Event-day networks that hold up, and deposits that reach your account

Event Venues IT Services

An event venue gets one shot per date: if the Wi-Fi collapses during the keynote livestream or a couple wires their final payment to a scammer pretending to be you, there’s no rescheduling the day and no getting the review back.

At a glance

Wedding venues, conference centers, banquet halls and private event spaces juggle a booking calendar, contracts and deposits months out, then host caterers, DJs, AV crews, photographers and a full house of guests who all want a connection at once. We run IT and security for venues in Texas and nationwide.

We build event networks that separate vendors, guests and your own operations, protect the booking system and inbox clients trust, and make sure deposit instructions can’t be quietly swapped.

IT that keeps the livestream live, vendors connected, deposits where due.

Event networks, vendor access and booking security built for venues where every date happens once and only once.

Booked months out

Every event date happens exactly once

Venues sell dates. A booking starts with an inquiry, becomes a contract and a deposit schedule, and ends with one long day where every vendor and guest is on site. Both ends carry risk: payments months ahead, and a crowded network on the day. Here’s how each breaks, and what we put in place.

01 · The pressure

Months of planning, one day to deliver

Your booking system holds inquiries, holds on dates, contracts, floor plans, timelines and the deposit schedule for every client. On event day, the AV team needs bandwidth for projectors and streaming, the DJ needs a connection for music, the caterer runs a mobile POS for the bar, the photographer uploads previews, and guests check in and post. If the network buckles, the presenter freezes on stage and the couple hears about it from their guests. If the inbox is compromised, the money goes first.

  • Deposits scheduled months before the date
  • AV, DJ and caterer all need bandwidth
  • Guests and livestreams load the network at once

02 · How it breaks

Spoofed invoices and one shared Wi-Fi

Attackers watch for venue email accounts to compromise, then send clients a convincing note: our bank changed, please send the final balance here. Couples and corporate planners pay, and the venue finds out at the final walkthrough. On event day, every vendor and guest joins one Wi-Fi network with one password printed on a sign, the AV crew plugs into a random wall jack, and the office PC with the booking system sits on the same network as everyone.

  • Fake bank change sent to a couple
  • Vendors and guests on one Wi-Fi password
  • Office booking PC reachable by guests

03 · What we change

Tight inbox, tiered event network

We put MFA on email and the booking platform, add alerts for inbox forwarding rules, and help you print a payment policy on every contract: our bank details never change by email, call us to confirm. The venue network gets tiers: operations, a vendor network with per-event passwords, a reserved AV and streaming lane, and isolated guest Wi-Fi. Wired drops in ballrooms are labeled and assigned. Card readers for bar service and deposits stay in their own protected zone.

  • Bank-change policy written into contracts
  • Reserved lane for AV and livestreams
  • Per-event vendor Wi-Fi passwords

04 · The after

The day goes off, and the money’s there

Clients know your payment instructions never change by email, so a spoofed message gets a phone call. The livestream holds because it has its own bandwidth. Vendors get a network that works and expires when they load out. Your coordinator’s booking calendar stays private. When a corporate client sends a security questionnaire before signing, you can answer it. And your reviews talk about the day itself, not the Wi-Fi or a payment that went to the wrong place.

  • Spoofed payment requests stopped by a call
  • Livestreams keep their own bandwidth
  • Corporate security questionnaires answered

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Tiered Event-Day Networks

We design the venue network around how events actually run: a protected operations network, a vendor network with passwords that change per event, a reserved lane for AV and streaming, and isolated guest Wi-Fi with captive portal options. Each tier gets bandwidth rules, so a hall full of phones can’t starve the keynote feed.

AV and Livestream Bandwidth

Hybrid meetings, ceremony livestreams and presentations need steady upload speed. We size the circuits, reserve bandwidth for presenters and streaming encoders, provide labeled wired drops in each room, and test before big events. We work with your in-house or outside AV partner on the handoff points so everyone knows which port to use.

Client Deposit Fraud Defense

Venues collect large deposits and final balances months apart, which makes them prime targets for spoofed invoices. We secure email with MFA and forwarding rule alerts, set up impersonation filtering and domain protections, and help you add a clear payment verification policy to contracts and confirmation emails so clients know what a real request looks like.

Booking Platform and Inbox Security

Your event management system and sales inbox hold client names, phone numbers, budgets, floor plans and contract terms. We put coordinators on named accounts with MFA, remove access when staff leave, review integrations with e-signature and payment tools, and back up exported contracts and timelines you’d need if the platform had an outage.

Vendor Access Management

Caterers, DJs, florists, photographers and rental companies rotate through constantly. Instead of one shared password on a sign, vendors get time-limited network access for their event, a clear wired-port map for gear, and no path to your office systems. Preferred vendors can get recurring access that’s easy to revoke.

Payment Zones for Bar and Box Office

Bar service, ticket sales and on-site deposit payments run through card readers that belong in their own protected network zone. We isolate them from vendor and guest Wi-Fi, document the setup, and help you complete the PCI DSS 4.0 questionnaire your processor sends, including mobile readers that move between rooms.

Events That Don’t Stall on the Network

Reserved bandwidth for presenters and streams keeps the important feeds steady when guest phones flood the Wi-Fi. Coordinators stop spending ceremonies and keynotes nervously refreshing a speed test while the AV crew asks for a better connection.

Clients Who Can Spot a Fake Invoice

A plain-language payment policy in every contract, plus a secured inbox, makes the spoofed bank-change email much less likely to work. When a client hesitates and calls you, the system is doing exactly what it should.

Vendors Who Plug In and Get Going

Clear port maps and event-specific Wi-Fi mean caterers, DJs and AV crews spend setup time on setup, not on finding a working jack. Preferred vendors start to recommend your venue partly because it’s easy to work in.

Corporate Clients Signed Faster

Corporate planners increasingly send security and network questionnaires before contracting. Documented network tiers, MFA and payment controls let your sales team answer quickly and confidently instead of stalling a deal for a week while they hunt for details.

Our Process

1
Walk each event space with your coordinator and AV partner, mapping wall jacks, closets, coverage gaps, circuit capacity and how vendors typically set up.
2
Secure email and the booking platform with MFA, forwarding rule alerts and named accounts, and add a payment verification line to contracts.
3
Build the tiered network: operations, vendors, a reserved AV and streaming lane, payments and guest Wi-Fi, each with its own bandwidth rules.
4
Label and document ballroom and ceremony-site wired drops, and create a one-page vendor connection guide coordinators can send with timelines.
5
Test the network under load before your next large or hybrid event, and adjust bandwidth reservations based on what the AV team needs.
6
Review after each season: vendor access, coordinator accounts, event-day issues, circuit capacity and any corporate client security requests.

Frequently Asked Questions

A client says they paid our final balance, but we never got it. What happened?▼
This is often invoice fraud. An attacker either got into a mailbox on your side or theirs, or sent a lookalike email with new bank details, and the client paid the wrong account. Contact your bank and theirs immediately, since speed matters for recovery attempts. We investigate your mailbox for unauthorized access and forwarding rules, secure it with MFA, and help you add verification steps going forward. Questions about liability and notification belong with your counsel and insurer.
How much internet does a venue actually need?▼
It depends on what you host. A wedding with a DJ and a photographer uploading previews needs far less than a hybrid conference streaming sessions from several rooms. Upload speed usually matters more than download for livestreams. We look at your event mix, peak attendance and AV requirements, then size the circuit and add a second one for failover if events depend on it. More important than raw speed is reserving bandwidth for what matters during the event.
Should vendors and guests share the same Wi-Fi?▼
No. Vendors need reliable connections for music, mobile POS, uploads and AV control, while guests generate a lot of phone traffic. Putting them on separate networks lets you give vendors priority and keeps guest devices away from vendor gear. Neither should share a network with your office systems or card readers. We set up per-event vendor credentials, an isolated guest network and a protected operations network, so a busy reception doesn’t take down the bar’s card reader.
Can you support hybrid events and livestreams?▼
We handle the network side: circuit sizing, reserved bandwidth for encoders, wired drops at camera and mixing positions, and testing before the event. The production itself, cameras, switching and streaming platforms, belongs to your AV team or the client’s production company. We coordinate with them on handoff points and settings ahead of time. On the day, the stream has its own lane, so guest Wi-Fi traffic doesn’t interrupt it when a full room pulls out their phones at once.
Corporate clients send us security questionnaires. Can you help?▼
Yes. Corporate planners and procurement teams often ask about network segmentation, guest Wi-Fi isolation, how you handle attendee data, payment security and whether staff use MFA. We help you put controls in place that answer those questions honestly, then prepare a reusable set of responses and a simple network diagram your sales team can send. When a question goes beyond what you do, we tell you so the answer stays accurate rather than optimistic.
What happens if the internet goes down mid-event?▼
With a second circuit or cellular failover in place, critical traffic like streaming, card readers and coordinator devices shifts to the backup automatically. We set priorities so those keep working even on a smaller connection. If the outage is on our side of the equipment, our engineers start working it remotely, and for active security incidents there’s after-hours emergency response. We also give your coordinator a short checklist for what to try on-site, so they aren’t guessing during a reception.
Do you provide Event Venues IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers event venues IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Event Venues IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
