IT for surgical days that run on CBCT scans, sedation records and referrals

Oral & Maxillofacial Surgery IT Services

An oral surgery practice can't operate blind: if the CBCT viewer won't open or the referral packet never arrived, the case on the schedule gets pushed and the patient who fasted since midnight goes home.

At a glance

Your day depends on large 3D imaging files moving between the scanner, the server and the operatory, on anesthesia records that have to be complete, and on prescribing controlled substances through EPCS with two-factor sign-in.

We run the network, workstations, imaging storage, Microsoft 365 and backups for oral and maxillofacial surgery groups, from single-surgeon offices to multi-location practices.

We work with businesses in Texas and nationwide, mostly remotely, with local hands-on help when a device needs it.

IT that keeps scans loading, sedation charts whole, referrals arriving.

Imaging, anesthesia records and prescribing that hold up on a full surgical day, with backups you've actually tested.

Inside a surgical day

Where an oral surgery practice is exposed

Oral surgery sits between general dentistry and a hospital OR. You take referrals from dozens of offices, you sedate patients, you prescribe opioids, and you plan implants and extractions on 3D scans. Each of those steps touches a system that an attacker or a dead hard drive can take away from you on the worst possible morning.

01 · The pressure

Every case rides on images, records and timing

A typical morning starts with referral packets from general dentists, a CBCT scan for each implant consult, and sedation cases booked back to back. Your surgeons need the 3D volume open in the operatory before the patient is in the chair. Your anesthesia assistant needs the monitoring record to save. If the imaging server stalls or the practice management system is locked, you cancel fasting patients, lose OR time you can't rebook quickly, and burn goodwill with referring doctors.

  • CBCT volumes must open fast in every operatory
  • Sedation and anesthesia records can't have gaps
  • Referring offices expect reports back the same week

02 · How it breaks

Referral email and imaging PCs are the soft spots

Referral intake is the easy door. Front-desk staff open attachments from offices they've never heard of all day, so a malicious PDF dressed up as a panoramic x-ray blends right in. Imaging workstations often run an old Windows build because the scanner vendor approved it years ago, and they sit on the same flat network as the reception PCs. Add a shared login on the surgical scheduling desk and a remote-support tool the imaging vendor left installed, and one bad click can reach everything.

  • Fake referral attachments sent to the front desk
  • Vendor remote-access tools left open on imaging PCs
  • Flat networks linking reception to the CBCT server

03 · What we change

Segmented imaging, locked-down prescribing, tested backups

We move the CBCT scanner, its acquisition PC and the imaging server onto their own network segment, and only let operatory viewers and the practice management server talk to it. We put attachment sandboxing and impersonation filtering on referral mailboxes, set up individual logins with MFA for every staff member, and make sure the EPCS workflow uses the two-factor setup the DEA rule calls for. Vendor remote access goes through an approved, logged path. Backups are encrypted, kept off-site, and restored on a schedule.

  • Imaging segment separated from front-desk PCs
  • MFA and named logins, including EPCS sign-in
  • Vendor access only through logged, approved sessions

04 · The after

Surgeons operate, the office stops firefighting

Once it's in place, your surgeons open scans without waiting and your front desk stops guessing which attachments are safe. When a hard drive fails, you restore the imaging archive instead of re-scanning patients. When your malpractice carrier or cyber insurer asks about MFA, backups and access controls, you hand them a current document instead of a shrug. When a referring office calls about a report, it's in the system where it belongs.

  • Restores proven before you need them
  • Insurance questionnaires answered from real records
  • Referral reports sent on time from a working system

What We Offer

Comprehensive solutions tailored for Houston-area businesses

CBCT & 3D Imaging Infrastructure

Cone beam volumes are big, and they need to open in every operatory without a long wait. We size the imaging server, storage and switching for the files your scanner actually produces, keep viewer software patched on each workstation, and work with the imaging vendor when their acquisition PC needs an update. You get fast, predictable image loads on surgery days.

Referral Intake Protection

Your front desk receives files from referring dentists, orthodontists and physicians all day. We add attachment sandboxing, lookalike-domain detection and link rewriting to those mailboxes, and set up a secure upload or encrypted email route so referring offices have a safer way to send x-rays and medical histories than a random Gmail attachment.

EPCS and Prescribing Access

Oral surgeons prescribe controlled substances after extractions and implant surgery. We configure workstation and identity settings so your e-prescribing tool's two-factor sign-in works reliably, keep tokens and authenticator apps tied to the right surgeon, and remove access promptly when a provider leaves the practice. Prescribing keeps working the morning after a password reset.

Sedation Record Continuity

Anesthesia and monitoring records need to save every time, even when the network hiccups. We put operatory PCs and monitoring-related workstations on reliable wired connections and battery backup, coordinate with your monitor vendor on any device-side changes, and back up the systems where those records end up so a failure doesn't leave a hole in a patient chart.

Multi-Location Practice Networking

Many oral surgery groups run two or more offices with a surgeon rotating between them. We connect locations with secure site-to-site links so the schedule, imaging archive and patient charts follow the surgeon, set consistent security policy at every office, and give you one view of devices and patch status across all sites.

Encrypted, Tested Backups

We back up the practice management database, imaging archive and file shares to encrypted, immutable storage off-site, plus a local copy for fast restores. Then we actually test restores on a schedule and write down how long they took, so you know what a recovery looks like before you're in the middle of one.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Fewer Postponed Surgical Cases

When imaging, scheduling and charting stay up, fasting patients don't get sent home and surgeons don't sit idle waiting for a scan to load. Stable systems protect the OR time you've booked and respect the patients who rearranged work, rides and childcare to be there.

Stronger Ties With Referring Offices

Referring dentists notice when your reports come back on time and when your office never asks them to resend a scan or a medical history. Reliable intake and a working imaging pipeline make your practice the easy one to send patients to, which matters in a referral business.

Cleaner Answers for Insurers

Cyber insurance applications now ask detailed questions about MFA, backups, email filtering and remote access. We keep the evidence current and organized, so the person filling out the renewal form is answering from real configuration records instead of guessing what the IT setup looks like.

Clear Ownership of Access

Named logins, MFA and documented offboarding mean you know exactly who can open charts, sign prescriptions or touch the imaging archive. When an assistant or associate surgeon leaves, their accounts, tokens and remote access are shut off the same day, not discovered months later.

Our Process

1
We walk through a surgical day with your office manager: referral intake, imaging, sedation documentation, prescribing and checkout, noting every system involved.
2
We inventory workstations, imaging hardware, servers, vendor remote tools and accounts, and flag anything unsupported, shared or exposed to the internet.
3
We segment the imaging equipment, harden referral mailboxes and turn on MFA, coordinating with your imaging and software vendors before any change.
4
We put encrypted, off-site backups in place for the practice management database and imaging archive, then run a test restore you can see.
5
We take over day-to-day support during business hours, with after-hours emergency response for active incidents, plus monitoring and patching for every device.
6
We review risks, access lists and backup results with you on a regular schedule and update your HIPAA security documentation as things change.

Frequently Asked Questions

Can you support our CBCT scanner and imaging software?▼
We support the IT around it: the acquisition PC's network, the imaging server, storage, viewer installs on operatory workstations, and backups of the image archive. Changes inside the scanner itself, like firmware or calibration, stay with the manufacturer's service team, and we coordinate with them so updates don't break viewing or storage. If your acquisition PC runs an older operating system because the vendor only supports that version, we isolate it on its own network segment rather than forcing an upgrade the vendor won't support. That keeps you working without leaving an old machine exposed to the rest of the office.
Do you set up the two-factor sign-in for EPCS?▼
Yes, on the IT side. Federal rules for electronic prescribing of controlled substances require two-factor authentication when a prescriber signs. Your e-prescribing vendor defines which methods they accept, such as a hard token, an authenticator app or a biometric reader. We make sure the workstations, browsers and identity settings work with that method, help enroll each surgeon, and keep a clear record of which credential belongs to which provider. When a surgeon leaves or a token is lost, we help you revoke it quickly. The identity proofing step is handled through your EPCS vendor's process.
How do you handle referral attachments safely?▼
We put layered filtering on the mailboxes that receive referrals: attachment sandboxing that opens files in isolation before delivery, link rewriting, and warnings for lookalike or first-time senders. We also suggest giving referring offices a secure upload link or encrypted email option so x-rays and medical histories don't arrive as loose attachments. Staff get short, practical training on what a real referral packet looks like versus a lure. None of this slows down legitimate referrals; it just means the risky ones get caught before someone at the front desk opens them.
What happens if our imaging server fails on a surgery day?▼
The goal is that it doesn't, so we monitor disk health, storage space and server performance and replace failing parts before they quit. If it fails anyway, we restore from the local backup copy first because it's fastest, and fall back to the off-site copy if needed. Your recovery plan says which cases can proceed using previously exported images and which need to wait. We test restores ahead of time so the recovery time is a known number for your practice, not a guess made under pressure while patients wait.
Will this take care of HIPAA for our practice?▼
No IT provider can handle HIPAA for a practice on its own. HIPAA covers your policies, training, business associate agreements and how your staff handle patient information, not just technology. What we do is support HIPAA requirements on the technical side: risk analysis input, access controls, encryption, audit logging, backups and incident response planning, with documentation you can show. We'll sign a business associate agreement. Decisions about breach notification or legal obligations belong with your attorney, and we'll work alongside counsel if an incident happens.
We have two offices and surgeons who rotate. Can you make that easier?▼
Yes. We connect your locations with encrypted site-to-site links so the practice management system, imaging archive and charts are available wherever the surgeon is working that day. We standardize workstation builds, security settings and printers across offices so nothing behaves differently at the second location. Surgeons get the same login and MFA experience at each site, and you get one dashboard showing device health, patch status and backups for every office. When you add a location, it gets built to the same standard from day one.
