Our AMS is cloud-hosted. Isn't security the vendor's job?▼
The vendor secures its platform, but you control who logs in and what they can see. Most association data incidents start on your side: a staff password reused from another site, an admin account for someone who left two years ago, or a volunteer exporting the full roster to a personal laptop. We configure MFA and roles inside the AMS, review accounts regularly, and secure the email accounts that can reset AMS passwords. The vendor's job and yours fit together, and we handle your half.
How do you handle volunteers who need member data?▼
Volunteers are essential, but they come and go with every board term and they use their own devices. We give committee chairs and chapter leaders the narrowest access the AMS allows, often a filtered view or a report rather than a full export. Where they need files, we share from your Microsoft 365 or Google Workspace with expiring links instead of email attachments. When terms end, offboarding is a checklist item tied to your governance calendar, so access doesn't linger for years.
Can you help with the annual meeting itself?▼
Yes, with the IT side. Before the event we check that registration, badge printing and payment tools work, that staff laptops are patched, and that finance knows how to verify any last-minute vendor payment changes. We can advise on event Wi-Fi for staff and on keeping card handling inside your processor's devices. If something fails on site, your staff call our help desk. For hands-on work at a venue far from our offices, we can arrange a vetted local technician directed by our engineer.
Do we need to worry about PCI DSS?▼
If you accept card payments for dues, registrations or sponsorships, PCI DSS applies to you in some form, usually through a self-assessment questionnaire your payment processor asks for. The simplest path is to keep card data out of your own systems by using hosted payment pages and processor-supplied terminals. We help you confirm that's how your setup works, fix the gaps if staff are taking card numbers by email or phone notes, and gather what you need to answer the questionnaire honestly.
What happens if a member reports a phishing email from us?▼
First, we check whether it came from your real systems or a lookalike domain. If your mailbox was compromised, we lock the account, revoke sessions, look for forwarding rules the attacker set up, and review what was sent. If it was spoofing, we tighten DMARC and can file takedown requests for lookalike domains. Either way, you get a plain summary to share with leadership. Decisions about notifying members or regulators belong with your legal counsel, and we give them the facts they need.
We're a small staff. Is this overkill for us?▼
Small associations are often the easier target because one person handles finance, IT and the AMS. The controls that matter most are not large projects: MFA everywhere, email authentication, managed laptops, backups of mail and files, and a payment callback rule. We scale the work to your size and focus on what protects dues revenue and the member list first. You don't need an internal IT department. You need someone who knows your systems and answers when you call.
Do you provide Trade & Professional Associations IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers trade & professional associations IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Trade & Professional Associations IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
