Intake, adoptions and medical records that don't stop when the network does.

Animal Shelters & Rescues IT Services

A shelter can't close its doors when the computers go down: animals keep arriving at intake, adopters keep showing up, and the vet team still needs every vaccine and medication history on screen.

20+ Years Experience

At a glance

Your shelter software ties all of that together, along with adoption fee payments, microchip registrations and the listings that feed adoption websites.

We run IT and security for municipal shelters, private humane societies and foster-based rescues, covering shelter management systems, Microsoft 365 or Google Workspace, front-desk payment stations, clinic workstations and the personal phones your foster coordinators live on.

We support animal welfare organizations in Texas and nationwide, remotely and with local technicians our engineers direct.

IT that keeps kennels tracked, adoptions closing, fosters connected.

Support for shelters and rescues where every record follows a living animal from intake to a new home.

Shelter and rescue IT

Every animal has a record, and the record has to move

A shelter day runs on one system: the record that follows each dog, cat or rabbit from the intake door through the clinic, the kennel card, the adoption listing and the contract. Staff and volunteers touch it all day from shared desks and their own phones. Here's what that pressure looks like, where it breaks, and how we shore it up.

01 · The pressure

Intake at one door, adopters at the other

Animal control drops off strays at 8 a.m. while the adoption counter opens at 10. Intake staff scan for microchips and create records in Shelterluv, PetPoint or Chameleon. The clinic pulls those records to log vaccines, spay and neuter surgeries and controlled drug use. Listings sync to adoption sites, and fosters update their animals from home. If the shelter software or front-desk network stalls, holds get missed, kennel cards go stale and adopters walk out without signing.

  • One record drives intake, clinic and adoption
  • Hold periods and owner claims run on dates
  • Listings feed outside adoption websites

02 · How it breaks

Shared desk logins and foster group chats

The adoption counter often runs under one shared shelter software login that half the volunteers know. A foster coordinator downloads medical records to a personal phone, then the phone is lost. A phished director mailbox sends a fake invoice to the county or a vendor. Someone posts an adopter's address in a public foster group by mistake. And a card reader on an old front-desk PC with no updates becomes the weak link in every adoption fee you take.

  • Shared logins at the adoption counter
  • Animal and adopter data on personal phones
  • Unpatched PCs running card readers

03 · What we change

Named accounts, managed phones, cleaner payments

Every staff member and regular volunteer gets their own login with permissions that fit the job, so clinic notes and controlled drug logs stay with clinic staff. We put MFA on email and shelter software, enroll staff phones and tablets in device management so shelter data can be wiped without touching personal photos, and move adoption payments to processor-provided terminals. Clinic workstations and the guest Wi-Fi for adopters go on separate networks, with backups covering mail and files.

  • Role-based access for clinic, intake and counter
  • Mobile management for foster coordinator phones
  • Processor terminals instead of PC card readers

04 · The after

Adoption events that run on their own

When you hold a weekend adoption event in a parking lot or a pet store, tablets and card readers just work because they're managed and tested before the weekend. A lost phone is a ten-minute wipe, not an exposure. If a county contract manager or auditor asks how animal and adopter records are protected, your director can answer with specifics. And the clinic team stops sharing one login just to get through a busy surgery day.

  • Off-site events with tested, managed devices
  • Lost phones wiped without drama
  • Clear answers for county contracts and boards

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Shelter Management Software Support

We support the environment around Shelterluv, PetPoint, Chameleon or ShelterBuddy: user accounts, permissions, browsers, label and kennel card printers, microchip scanners and the integrations that push listings to adoption sites. When something breaks inside the application, we work it with the vendor's support team and document the fix so the next person isn't starting over.

Adoption Counter and Payment Security

Adoption fees, license fees and donations often run through the same front desk. We move card acceptance to terminals or hosted pages supplied by your processor, keep counter PCs patched and locked to the apps they need, and separate them from the adopter Wi-Fi in the lobby. That shrinks your card data footprint and keeps fee collection steady on busy Saturdays.

Foster and Volunteer Device Management

Foster coordinators and transport volunteers do most of their work from phones. We enroll staff-owned or shelter-issued devices in mobile management, keep shelter apps and mail in a protected work container, and set up remote wipe that touches only shelter data. Volunteers get limited, named accounts that end when they stop volunteering.

On-Site Clinic Workstations

Shelter clinics keep vaccine, surgery and medication records that the vet team relies on daily. We manage clinic PCs and imaging workstations, restrict access to clinic staff, and coordinate with the vendors of digital X-ray and lab equipment for anything inside their systems. We handle the network, accounts and backups around them.

Email and Social Account Protection

Your director's mailbox and your Facebook and Instagram accounts carry a lot of trust with donors, adopters and the public. We enforce MFA, block lookalike sender domains, alert on suspicious mailbox rules, and set up shared admin access to social pages so a departing volunteer can't take your audience with them.

Backup for Records and Contracts

Adoption contracts, medical histories, municipal intake records and grant files need to survive a ransomware attack or a deleted folder. We back up Microsoft 365 or Google Workspace, file shares and any local servers to isolated, versioned storage, then test restores so you know the records come back.

Adopters Leave With Their Pet

Managed counter PCs, working printers and reliable payment terminals mean an adoption isn't held up by a frozen screen. Families sign, pay and leave with their new dog the same afternoon, and your staff aren't apologizing for the computers.

Volunteers Get Just Enough Access

Named, limited accounts let volunteers update kennel notes or check in animals without seeing adopter addresses, clinic logs or finance files. When someone moves on, one click removes their access instead of changing a shared password for everyone.

Municipal Contracts Stay in Good Standing

Shelters that hold animal services contracts with a city or county are often asked how intake records and stray hold data are kept. Backed-up, access-controlled systems give your director straight answers when a contract manager or auditor asks.

Lost Phones Become Minor Events

With staff and foster coordinator phones under management, a phone left at a transport stop gets wiped remotely. Your animals' medical histories and adopters' home addresses and phone numbers don't end up in a stranger's hands, and nobody has to call the board about it.

Our Process

1
We walk the shelter from intake to kennels to clinic to adoption counter, listing every PC, printer, scanner, tablet and network device.
2
We map who uses your shelter software, email and social accounts, including volunteers and fosters, and find every shared login.
3
We replace shared accounts with named, role-based ones, turn on MFA and enroll staff and coordinator phones in device management.
4
We move card payments to processor terminals, separate clinic, counter and lobby networks, and patch the PCs that remain.
5
We set up isolated backups for mail, files and records, then run a test restore with your operations manager watching.
6
We stay on with help desk support, device prep before adoption events and a yearly access review as volunteers come and go.

Frequently Asked Questions

Our volunteers all share one shelter software login. How do we fix that without slowing things down?▼
Most shelter platforms support individual user accounts with role-based permissions, and many offer volunteer-level roles. We set up named accounts by role, so kennel volunteers update notes, counter staff process adoptions, and only clinic staff see medical and controlled drug records. Sign-in stays fast with saved credentials on managed shelter PCs and MFA tied to a phone app. The payoff is real: you can see who changed a record, and removing a volunteer doesn't mean changing a password everyone knows.
Do PCI rules apply to a small rescue taking adoption fees?▼
If you accept card payments, the card brands expect you to protect cardholder data under PCI DSS, whatever your size. Your processor usually asks you to complete a self-assessment each year. The easiest way to keep that light is to keep card data off your own computers entirely, using terminals or hosted payment pages from your processor. We set that up, keep the remaining counter PCs patched and separated, and help you answer the self-assessment questions accurately.
Our clinic keeps controlled drug logs. Does that affect IT?▼
If your shelter or its veterinarian holds a DEA registration, the controlled substance records required under 21 CFR Part 1304 have to be complete, accurate and available for inspection. Whether you keep them on paper or in software, we make sure electronic records are backed up, limited to authorized clinic staff and protected from casual edits. Your veterinarian and counsel decide what the records must contain. We make sure the system holding them stays available and trustworthy.
Can you support our adoption listings on outside websites?▼
Your shelter software usually pushes adoptable animals to sites like Petfinder or Adopt-a-Pet through a built-in feed. When photos stop syncing or listings go stale, the cause is often an expired credential, a changed account owner or a vendor-side setting. We troubleshoot that with the vendors, make sure the accounts belong to the organization rather than a former volunteer, and protect them with MFA so nobody can post fake listings under your name.
What should we do about foster coordinators using personal phones?▼
Personal phones are fine if shelter data lives in a managed work space on them. We enroll those phones lightly, without seeing personal photos or messages, and keep shelter email, files and apps inside a protected container. If a phone is lost or a coordinator leaves, we remove only the shelter data. We also set a simple rule: medical records and adopter details go through your shelter software or shared drive, not group chats or social media messages.
Can you help us before a big off-site adoption event?▼
Yes. A week ahead, we check that event laptops or tablets are updated and charged, that card readers are paired and tested with your processor, and that the shelter software works over a mobile hotspot if the venue Wi-Fi is weak. We set up a guest network if the venue lets you, and make sure event devices sign out automatically. During the event, your staff have a number to call if a card reader or tablet acts up.
