Auction Houses IT Services

An auction house earns its commission in a few intense hours, and if the internet drops during a live webcast or a buyer's payment gets redirected by a fake invoice, the damage lands on both your consignor and your reputation.

At a glance

Every sale depends on cataloging and photography, an auction management system that tracks lots, consignors and bidders, online bidding platforms streaming alongside the room, and settlements that pay consignors correctly afterward.

We run and secure the IT behind that: sale-day networks and failover internet, catalog workstations and image storage, the auction management system, the inboxes that send invoices and receive wires, and the bidder data you collect.

We support fine art, estate, equipment and specialty auctioneers in Texas and nationwide.

IT that keeps bids flowing, lots documented, wires verified.

Managed IT and security for the sale-day network, catalog studio, bidder data and settlement desk of auction houses.

Auctions & estate sales

Sale day leaves no room for a dropped connection

An auction is months of quiet work followed by a few hours where everything has to happen at once. Lots get photographed and described, bidders register online and in the room, the auctioneer calls the sale, and invoices and payments follow within days. Big-ticket buyers attract fraudsters. Here's how sale day goes wrong, and what we change.

01 · The pressure

Catalog, register, sell, settle. Then do it again.

Specialists photograph and catalog lots for weeks, building the catalog in your auction management system and pushing it to online bidding platforms. On sale day, the clerk records hammer prices while absentee, phone and internet bids compete with the room. Afterward, invoices go out, buyers pay by card or wire, shipping gets arranged, and consignors wait for settlement statements and checks. Each step depends on the one before.

  • Catalog images and descriptions drive online bidding
  • Live webcast and clerking run on the sale-day network
  • Buyer invoices and consignor settlements follow quickly

02 · How it breaks

Fake invoices, dropped streams and shared logins

A winning bidder on a painting gets an email that looks exactly like your invoice, but with new wiring instructions. Someone had been reading your accounting inbox for weeks. On sale day, the only internet circuit stutters and the online bidding platform drops mid-lot. Catalogers share one login to the bidding platform, and a former contractor still has it. Catalog images live on one photographer's laptop.

  • Spoofed invoices redirecting high-value buyer wires
  • Single internet circuit on sale day
  • Shared platform logins and images on one laptop

03 · What we change

Verified payments, redundant sale-day links, named access

We lock down accounting and client service mailboxes with strong MFA, impersonation protection and forwarding-rule alerts, and help you put a payment verification line on every invoice. Sale day gets a wired clerking network plus a second internet path with automatic failover. Bidding platform and auction system users get named accounts in a password vault. Catalog images go to shared, versioned storage with off-site backup.

  • MFA and impersonation alerts on accounting email
  • Failover internet and a wired clerk network
  • Shared, backed-up catalog image storage

04 · The after

Sales that run clean and consignors who come back

A circuit hiccup during a premium lot becomes an invisible failover instead of a frantic phone call to the platform. Buyers know to confirm wiring instructions by phone, so a spoofed invoice goes nowhere. Former contractors can't reach your catalog or bidder list. When a consignor asks how their sale and payment were handled, you show them clean records, and they bring you the next estate.

  • Live bidding survives an internet hiccup
  • Buyer payments verified before they're sent
  • Bidder and consignor data under named control

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Sale-Day Network & Failover

Live and online bidding depends on a stable connection from the clerk's desk to the bidding platforms. We build a wired network for clerking and streaming, add a second internet path with automatic failover, monitor it during the sale and set up temporary networks for off-site estate and equipment auctions.

Buyer Wire & Invoice Fraud Controls

High-value lots make your invoices a prime target for payment redirection. We harden accounting and client service mailboxes, block lookalike domains, alert on suspicious mailbox rules and help you add a clear verification line to every invoice so buyers confirm wiring instructions by phone before sending money.

Catalog Photography & Image Storage

Catalog images are the product description for online bidders and a record of each lot's condition. We set up shared, versioned storage for photographers and catalogers on Mac or Windows, organize images by sale and lot, back them up off-site and keep photo workstations and color-calibrated displays running.

Auction Management System Support

Your auction management system tracks consignors, lots, bidders, invoices and settlements. We manage users and roles, connect it to accounting and online bidding platforms, back up its data independently and handle tickets with the vendor when catalogs won’t upload to bidding platforms or consignor settlements don’t reconcile.

Bidder & Consignor Data Protection

Registration records, IDs, payment details and consignor banking information are sensitive and attractive. We restrict access by role, require MFA, keep card data with your processor and remove stray copies from spreadsheets and email, so a former employee or a phished account can't walk off with your client list.

Online Bidding Platform Access

Most houses list on more than one online platform, each with its own seller account. We move those logins into a password vault with individual access and MFA wherever offered, document who owns each account and remove access when catalogers or contractors leave, so nobody outside the house can edit a live listing.

Sales That Don't Stall

Wired clerking, failover internet and monitoring during the sale keep online bids flowing in step with the room. Consignors get the full competition for their lots, and you avoid the embarrassment of telling online bidders that the stream dropped during the headline lot.

Buyer Payments Land Safely

Hardened email and a verification line on every invoice stop the most costly scam in the auction business. Buyers trust your invoices, and you avoid disputes over a payment that disappeared into a criminal's account days before release.

A Catalog You Never Lose

Versioned, backed-up catalog images and descriptions protect weeks of specialist work. If a laptop fails the night before a catalog goes live, you restore and publish on schedule instead of reshooting lots in a panic.

Consignors Who Return

Clean settlements, accurate records and careful handling of banking details give consignors confidence. That trust is what brings the next estate, collection or equipment dispersal to your house rather than a competitor down the road.

Frequently Asked Questions

A buyer says they wired payment to an account we don't recognize. What now?▼
Have the buyer contact their bank immediately to try to recall the wire, and call us so we can check your mailboxes for compromise, hidden forwarding rules and lookalike domains. Don't release the lot until you've confirmed what happened. Involve your counsel on notification and on how to handle the loss with the buyer and consignor. Going forward, MFA, impersonation protection and a line on every invoice telling buyers to confirm wiring instructions by phone make this far less likely.
How do we keep online bidding running if the internet drops during a sale?▼
Plan for it. We give the clerk's desk and streaming equipment a wired connection, add a second internet path from a different provider or cellular, and configure automatic failover so a dropped circuit switches over without anyone touching a cable. We monitor the connection during major sales. For estate or equipment auctions on location, we plan temporary connectivity in advance, usually cellular with a backup, and test it before the auctioneer steps up to the podium.
Do auction houses need to worry about sanctions or cash reporting?▼
Some do, depending on what you sell and how buyers pay. OFAC sanctions apply to all U.S. businesses, so selling to or paying a sanctioned party is a real risk for houses with international bidders. Large cash payments can trigger IRS reporting duties. Those are legal and compliance questions for your counsel. What we provide is the IT support: reliable bidder records, protected registration and ID data, and the ability to search transaction history when your compliance lead needs it.
Can you help our photographers and catalogers?▼
Yes. We set up shared, versioned storage so images are organized by sale and lot rather than scattered across personal laptops, and we back it up off-site. We keep photo workstations, Mac or Windows, running with the editing tools your team uses, and support color-calibrated displays so images look right online. Catalogers get named accounts in the auction system and bidding platforms, so you know who edited a description and can remove access cleanly when a seasonal cataloger leaves.
Is bidder registration data a big security concern?▼
It can be. Registrations often include names, addresses, phone numbers, ID copies and sometimes card details, and your bidder list is valuable to competitors and scammers alike. We restrict access by role, require MFA, keep card data inside your payment processor rather than your own files and clean ID scans and payment details out of email and spreadsheets. If you ever have an incident, having that data contained and logged makes the response far simpler for you and your counsel.
We hold on-site auctions at estates and farms. Can you support those?▼
Yes. Field auctions need temporary networks, laptops for clerking and registration, card terminals and a dependable link to your online bidding platform. We plan connectivity ahead of time, usually cellular with a backup, build a standard field kit with configured laptops and network gear, and test it before sale day. Remote engineers stay available during business hours, and for larger events we coordinate local hands so your team can focus on the sale instead of the equipment.
Do you provide Auction Houses IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers auction houses IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Auction Houses IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
