Opening night can't wait for a frozen box office or a locked ticketing account.

Arts Organizations IT Services

Arts organizations sell a moment that can't be rescheduled, so a box office outage at curtain time or a ransomware hit during subscription season costs revenue you never get back.

20+ Years Experience

At a glance

Behind the stage you're holding years of patron and donor history, card payments, collection records and digital media archives, often on a lean staff with seasonal crews.

We run IT and security for theaters, museums, orchestras, galleries and arts centers: ticketing and CRM access, box office hardware, Microsoft 365, collections systems and the boundary between office networks and show control.

We support arts groups in Texas and nationwide, remotely and on site when needed.

IT that keeps the curtain on time, the box office open, patrons coming back.

Support for organizations whose biggest nights happen once, from the subscription launch to the last bow and the gala after it.

Arts IT

The show starts at eight, whatever IT says

Performing arts groups and museums run on deadlines nobody can move: curtain times, exhibit openings, gala nights. The tech behind them is a mix of ticketing CRM, box office stations, show control gear and archives of irreplaceable images and recordings. Here's how that environment gets hurt, and what we build so the show really does go on.

01 · The pressure

Subscription season, galas and curtain times

Your year swings between subscription launch, single-ticket on-sales, the gala and the run of each show or exhibit. Tessitura or Spektrix holds every patron, donor and gift. Box office stations print tickets and take cards at the window. Marketing pushes email campaigns, and museums lean on collections systems and media archives. If ticketing is down for an on-sale or doors open with a frozen scanner, that night's revenue and goodwill are simply gone.

  • Ticketing CRM holds patrons, donors and gifts
  • Revenue arrives in short, intense windows
  • Archives and media can't be recreated

02 · How it breaks

Box office PCs, gala fraud and bridged show networks

Box office computers often share a single login and browse the open web between sales. A staff member's ticketing credentials get phished and patron exports walk out. Around the gala, fake emails from an auction platform or a visiting artist's agent ask finance to update payment details. Sound and lighting networks sometimes get plugged into the office network for convenience, so malware on a laptop can reach the gear running the show.

  • Shared logins on box office stations
  • Phished ticketing credentials and exports
  • Show control gear reachable from office laptops

03 · What we change

Clean box office, protected patrons, separated stage

We rebuild box office stations as managed, locked-down devices with individual logins and limited browsing, and keep card handling on processor-supplied terminals. Ticketing, CRM and Microsoft 365 get MFA and role-based exports. Finance adopts a callback rule for artist, agent and vendor payment changes. We put show control and AV equipment on its own network, working with your production manager, and back up collections data and media archives with offsite, versioned copies.

  • Managed box office stations and terminals
  • MFA and export limits on the ticketing CRM
  • Show control on its own network segment

04 · The after

Doors open, scanners beep, nobody calls IT

On-sale mornings and opening nights become routine for the box office instead of nail-biters. Your development director can tell a major donor exactly how their giving history is protected. When a production manager wants a new console online, there's a clear path that doesn't touch the office network. And if something does break mid-season, your collections database and media archive come back from a tested backup, not from someone's old external drive.

  • Calmer on-sales and opening nights
  • Donor data questions answered plainly
  • Archives restorable from tested backups

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Ticketing and Patron CRM Support

We support the IT around Tessitura, Spektrix, AudienceView or your ticketing platform: user access, MFA, workstation setup, ticket printers and scanners, and integrations with your email and accounting tools. We coordinate with the vendor's support team on platform issues and help you set role-based limits on who can run patron and donor exports.

Box Office Hardening

Box office stations face the public and handle money, so we treat them carefully. Individual logins, restricted browsing, managed updates and card payments kept on processor terminals rather than typed into a browser. We keep a spare imaged station ready, so a failed PC on show night is a swap, not a delay at the window.

Show Control and AV Network Boundary

Lighting consoles, QLab machines, sound networks and projection systems belong on their own network. We design that separation with your production manager or technical director, secure remote access for designers who need it, and coordinate with equipment vendors for any change inside the gear. Your office laptops stay off the stage network entirely.

Collections and Media Archive Protection

Museums and galleries hold collections records in TMS, PastPerfect or similar systems, along with high-resolution images, recordings and rights documents. We set up versioned, offsite backups, test restores, control who can edit or delete records, and plan storage so growing archives don't quietly outgrow the drive they live on.

Gala and Auction Season Security

Fundraising events bring auction platforms, mobile bidding, sponsor invoices and a rush of payments. We secure the accounts involved, verify that bidding platforms handle cards on their side, protect finance mailboxes from payment-change fraud and make sure event staff devices are ready before the doors open.

Seasonal Staff and Crew Accounts

Front-of-house staff, crew and teaching artists change with every season. We create accounts from role templates, give each person the access their job needs, and remove it when their contract ends. Shared logins for ushers or box office temps get replaced with individual ones that can be turned off cleanly.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

No Lost On-Sales or Opening Nights

Prepared box office stations, spare hardware and a support line that understands show schedules mean technical problems don't eat into the revenue windows that matter most. Patrons get their seats and the curtain goes up on time.

Donor and Patron Trust Protected

Your patron database represents decades of relationships. MFA, export controls and staff training reduce the chance of a leak that ends up in a letter to subscribers, which protects both the relationship and next year's renewal numbers.

The Stage Stays Separate

Show control running on its own network means a phishing email in the marketing office can't interrupt a performance. Designers and technicians still get the remote access they need, with logins you can track and turn off.

Archives That Outlast Staff Changes

Versioned, tested backups of collections records and media mean your institution's memory doesn't depend on one registrar's laptop or an aging drive in a closet. You can show your board and lenders that irreplaceable records are protected.

Our Process

1
We inventory ticketing, CRM, box office hardware, collections systems, media storage, show control gear and every staff and crew account.
2
We map your season calendar so on-sales, openings and galas shape when we make changes and when we freeze them.
3
We lock down box office stations, enable MFA on ticketing and email, and move card handling onto processor terminals.
4
We work with your production team to separate show control and AV networks from office systems, with controlled remote access for designers.
5
We set up versioned, offsite backups for collections data, media archives and Microsoft 365, and test a restore with your registrar or archivist.
6
We provide ongoing help desk support, seasonal account reviews and a readiness check before each subscription launch and gala.

Frequently Asked Questions

Do you support Tessitura and Spektrix?▼
We support the IT environment those platforms depend on: user accounts and MFA, workstations, ticket printers, barcode scanners, networking and connections to your email marketing and finance tools. For issues inside the platform, we work with the vendor's support team and your ticketing manager. We also help set sensible role-based permissions, especially around who can export patron lists, since exports are one of the most common ways donor and patron data ends up somewhere it shouldn't.
Will your network changes affect our sound and lighting?▼
Only with your production team's agreement and on their schedule. Show control systems are sensitive to timing and network changes, so we plan any work around rehearsals and performances, never during a run without sign-off. Our role is to keep that network separate from office systems and to secure remote access to it. Changes inside lighting consoles, audio processors or projection systems stay with your technical director and the equipment vendors, and we coordinate with them.
What does PCI DSS mean for our box office?▼
If you take card payments at the window, online or at events, PCI DSS applies, and your processor will usually ask for an annual self-assessment. The easiest way to reduce your burden is to keep card data out of your own systems: use processor-supplied terminals at the window and hosted payment pages online, and never write card numbers down for phone orders. We help confirm your setup works that way, fix gaps, and gather the details you need for the questionnaire.
How should a museum protect its collections database?▼
Treat it like the institutional record it is. We control who can edit or delete records, keep versioned backups so an accidental bulk change can be rolled back, and store copies offsite so a fire, flood or ransomware event doesn't take the only copy. High-resolution images and media need storage that grows with the collection. We also test restores with your registrar, because a backup you've never restored is a hope, not a plan.
Can you help during our gala?▼
Yes. Before the event we check that staff devices are ready, the auction or mobile bidding platform accounts are protected with MFA, and card handling stays on the platform's side. We remind finance to verify any payment-detail changes from vendors, sponsors or auction companies by phone. On the night, your team can reach our help desk for login, device or payment app issues, and for on-site help we can arrange a technician near our offices or a vetted local tech.
Our crew and front-of-house staff change every season. How do you handle that?▼
We build account templates for each role, such as box office, usher lead, crew or teaching artist, so creating access for a new hire takes minutes and grants only what that role needs. When contracts end, an offboarding checklist removes email, ticketing and file access the same day. Shared logins for temporary box office staff are replaced with individual accounts, which also makes it possible to see who processed a refund or exported a list.
Do you provide Arts Organizations IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers arts organizations IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Arts Organizations IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
