Keep the schedule, the sensors and the claims running in every operatory

Dental Practices IT Services

A dental office runs on one practice management server and a handful of operatory PCs, and when either goes down the whole schedule stalls.

At a glance

Patients sit in the chair while the hygienist waits for an x-ray that won't open, and the front desk can't check eligibility or post payments.

We support Dentrix, Eaglesoft, Open Dental and the imaging bridges that tie them to your sensors, pano and CBCT.

We lock down the front-desk mailbox, keep imaging data backed up off-site and tested, and document the security work a HIPAA risk analysis asks for.

Single-doctor offices and growing groups in Texas and nationwide get remote support from U.S.-based engineers, plus local hands when an operatory needs them.

IT that keeps chairs full, x-rays opening, claims moving.

Practice management, imaging and security support built around how a dental office actually runs its day.

Inside the operatory

A dental day hangs on one server and a sensor

Most dental offices don't notice their IT until the morning huddle runs long because the schedule won't load. Here's what that day depends on, where it usually breaks, and the specific changes that keep hygiene and doctor columns moving without anyone calling the vendor in a panic.

01 · The pressure

Every column on the schedule needs the server

Your practice management database sits on one machine in a closet, and every operatory, the front desk and the imaging software all read from it. Sensors plug into USB ports on chairside PCs that need the right driver and the right bridge. When that server reboots for an update at the wrong time, you lose charting, x-rays and checkout at once. A lost morning means rescheduled patients, idle hygienists and claims that don't go out until next week.

  • Practice management server shared by every room
  • Sensor drivers tied to specific operatory PCs
  • Clearinghouse claims and eligibility checks online

02 · How it breaks

A phished front desk and an open remote tool

Dental offices get hit the same few ways. Someone at the front desk opens a fake insurance remittance and types their email password into a lookalike page. A support vendor left an unattended remote access tool on the server with a reused password. Imaging data lives on a mapped drive every workstation can write to, so ransomware encrypts the x-rays along with everything else. And the backup nobody tested turns out to skip the imaging folder entirely.

  • Fake remittance and EOB phishing emails
  • Always-on vendor remote access with weak passwords
  • Imaging shares writable from every PC

03 · What we change

Locked-down operatories and backups you can restore

We put MFA on email and the practice management login, remove stale vendor tools and broker the ones you need through approved, logged sessions. Endpoint detection runs on every operatory PC and the server. Imaging and database backups go to immutable off-site storage, and we run a restore test so you know the x-rays come back. Updates get scheduled after hours with your imaging vendor's compatibility in mind, so Monday morning starts clean.

  • MFA on email, remote access and practice software
  • Immutable off-site backups with restore tests
  • After-hours patching checked against imaging bridges

04 · The after

Mornings start on time and audits have answers

The schedule loads, sensors capture, and checkout posts without the office manager chasing anyone. When your cyber insurer sends its renewal questionnaire, you have real answers about MFA, backups and endpoint protection. If a HIPAA risk analysis or a patient complaint lands, the security documentation already exists. Opening a second location becomes a copy of a known setup instead of a fresh guessing game.

  • Insurance questionnaires answered with evidence
  • Risk analysis documentation kept current
  • New locations built from a known standard

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Practice Management Server Care

We look after the server that runs Dentrix, Eaglesoft or Open Dental: database health, disk space, Windows updates timed around your hours, and version upgrades planned with the software vendor. If you're weighing a move to Dentrix Ascend or another cloud product, we map what changes for imaging, printers and the front desk before you commit.

Imaging and Sensor Support

Intraoral sensors, pano units and CBCT machines depend on drivers, bridges and capture software that break after careless updates. We keep a record of which PC drives which device, test updates against your imaging stack, and coordinate with the equipment vendor when the issue lives inside the device rather than on the PC.

Front Desk Email Protection

The front desk mailbox gets insurance correspondence, patient forms and vendor invoices, which makes it the favorite phishing target in the building. We add MFA, filter impersonation and lookalike domains, and train staff with short exercises built around fake EOBs and payment-change requests they'll actually see.

Ransomware-Ready Backups

Backups cover the practice database, the imaging archive and scanned documents, with immutable copies stored off-site. We test restores on a schedule and write down how long a full recovery takes, so you know whether a bad Tuesday costs you an afternoon or a week.

Vendor Remote Access Control

Dental software, imaging and phone vendors all want remote access to your server. We remove always-on tools, require MFA, and set up access that's approved per session and logged, so a vendor's compromised account can't become your breach. You still get fast help from the imaging company; it just happens through a door you control.

HIPAA Security Documentation

We help you produce and maintain the technical pieces of a HIPAA security risk analysis: asset inventory, access controls, encryption status, backup evidence and audit logging. Your compliance lead or consultant gets accurate facts instead of guesses, and counsel handles any legal judgment calls about policy or notification.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Fewer Lost Mornings

Planned maintenance and monitoring catch full disks, failing drives and stuck updates before they take down the schedule. Your team spends the morning on patients instead of waiting on a phone tree to reach the software vendor.

X-Rays That Survive an Incident

Imaging archives are often the hardest data to rebuild and the easiest to forget in a backup plan. Immutable, tested copies mean an encrypted server becomes a recovery project, not a lost patient history or a pile of retakes.

Cleaner Insurance Renewals

Cyber insurers ask pointed questions about MFA, backups, endpoint protection and remote access. We give you documented answers backed by real configuration and screenshots, so the renewal form reflects your actual controls and doesn't come back to bite you after a claim.

Room to Add Locations

A documented standard for operatory PCs, networking, phones and imaging makes the next office faster to open. New associates and assistants get the same login experience, the same chairside setup and the same protections on day one.

Our Process

1
We walk the office, inventory every operatory PC, sensor, imaging device and the practice management server, and note which vendor supports each piece.
2
We review email, remote access, backups and user accounts against the threats dental offices actually face and give you a plain-language risk list.
3
We fix the urgent items first: MFA, stale vendor tools, untested backups and unsupported Windows machines in operatories.
4
We move monitoring, endpoint detection and patching under our management, scheduling updates around your clinical hours and imaging compatibility.
5
We run a restore test of the practice database and imaging archive and document how long a full recovery takes.
6
We meet quarterly to review risk, plan hardware refreshes, and prepare for insurance renewals or new locations.

Frequently Asked Questions

Can you support Dentrix, Eaglesoft or Open Dental without replacing them?▼
Yes. We don't sell practice management software and we're not trying to switch you. We support the server, workstations, network and security around the product you already use, and we work alongside the software vendor's own support team. When an issue is clearly inside the application, like a corrupted chart or a billing setting, we open the ticket with the vendor and stay on it with them. When it's the server, the network or a Windows update, we fix it directly. You get one call instead of three vendors pointing at each other.
Our sensor stopped working after a Windows update. Is that something you handle?▼
It is, and it's one of the most common dental IT problems we see. Sensor drivers, imaging bridges and capture software are sensitive to Windows and USB driver changes. We keep a record of each operatory's sensor model, driver version and imaging software, and we stage updates so they don't land on clinical machines before we've checked compatibility. If a device itself has failed, or needs a firmware change inside the unit, we coordinate with the manufacturer or your equipment dealer rather than guessing at it.
Should we move our practice software to the cloud?▼
Maybe, but it depends on your imaging setup more than the practice software. Cloud practice management removes the on-site database server, but imaging often still needs local capture PCs and storage, and your internet connection becomes critical. We look at your current imaging workflow, connection reliability, printers, signature pads and integrations, then tell you what would change day to day. Some offices go fully cloud, some go hybrid, and some stay on-premises with better backups. We'll give you a straight comparison before you sign anything.
Does a small dental office really need cybersecurity beyond antivirus?▼
A small office is exactly who gets targeted, because attackers assume nobody's watching. Basic antivirus doesn't stop a stolen email password, a vendor's remote tool left open, or ransomware run by a person sitting inside your network. The controls that matter most are fairly practical: MFA on email and remote access, endpoint detection with someone reviewing alerts, backups that can't be encrypted, and removing old accounts. We scale those to the size of your office so you're not paying for enterprise tools you don't need.
What happens if our office gets hit with ransomware?▼
First, call us and don't pay or wipe anything yet. We isolate affected machines, preserve evidence, and work out what was encrypted and whether data may have left the network. Restoring from immutable backups usually gets the practice database and imaging back, and we prioritize the systems that let you see patients again. Whether the incident counts as a reportable breach under HIPAA is a legal question, so we work with your counsel and insurer and give them the technical facts they need. Our engineers work business hours, and active incidents get after-hours emergency response.
Can you help with our HIPAA security risk analysis?▼
We can handle the technical side of it. A risk analysis needs accurate facts about where patient data lives, who can reach it, whether it's encrypted, how backups work and what logging exists. We gather and document those facts, point out gaps, and fix the ones in our scope. Your privacy officer, compliance consultant or attorney owns the policies, training records and any legal interpretation. We support HIPAA requirements with real evidence; we don't hand you a template and call it done.
Do you provide Dental Practices IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers dental practices IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Dental Practices IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
