Exam lane, pretest and optical floor, all running on the same reliable setup

Optometry & Eye Care IT Services

An optometry practice is a clinic and a retail store under one roof, so when the network hiccups you lose both the exam schedule and frame sales at the same time.

At a glance

Your pretest devices and retinal cameras feed images into Compulink, RevolutionEHR, Crystal PM or OfficeMate, opticians order lenses through lab portals, and the optical counter takes cards and vision plan authorizations all day.

We support the exam lanes and imaging devices on the IT side, secure the optical POS and payment terminals, protect the accounts that order from labs and bill vision plans, and back up the images you'll compare next year.

Independent and multi-location eye care practices in Texas and nationwide get U.S.-based engineering support.

IT that keeps lanes on schedule, images on file, frames selling.

Exam, imaging and optical retail technology support for eye care practices that run a clinic and a store at once.

Clinic meets optical

Half clinic, half retail, all on one network

An eye exam flows from pretest to the lane to the optical floor in a single visit. Imaging devices, the EHR, lab ordering and the point of sale all need to talk to each other. Vision plans add their own portals and rules. Here's what that visit depends on, where it tends to break, and what we change.

01 · The pressure

One visit crosses pretest, lane and optical

Techs run autorefractors, tonometers and retinal cameras, and those readings and images need to reach the chart before the doctor walks in. The doctor finalizes the prescription, and the patient heads to the optical floor, where opticians check vision plan benefits, take payment and send the order to a lens lab. When devices stop sending data or the POS freezes, the doctor re-enters readings by hand and patients walk out without ordering glasses.

  • Pretest devices feeding readings into the EHR
  • Retinal images compared year to year
  • Optical orders and vision plan claims

02 · How it breaks

Old pretest PCs and a busy optical counter

Eye care offices often run imaging software on aging Windows machines that the device vendor told them not to update. Those PCs sit on the same network as the optical POS. Opticians share a lab portal login and a vision plan portal password written on a card. A fake vision plan email harvests credentials. Retinal images live in the camera's local database, and nobody checks whether the backup includes it.

  • Imaging PCs running outdated Windows
  • Shared lab and vision plan portal logins
  • Camera databases left out of backups

03 · What we change

Isolated devices, named logins, verified backups

We move pretest and imaging workstations to their own network segment and add protection that works within vendor support limits. The optical POS and card terminals get isolated from both clinical and guest traffic. Opticians and billers get named portal logins with MFA where available, or a managed password vault. Imaging databases are added to immutable off-site backups, and we prove we can restore last year's retinal images.

  • Segmented imaging and pretest workstations
  • Isolated optical POS and card terminals
  • Imaging databases included in tested backups

04 · The after

Smooth exams and a busy optical floor

Pretest readings land in the chart automatically, and doctors stop retyping numbers. The optical floor keeps selling when something goes wrong elsewhere. You know which staff can order from labs and bill vision plans. When your processor asks about card security, or your insurer asks about backups and MFA, you have answers. And opening another location means copying a setup that already works.

  • Readings flowing into charts automatically
  • Optical sales protected from clinical outages
  • New offices built from the same setup

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Eye Care EHR Support

We support the workstations, network, printers and accounts behind Compulink, RevolutionEHR, Crystal PM and OfficeMate with ExamWRITER. For on-premises systems we handle server health and upgrades coordinated with the vendor. For cloud systems we focus on fast, reliable workstations and internet. Application questions go to the vendor, with us managing the ticket.

Pretest and Imaging Device Integration

Autorefractors, tonometers, OCT units and retinal cameras like Optos send data to your EHR through interfaces and device workstations. We keep those workstations and network paths working, document how each device connects, and coordinate with the device manufacturer when the problem is inside the instrument or its proprietary software rather than the PC.

Optical POS and Payment Security

The optical counter handles frame sales, lens add-ons, contact lens orders and card payments. We support the POS workstations and receipt printers, isolate card terminals on their own network, and document the setup so your PCI self-assessment reflects reality. Frame inventory and pricing questions stay with your POS vendor.

Lab and Vision Plan Portal Access

Opticians order lenses through lab portals, and billers verify benefits and submit claims through vision plan portals. We help replace shared logins with named accounts, enable MFA where portals support it, store remaining shared credentials in a managed vault and remove access promptly when staff leave.

Retinal Image Backups

Year-over-year comparison of retinal and OCT images is clinically valuable and hard to recreate. We find where each imaging system stores its data, add those databases to immutable off-site backups and run restore tests, so a failed workstation or ransomware doesn't erase years of baseline images.

Multi-Location Standards

Practices with several offices benefit from identical setups: the same network design, workstation builds, device connections and POS configuration. We document a standard, apply it to each location and keep everything monitored from one view, so support is faster and expansion doesn't multiply problems. Doctors who float between offices find the same lanes everywhere.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Less Retyping in the Lane

When pretest devices reliably send readings to the chart, doctors and techs stop re-entering numbers by hand. That saves time in every exam, reduces transcription errors and keeps the schedule moving through a busy afternoon of back-to-back appointments.

Optical Sales Keep Going

Isolating the optical POS from clinical systems and guest traffic means a problem elsewhere doesn't stop frame sales. Patients finish the visit with an order placed, and your optical revenue doesn't depend on whether the pretest PC is behaving today.

Images You Can Count On

Tested backups of imaging databases protect baseline retinal and OCT images. If a device workstation fails or gets encrypted, you restore clinical history rather than starting comparisons over with every returning glaucoma or diabetic patient you've followed for years.

Clear Answers for Reviews

Processor PCI questions, vision plan audits and cyber insurance renewals all go faster when you can show documented network separation, named accounts, MFA and backup tests. You answer from evidence rather than memory, which is far less stressful for the office manager.

Our Process

1
We inventory every exam lane, pretest device, imaging workstation, POS station, card terminal and the portals your staff use for labs and vision plans.
2
We document how each device connects to the EHR and where each imaging system stores its data.
3
We fix urgent gaps: shared portal logins, card terminals on open networks, missing MFA and imaging databases left out of backups.
4
We segment imaging and pretest workstations, isolate payment devices and bring endpoint detection and patching under management within vendor limits.
5
We run a restore test of imaging data and practice records and document how long a full recovery takes.
6
We review devices, access and plans for new equipment or locations with you every quarter.

Frequently Asked Questions

Our retinal camera vendor says not to update the PC. Is that safe?▼
It's a common instruction, and it can be managed safely. We isolate that workstation on its own network segment, block internet access it doesn't need, add endpoint protection the vendor allows and back up its image database. We also ask the vendor about supported upgrade paths and keep their answer on file for your risk analysis. Anything inside the camera itself, including firmware and proprietary software settings, stays with the manufacturer so your service agreement remains valid.
Do you support RevolutionEHR, Compulink or OfficeMate?▼
Yes, from the infrastructure side. We support the workstations, network, printers, scanners, device connections and security those systems depend on. Each vendor supports its own application, including billing logic, templates and interfaces. When something breaks, we figure out whether it's the software, the computer, a device interface or the network, fix what's ours and open a clear ticket with the vendor when it's theirs. You make one call instead of three.
Does PCI DSS apply to our optical shop?▼
If you accept card payments, your processor will expect PCI DSS compliance efforts, usually through a self-assessment questionnaire. How much of your office falls into scope depends on how card terminals connect and whether card data ever touches your workstations. Isolating terminals on their own network and using validated processor devices typically keeps scope small. We set that up and document it. Your processor determines which questionnaire applies, and we help you answer the technical questions accurately.
How should opticians share the lab portal login?▼
Ideally, they shouldn't share it at all. Many lab and ordering portals support individual users, which shows who placed or changed each order and lets you remove access when someone leaves. Where a portal only allows one account, we store it in a managed password vault with access logging, which beats a sticky note at the counter. We also turn on MFA wherever the portal supports it, since these accounts can see patient prescriptions and order history.
We're adding OCT and a new imaging device. What should we plan for?▼
Plan for the workstation, storage, network connection and EHR integration before the device arrives. Imaging devices often need a dedicated PC with specific specs, a network path to the EHR or an image management system, and enough storage for years of scans. We coordinate with the device vendor on requirements, prepare the workstation and network segment, set up backups for the new image database and confirm the interface works before the first patient is scanned.
Do the FTC eyeglass and contact lens rules affect our IT?▼
They mainly govern how and when you release prescriptions to patients, along with related recordkeeping. The IT impact is practical: your EHR and patient communication tools need to support releasing prescriptions properly, and records that show you did so should be retained and backed up. We make sure those systems are reliable and that the records are included in backups. Interpreting the rules for your practice is a question for your compliance lead or counsel.
