Tabs open, cameras recording, and every comp tied to a name

Bars & Nightlife IT Services

Bars and nightclubs do most of their business in a few late hours, so a frozen POS at midnight on a Saturday isn’t an inconvenience; it’s the week’s margin walking out the door with unpaid tabs.

At a glance

Your night runs on card pre-authorizations, handhelds behind a crowded bar, an ID scanner at the door, cameras that may end up as evidence, and table bookings with deposits from promoters and VIPs.

We run IT and security for bars, lounges, nightclubs and multi-venue hospitality groups in Texas and nationwide.

We keep POS terminals and handhelds connected in packed rooms, tie voids and comps to named logins, protect ID scan and booking data, and make sure your camera footage is there when your insurer or the police ask for it.

IT that keeps tabs closing clean, the door moving, footage on hand.

POS, door scanners, cameras and bookings secured for venues that make the week’s money between ten and close.

Doors to last call

The whole week rides on a few late hours

Nightlife runs at a pace other businesses never see: a line at the door, three deep at the bar, tabs opening by the minute, and a manager juggling comps for regulars and promoters. Technology problems hit hardest at exactly the busiest moment. Here’s how bars get hurt, and what we fix.

01 · The pressure

Peak hour is when everything fails

Bartenders open tabs with card pre-auths, servers ring bottle service on handhelds, the door scans IDs and checks guest lists, and cameras watch the floor, the bar and the parking lot. Table reservations and deposits come through a booking platform and promoters’ links. When the POS loses its connection at peak, tabs can’t close, bartenders write orders on napkins, and walkouts go unrecorded. When a fight or slip-and-fall happens and the camera recorder failed last week, your liability defense gets much weaker.

  • Pre-authorized tabs must close by last call
  • Door scans and guest lists move the line
  • Camera footage may decide a liability claim

02 · How it breaks

Sweethearting, skimmers and open recorders

Plenty of losses start behind the bar. A bartender uses the manager code to comp drinks for friends, voids paid checks and pockets cash, or rings everything under a shared login. A rogue employee runs cards through a pocket skimmer. Handhelds drop off a Wi-Fi network crowded by a room full of guest phones. The camera recorder sits on the internet with a default password. And the owner’s email gets phished, letting someone change the deposit account on the booking platform.

  • Manager code shared for comps and voids
  • Handhelds drop in a room full of phones
  • Booking payouts redirected after phishing

03 · What we change

Named codes, reserved Wi-Fi, sealed cameras

Every bartender, server and manager gets a personal POS login, and voids, comps and no-sales above a set level need a manager’s own code. We set up exception reports you can read in the morning. Handhelds and terminals get a dedicated, reserved Wi-Fi network that guest phones can’t touch. Cameras and the recorder move off the internet onto their own network with secure remote viewing. Email, booking and payout accounts get MFA and change alerts.

  • Personal POS codes for every staff member
  • Reserved Wi-Fi just for POS handhelds
  • Cameras off the internet, viewable securely

04 · The after

Close out knowing where the money went

Handhelds stay connected when the room is packed. The morning report shows who comped, voided and refunded, so shrink becomes a conversation backed by data. When an insurer or police officer asks for footage, you export it with timestamps. Table deposits land in your account. ID scan data sits in a protected system instead of on a tablet anyone can pick up. And your managers spend last call closing tabs, not resetting a router.

  • Morning exception report on voids and comps
  • Footage exports ready for claims
  • Booking deposits land in the right account

What We Offer

Comprehensive solutions tailored for Houston-area businesses

POS and Handheld Reliability

Terminals and handhelds get a dedicated wireless network with reserved capacity, so a crowd of guest phones doesn’t knock them offline. We survey the room when it’s busy, not empty, place access points around the bar and floor, monitor terminal connectivity, and keep spare handhelds configured for the nights a device gets dropped in the ice well.

Void, Comp and Refund Accountability

Personal POS logins for every staff member, manager approval codes that aren’t shared, and exception reports on voids, comps, refunds and no-sales. We help you set thresholds in your POS and get a readable report into the owner’s inbox each morning. Losses that used to blur into a shared login now trace to a person and a shift.

Camera and Recorder Security

Your camera footage can decide a liability claim or a police case. We move cameras and recorders onto an isolated network, remove internet exposure and default passwords, set retention periods that match how claims arrive, and monitor for offline cameras. Owners still view live and recorded video from their phones through a secure, MFA-protected app.

ID Scanner Data Protection

Door ID scanners capture names, birth dates, addresses and license photos. We keep scanner devices under management, limit who can export scan histories, make sure data sits in the vendor’s protected system rather than on a loose tablet, and check that retention settings match what your counsel says your state allows.

Table Booking and Promoter Accounts

Reservation and bottle-service platforms hold VIP contact details, deposits and payout settings, and promoters often get access. We put MFA on owner and manager accounts, give promoters limited roles, alert on payout and bank detail changes, and remove access for promoters and staff who move on to another venue.

Card Data and Skimming Controls

Pay-at-table and handheld card readers reduce the time a card leaves a guest’s sight, which helps against staff skimming. We keep payment devices in their own network zone, inventory and inspect readers for tampering, and help you complete the PCI DSS 4.0 questionnaire your processor asks for, with evidence behind the answers.

Shrink You Can Actually See

Named logins and morning exception reports turn vague cash shortfalls into specific shifts and transactions. You can coach, correct or let someone go based on records rather than hunches, and honest bartenders stop sharing blame with whoever was on that night.

Handhelds That Survive the Rush

A reserved network for POS devices means tabs open and close when the room is at capacity. Fewer napkin orders, fewer walkouts lost to a frozen terminal and faster service exactly when guests are most impatient.

Evidence When You Need It

Monitored cameras with secured recorders and sensible retention mean footage exists the morning after an incident. Your insurer, attorney and local police get timestamped exports instead of an apology about a dead hard drive or footage that was overwritten.

VIP Deposits Kept Safe

MFA and payout alerts on booking platforms stop attackers from rerouting table deposits through a hijacked owner account. Promoters keep the access they need for their guest lists and nothing beyond it, and their access ends when they move on.

Our Process

1
Visit during a busy night to see how handhelds, terminals, the door scanner and Wi-Fi actually behave under a full room.
2
Inventory POS devices, cameras and recorder, ID scanners, booking and promoter accounts, and everyone who knows the manager code.
3
Issue personal POS logins and manager approval codes, set void and comp thresholds, and schedule a morning exception report to the owner.
4
Build a reserved POS wireless network, isolate cameras and payment devices, and remove the recorder’s internet exposure.
5
Add MFA and payout alerts on email and booking platforms, trim promoter roles, and check ID scanner retention with your counsel’s guidance.
6
Review monthly at first, then quarterly: exception trends, camera health, device spares, staff turnover and your processor’s PCI questionnaire.

Frequently Asked Questions

How do we stop bartenders from abusing comps and voids?▼
Start by making every action traceable. Each staff member gets a personal POS login, and voids, comps, refunds and no-sales above a threshold need a manager’s own code, not a shared one taped under the register. Then look at the data: we set up a morning exception report that shows who did what, on which check, at what time. Patterns become obvious quickly. Cameras pointed at the register and bar wells give you the context when a report looks off.
Our handhelds drop off Wi-Fi when it gets busy. Why?▼
A packed room is full of phones scanning for and joining networks, and cheap or poorly placed access points get overwhelmed. Bodies also absorb wireless signal, so a room that tests fine empty behaves differently at capacity. We survey during a real busy night, place business-grade access points where the handhelds are used, and give POS devices their own reserved network that guest phones can’t join. If needed, we add cellular backup for payment traffic.
Is ID scanner data a liability?▼
It can be. Door scanners collect names, birth dates, addresses and sometimes license photos, and some states limit how that data can be kept or used. Your counsel should advise on retention and use for your state. On the IT side, we make sure scanners are managed and passcode-protected, data lives in the vendor’s secured platform instead of on a local tablet, exports are limited to specific managers, and retention settings match what counsel recommends. That keeps a useful safety tool from turning into a privacy problem.
How long should we keep camera footage?▼
Long enough to cover how claims and investigations actually reach you, which is often weeks after the night in question. Your insurer and attorney can tell you what they need, and some local rules or licensing conditions may set expectations too. We size recorder storage to match, monitor for full disks and offline cameras, and make sure you can export clips with timestamps quickly. A recorder that quietly overwrote the footage you needed is a painful problem, and an entirely avoidable one.
Do you work with our POS company?▼
Yes. Your POS provider owns the software, menus and payment integration. We handle the network the terminals depend on, device management, staff login setup, exception reporting configuration where the POS supports it, and coordinating with their support when an issue crosses over. If handhelds are dropping, we can show whether it’s Wi-Fi, the device or their service, which shortens the usual back-and-forth when a vendor blames the network and the network person blames the vendor.
We have several venues. Can you standardize them?▼
That’s where this pays off most. Each venue gets the same POS network design, camera setup, login policy and exception reporting, adjusted for the room. Owners see one consolidated view across venues, staff who pick up shifts at another location use the same login, and opening a new bar follows a template. When a promoter or manager moves between your venues, their access moves with them, and when they leave the group, it ends everywhere at once.
Do you provide Bars & Nightlife IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers bars & nightlife IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. Call 713-571-2390 to check coverage for your specific address.
What does Bars & Nightlife IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
