many lessors still give their software vendor a standing remote desktop login with one shared password that never changes. If that vendor gets breached, so do you. We replace it with named vendor accounts, MFA, access that’s enabled only when a support session is scheduled, and recording or logging of what happened during the session. Your vendor can still support upgrades and fixes; you just know who connected and when.
How long should we keep lease files and credit packages?▼
Lease files often need to live through the full term, any end-of-term buyout or remarketing, and whatever period your counsel, auditors and capital partners set after that. Credit packages for declined applications may have different retention needs. We don’t set the retention period, but we build storage that enforces it: labeled folders or libraries, retention rules, restricted deletion and backups kept separately so a ransomware event doesn’t take the archive with it.
Can you support our vendor finance program staff who sit at manufacturer sites?▼
Yes. Staff embedded with a manufacturer or dealer network often work on that partner’s guest Wi-Fi with a company laptop. We encrypt and manage those laptops remotely, require VPN or zero trust access to your lease and credit systems, and keep their email and files inside your Microsoft 365 or Google Workspace tenant. They can reach U.S.-based engineers by phone, chat or ticket during business hours, with after-hours emergency response for active incidents.
