Freight Forwarders IT Services

Freight forwarders are a favorite target for payment fraud because every shipment involves strangers, invoices and urgent wire requests across time zones.

At a glance

Your team juggles bookings with carriers, house and master bills of lading, export filings, and agents overseas who email at three in the morning.

We secure and support that operation for air and ocean forwarders, NVOCCs and indirect air carriers.

That means hardening the mailboxes where bookings and invoices live, supporting your forwarding platform and its integrations, and protecting the export data your compliance team files.

Remote U.S.-based engineers handle most of the work, and we serve forwarders in Texas and nationwide.

IT that keeps cargo booked, bills of lading clean, payments on target.

From quote to arrival notice, we protect the mailboxes, platforms and payments that move your freight.

Freight forwarding

Every shipment is a chain of emails

A forwarder’s day is quotes, bookings, documents and invoices passed between shippers, carriers, overseas agents and truckers. Most of it runs through email and one operating platform. That’s efficient, and it’s exactly why criminals study forwarders so closely. Here’s the pattern we see, and how we break it.

01 · The pressure

Cutoffs, documents and agents in every time zone

Bookings have to hit carrier cutoffs. Bills of lading, commercial invoices and packing lists move between parties who may never meet. Export data has to be filed before cargo is loaded. Overseas agents settle accounts in the middle of your night. If the forwarding platform is down or a mailbox is hijacked, cargo misses its vessel or flight, demurrage starts, and a shipper wonders whether to trust you with the next container.

  • Carrier cutoffs leave no room for outages
  • Documents pass between parties who never meet
  • Agent settlements happen across time zones

02 · How it breaks

A hijacked mailbox and a quiet bank change

The classic forwarder incident goes like this. An attacker phishes one operations mailbox, reads weeks of shipment threads, then sends a perfectly timed note from a lookalike domain telling a shipper the bank details have changed. Or they hijack an agent’s account and redirect your settlement. Other paths include shared platform logins, an old remote desktop port left open for an agent, and spreadsheets of export data sitting in personal cloud storage.

  • Mailbox takeover followed by fake bank changes
  • Lookalike domains impersonating your agents
  • Open remote desktop for overseas partners

03 · What we change

Locked mailboxes, verified payments, closed doors

We put phishing-resistant MFA on every mailbox and the forwarding platform, block legacy email protocols, and alert on suspicious forwarding rules and foreign sign-ins. Lookalike domain monitoring flags impersonation of your brand and your key agents. Every bank change gets a call-back to a known number. Remote desktop gets replaced with a brokered access tool, and export and shipment data moves into managed storage with access tied to roles.

  • Phishing-resistant MFA and sign-in alerting
  • Lookalike domain watch for you and your agents
  • Call-back verification on every bank change

04 · The after

Shippers trust your invoices again

Your accounting team stops second-guessing every payment email because there’s a rule and a process behind each one. When a large shipper asks how you protect their data or a carrier asks about your security posture, you can show them policy, MFA coverage and access reviews. If you hold indirect air carrier status, the security records you keep are organized instead of scattered. Cargo moves, and the money lands where it should.

  • Payment rules followed by every team member
  • Clean evidence for shippers and carriers
  • Security records organized for program reviews

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Forwarding Platform Support

CargoWise, Magaya and similar platforms sit at the center of your operation. We manage user access, enforce MFA, keep workstations and browsers configured the way the vendor expects, and maintain the integrations to carriers, rate engines and accounting. If you host anything locally, we handle patching, backups and remote access. When the vendor needs to troubleshoot, we open and close the session.

Business Email Compromise Defense

Mailbox takeover is the top threat for forwarders. We deploy advanced email filtering, impersonation detection, external sender banners and alerts for new inbox rules or unusual sign-in locations. Legacy authentication gets shut off so stolen passwords can’t bypass MFA. If an account does get hijacked, we revoke sessions, review what the attacker read and help you notify affected parties alongside your counsel.

Payment Verification Workflow

Technology stops a lot of fraud, but the final control is a procedure. We help you write a payment-change policy that every operations and accounting person follows: verify any new or changed bank details by calling a number on file, require a second approver above a threshold, and log the verification. We train staff on it and test it with realistic simulations.

Agent & Partner Access

Overseas agents, customs partners and truckers often need access to tracking portals or shared folders. We set up guest accounts with MFA and expiry, replace exposed remote desktop with brokered access, and review partner access on a schedule. When an agent relationship ends, their access ends the same day, and you have a log showing it.

Export Data Protection

Export filings carry commercial values, classifications and party details, and some shipments raise export control questions under the EAR. We keep that data in managed storage with role-based access, audit logging and encryption, and away from personal cloud accounts. Your compliance team decides classifications and licensing; we make sure the records behind those decisions are protected and retrievable.

IAC Security Program Support

If you operate as a TSA indirect air carrier, your security program brings record-keeping and training obligations that live largely in IT systems. We help keep those records organized, access-controlled and backed up, and make sure the staff accounts tied to known shipper and screening workflows are named and current. The program itself and its interpretation stay with your security coordinator.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Fewer Diverted Payments

Mailbox hardening, impersonation detection and a call-back rule close the gaps criminals use to redirect freight payments and agent settlements. Your staff know exactly what to do when a bank-change email arrives, and your customers learn to expect a confirmation call from you.

Cargo Makes Its Cutoff

A supported platform, managed workstations and monitored connectivity mean fewer surprises in the hours before a vessel or flight cutoff. When something breaks, our help desk already knows your forwarding software and your carriers’ portals.

Answers for Shipper Security Reviews

Large shippers and carriers increasingly ask forwarders about MFA, access control and incident response. You’ll have documentation ready, which makes security a selling point rather than a stumbling block in the next RFP or carrier onboarding review.

Partners Without Open Doors

Agents and partners get the access they need through controlled, logged channels. Nothing stays open after a relationship ends, and you can show exactly who reached which system and when, whether the question comes from a shipper, an insurer or your own management.

Our Process

1
We review your mail tenant, forwarding platform, partner access paths and payment process, and look for signs of past mailbox compromise.
2
Phishing-resistant MFA, legacy protocol blocking and sign-in alerts go live first, since mailbox takeover is the fastest path to a stolen payment.
3
We write the payment-change verification rule with your accounting lead and train operations and finance staff to follow it.
4
Remote desktop exposure is removed and partner access moves to brokered sessions and expiring guest accounts with MFA.
5
Export and shipment records move into managed storage with role-based access, logging and backups your compliance team can rely on.
6
Ongoing, we monitor sign-ins and email threats, support the platform and users during business hours, and run periodic phishing simulations.

Frequently Asked Questions

Why are freight forwarders targeted so often by email fraud?▼
Because the business runs on email between parties who don’t know each other personally, and payments are large, frequent and urgent. Shippers, consignees, agents and carriers all expect invoices from addresses they’ve only seen in writing. An attacker who reads a few shipment threads can time a fake bank-change notice perfectly. Cutoffs create pressure to pay fast. That combination makes forwarders and their customers attractive targets, which is why we focus first on mailbox security and payment verification.
Do you support CargoWise or Magaya directly?▼
The software vendor supports its application. We support everything around it: user accounts and MFA, workstations and browsers, printers for labels and documents, integrations, backups of anything hosted locally, and the network path. We also act as your technical contact with the vendor so your operations team isn’t stuck on hold. When an issue could be either side, we gather the logs and work it with the vendor until it’s resolved.
We’re an indirect air carrier. Can you help with TSA requirements?▼
We can help with the IT side. Indirect air carriers operate under a TSA security program with training, record-keeping and access expectations, and much of that evidence lives in systems we manage. We make sure those records are organized, access-controlled and backed up, and that staff accounts tied to security workflows are named and reviewed. The content of your security program and how TSA interprets it remain with your security coordinator.
What should we do if a customer says they paid a fraudulent invoice from us?▼
Act fast. Contact the customer’s bank and yours immediately, since funds can sometimes be frozen if reported quickly, and file a report with the FBI’s IC3. Call us so we can check whether one of your mailboxes was compromised, revoke sessions, review inbox rules and identify what the attacker accessed. Loop in your attorney and cyber insurer early. We’ll document the technical findings in writing so counsel can decide on notifications.
How do you handle access for overseas agents?▼
We avoid open remote desktop and shared passwords. Agents who need your tracking portal or shared files get guest accounts with MFA and an expiry date, and anything that requires deeper access goes through a brokered session tool that logs activity. We review partner access on a schedule and remove it the day a relationship ends. If an agent’s own email gets compromised, these controls limit what an attacker can reach through them.
Can you support a forwarder with offices in more than one state?▼
Yes. Email, the forwarding platform, endpoint management and monitoring all run over the internet, so we support forwarders with offices near ports, airports and inland hubs across the country. Each office gets the same security baseline, and your team calls the same help desk. When an office needs on-site work, our engineers handle it locally near our offices or direct a vetted local technician while staying on the line until the work is done.
Do you provide Freight Forwarders IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers freight forwarders IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Freight Forwarders IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
