When the warehouse system stops, trucks stop, and so do meals.

Food Banks IT Services

A food bank is a distribution business wearing a nonprofit's budget: if the inventory system or partner ordering portal goes down, pallets sit, routes slip and pantries go short that week.

At a glance

On top of the warehouse, you hold client intake records with household income, donor card data and USDA commodity records you're required to keep.

We run IT and security for food banks and large pantry networks: warehouse and inventory systems, Microsoft 365, donor platforms, volunteer kiosks, cold storage alerting networks and the laptops in the cab of every truck.

We support food banks in Texas and nationwide, remotely and with local technicians directed by our engineers.

IT that keeps pallets moving, pantries stocked, donors confident.

Support for warehouses, partner agencies and volunteers that turn donated food into meals on someone's table this week.

Food bank IT

Every hour offline is food sitting on a dock

Food banks run tight logistics on a thin staff, with large volunteer groups rotating through every month. Inventory, orders, client data and donations all move through a handful of systems, many shared across busy warehouse floors. Here's what that looks like day to day, how it tends to break, and what we put in place to keep food moving.

01 · The pressure

Perishables, routes and partner orders on a clock

Each morning starts with partner agency orders pulled from Primarius or Ceres, picked on the warehouse floor and loaded onto routed trucks. Grocery rescue pickups arrive on their own schedule, and produce has days, not weeks. Volunteers check in at kiosks, intake teams record households in Link2Feed or PantryTrak, and development staff process donations. When the inventory system or network stops, orders can't be picked and perishable food starts to spoil.

  • Inventory and ordering drive every shipment
  • Perishable product has very little slack
  • Volunteers rotate through shared computers

02 · How it breaks

Shared kiosks, skimmed donations and silent ransomware

A volunteer check-in kiosk or warehouse PC logged in all day under one shared account is an easy first foothold. Ransomware that reaches the inventory server halts picking for days. Donation pages on an unpatched website can be injected with card-skimming scripts during a holiday campaign. Finance gets an email that looks like a grocery partner or trucking vendor updating payment details. And intake data exported to a thumb drive for a grant report disappears.

  • One shared login on floor PCs and kiosks
  • Ransomware stalling picking and routing
  • Card skimmers on holiday donation pages

03 · What we change

Locked-down floor devices and a recoverable warehouse

We convert volunteer kiosks to locked, single-purpose browser stations and give warehouse PCs individual or role logins with automatic sign-out. The inventory server or cloud platform gets MFA, endpoint protection and tested, isolated backups. We separate the warehouse network from guest Wi-Fi and from the networks that carry refrigeration alerts, add script monitoring to donation pages, and keep client intake exports in an encrypted, access-logged location instead of on USB drives.

  • Kiosk-mode stations for volunteer check-in
  • Isolated, tested backups of inventory data
  • Separate networks for floor, guests and cold storage

04 · The after

Holiday rush without the IT scramble

When November swells the volunteer roster, check-in and picking keep working because floor devices are managed and easy to replace. If something does hit the inventory system, you restore from a clean backup instead of negotiating. Your executive director can tell the board, USDA reviewers and major donors exactly how client and donor data is handled. And your operations manager has one number to call when a scanner or label printer quits.

  • Floor devices swapped and back online quickly
  • Clean restore path for inventory and orders
  • Clear answers for board, donors and reviewers

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Warehouse and Inventory System Support

We support the IT around Primarius, Ceres or your inventory platform: servers or cloud tenancy, user accounts, handheld scanners, label printers and integrations with routing and accounting. When order picking stops, we work the problem with your vendor and your operations team until trucks are loading again, and we write down what fixed it.

Volunteer Kiosk Hardening

Volunteer check-in and intake stations see a constant churn of different hands. We set them up in kiosk mode, limited to the scheduling or intake app, with no access to email, file shares or admin tools. They reset cleanly after each session, update automatically and can be replaced from a standard image in minutes if one gets damaged.

Client Intake Data Protection

Household intake records include names, addresses, income and household size. We secure the accounts used for Link2Feed, PantryTrak or Oasis Insight with MFA, restrict exports, keep any downloaded reports in encrypted folders with logging, and make sure partner agency staff only see the clients they serve.

Donation Page and Donor Data Security

Year-end and disaster appeals bring heavy traffic to your giving pages. We keep the website patched, watch for injected scripts on donation pages, keep card processing inside hosted forms from your processor, and protect Raiser's Edge or your donor CRM with MFA and role-based access.

Ransomware-Resistant Backup

Your inventory database and order history are what stand between a cyber incident and a missed distribution week. We keep isolated, versioned backups of servers, cloud data and Microsoft 365, test restores on a schedule, and write a recovery runbook your operations director can follow.

Warehouse Network and Cold Storage Boundary

Warehouses need reliable Wi-Fi for scanners, a separate guest network for volunteers, and a protected path for refrigeration and temperature alerting systems. We design and manage that separation and secure remote access to alert dashboards, coordinating with your refrigeration contractor for any changes inside their equipment.

Why Choose LayerLogix?

Distributions Stay on Schedule

Managed devices, monitored servers and a tested recovery plan mean an IT problem costs you an hour, not a distribution week. Partner pantries get their orders, routes run as planned and perishable donations go out before they turn.

Volunteers Can't Break Anything

Kiosk-mode stations and role-based warehouse logins let a new volunteer group start working within minutes while keeping them away from email, finance files and client records they don't need to see. Staff keep their own accounts and their own permissions.

Donors Give With Confidence

Hosted payment forms, monitored donation pages and protected donor records reduce the risk of a skimming incident in the middle of your biggest campaign of the year, when donor trust matters most. Your development team can focus on the appeal itself.

Records Ready for Reviews

USDA commodity programs and grant funders expect organized, retrievable records. Backed-up, access-controlled systems make it straightforward to produce distribution and intake records when your state agency or a funder asks for them. Nobody has to dig through old laptops to find them.

Our Process

1
We walk the warehouse and offices, inventorying servers, scanners, printers, kiosks, network gear and every system from inventory to donor CRM.
2
We trace a day's flow from partner order to loaded truck to find the single points of failure that would stop distributions.
3
We lock down volunteer kiosks and shared floor PCs, enable MFA on key systems and separate guest, floor and cold storage networks.
4
We put isolated backups in place for inventory, client intake and Microsoft 365 data, then test a restore with your operations lead.
5
We secure donation pages and finance mailboxes ahead of your next major campaign and train staff to verify any payment change request.
6
We stay on with help desk support, device replacement, patching and a pre-holiday readiness check every fall.

Frequently Asked Questions

Our warehouse PCs are shared by everyone. Is that really a risk?▼
Yes, because a shared, always-on login gives anyone who walks up full access, and if malware lands on that PC there's no way to trace it or limit it. We usually split floor devices into two groups: kiosk stations locked to one app for volunteers, and role-based logins for staff with automatic sign-out after inactivity. Both are easy to replace from a standard image. It keeps the floor moving without leaving your inventory system one click away from a stranger.
Do you support Primarius and Ceres?▼
We support the environment they run in: the servers or cloud access, workstations, scanners, label printers, network and integrations to accounting and routing. For problems inside the application itself, we work alongside the vendor's support team and your inventory staff rather than replacing them. We also document your setup, user roles and backup process, so a staff change or vendor upgrade doesn't leave you guessing how things were configured. That record is yours to keep.
What do USDA programs require from our IT?▼
USDA commodity programs such as TEFAP require you to keep accurate records of receipt, storage and distribution for set periods, and your state agency will review them. The rules don't prescribe specific IT products, but your records have to exist, be accurate and be retrievable. We make sure the systems holding those records are backed up, access-controlled and recoverable. If your state agency or a grant adds data security terms, we help you document how you meet them.
How do you keep client intake information private?▼
We start with who can see it. Intake staff and partner agencies get access only to the households they serve, with MFA on their accounts. Exports for grant reports go to encrypted folders with access logging instead of thumb drives or email. Intake tablets and laptops are encrypted and can be wiped remotely. And we train staff not to discuss or photograph client information on personal phones. Clients share sensitive details to get food, and they should be able to trust you with them.
Can you help with our refrigeration and temperature alarms?▼
We handle the IT side: the network those systems sit on, firewall rules, secure remote access to monitoring dashboards and making sure alert emails and texts actually reach the on-call person. We keep that equipment on its own network segment so a compromised office PC can't touch it. Changes to the refrigeration controllers, sensors or the vendor's software stay with your refrigeration contractor or OEM, and we coordinate with them when network changes affect their equipment.
What should we do before our holiday giving campaign?▼
Give us a few weeks before launch. We patch the website and its plugins, confirm donation pages use hosted forms from your processor, and turn on monitoring for unexpected script changes on those pages. We check MFA on finance and development mailboxes, remind staff about payment-change scams, and verify that donor CRM backups are current. We also confirm extra volunteer kiosks are ready, since holiday volume brings new groups who need working check-in stations from the first shift.
