At a glance

When the estimating server fails the night before a letting, or a phished account changes a haul subcontractor’s bank details, the cost is immediate.

We run managed IT and cybersecurity for highway, utility, site work, bridge and earthwork contractors.

We protect estimating and bid submission, secure the office side of machine control and survey data, connect yards, plants and field offices, manage rugged tablets for field time entry, and keep prevailing wage and DOT records backed up. We support contractors in Texas and nationwide.

IT that keeps bids in on time, surfaces current, yards connected.

Managed IT and security for civil contractors, from the estimating room on letting day to the far end of the job.

Heavy civil IT

From letting day to final grade

Heavy civil work stretches IT thin: an estimating team racing a submission deadline, foremen entering time on tablets in the dirt, surface models moving between the survey office and equipment in the field, and yards and plants at the edge of cell coverage. Here’s where it breaks for civil contractors and how we hold it together.

01 · The pressure

Bid deadlines and miles of right-of-way

Estimators build unit-price bids in HeavyBid or B2W and submit them through electronic bidding systems before a cutoff that won’t move. Foremen log hours, quantities and equipment in field apps. Survey and engineering staff prepare surface models and alignments for machine control. Equipment managers watch telematics and maintenance. Payroll handles prevailing wage reports for public jobs, and safety tracks CDL driver files. One failure on letting day or one bad surface file costs real money.

  • Hard electronic bid submission deadlines
  • Surface models feeding GPS-guided equipment
  • Prevailing wage payroll on public projects

02 · How it breaks

Letting night, one server and a shared login

The estimating database sits on a single aging server with backups nobody has tested. Bid submission credentials are shared among estimators and saved in a browser. Surface model files get passed around by USB stick or personal file-sharing links, and the wrong version reaches a dozer. Foremen share tablet logins, so time entries can’t be traced. A phished email convinces accounting that a trucking subcontractor changed banks right before a large haul payment.

  • Estimating on one server with untested backups
  • Shared bid submission logins in a browser
  • Wrong surface versions reaching the field

03 · What we change

Protect the bid, control the files, connect the field

Estimating databases get monitored servers or hosted environments with tested backups and a documented recovery plan for letting day. Bid submission and digital ID credentials go into a password manager with MFA and named users. Surface models and survey data move through a controlled, versioned workflow in your machine control vendor’s cloud or a managed share; machine-side configuration stays with your dealer. Foremen get managed rugged tablets with individual logins. Yards and plants get business-grade connectivity with failover.

  • Tested recovery plan for letting day
  • Named bid credentials with MFA
  • Versioned surface model handoff to the field

04 · The after

Bids go in and the field runs on current data

On letting night, estimators work on a system you know will hold, and if it doesn’t, there’s a tested recovery plan. Only named people can submit bids, each with their own credential. The survey office knows which surface version every machine is running. Foremen’s time and quantity entries are traceable, which makes payroll and prevailing wage reports cleaner. Yard and plant offices stay online. And the trucking sub gets paid to the right account.

  • Confident letting nights
  • Traceable field time and quantities
  • Haul payments reaching the right account

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Estimating and Bid Day Protection

HeavyBid, B2W and similar estimating systems run on databases that need monitored servers or hosted environments, tested backups and fast restores. We document a letting-day recovery plan, check systems before major lettings and move bid submission and digital ID credentials into a password manager with MFA, assigned to named estimators.

Machine Control and Survey Data Workflow

We set up a versioned path for surface models, alignments and survey data from the engineering office to the field, through your machine control vendor’s cloud service or a managed share. Accounts get MFA and named users. Configuration on the machines and base stations stays with your dealer; we secure the office side and the accounts.

Rugged Field Tablet Management

Foremen enter time, quantities, equipment hours and safety forms from tablets in dust, rain and heat. We manage rugged devices with individual logins, encryption, app updates, remote wipe and cellular connectivity, and keep spares preconfigured so a cracked tablet doesn’t mean a crew’s hours go unrecorded for the week.

Yard, Plant and Field Office Connectivity

Equipment yards, asphalt or concrete plants and field offices often sit at the edge of coverage. We design connectivity with cellular, fixed wireless or satellite and automatic failover, plus secure Wi-Fi and cameras. Plant control systems stay with their vendor; we keep the office network separate from them and secure the boundary.

Payroll and DOT Records Protection

Prevailing wage payroll reports, DBE documentation, CDL driver qualification files and drug and alcohol testing records carry legal retention and confidentiality requirements. We restrict access to the people who need them, keep them in backed-up storage with audit logs and make sure they can be produced when an agency or auditor asks.

Subcontractor and Haul Payment Security

Trucking, utility and specialty subcontractors get paid large amounts on regular cycles, which makes them a favorite disguise for fraud. We add MFA, impersonation warnings and inbox rule alerts to accounting and project mailboxes, and help enforce a phone callback rule for any change in subcontractor banking details.

No Lost Bids to IT Failures

Monitored estimating systems, tested backups and a written letting-day recovery plan mean a server failure doesn’t cost you a bid you spent weeks building. Named bid credentials also make sure submissions can still go out when a particular estimator is on vacation.

Fewer Grade Mistakes From Old Files

A versioned surface model workflow means operators run the design the engineer released, not a file someone copied to a USB stick last month. That cuts rework, wasted haul and the friction of explaining an over-excavation to the inspector.

Cleaner Payroll and Agency Reports

Individual tablet logins and backed-up field data make time and quantity entries traceable. Prevailing wage reports and DOT documentation rest on reliable data, and audits move faster because the records are organized and retrievable when someone asks.

Remote Sites That Stay Online

Failover connectivity at yards, plants and field offices keeps email, dispatch, timekeeping and cameras running at the edge of coverage. Superintendents and plant managers stop driving to town just to send a report or upload a set of daily photos.

Frequently Asked Questions

How do you protect us on letting day?▼
By removing single points of failure ahead of time. We make sure the estimating database runs on monitored hardware or a hosted environment, backups are tested, and a documented recovery plan exists if something fails. Bid submission credentials and digital IDs are assigned to named estimators in a password manager, so a submission doesn’t depend on one person’s browser. Before major lettings, we check system health and avoid scheduling changes. If something breaks anyway, you have a plan and a team that already knows your setup.
Do you work on our GPS machine control systems?▼
Not on the machines themselves. Machine control displays, receivers and base stations are configured by your dealer and the manufacturer, and that’s where those changes belong. We handle the office side: the accounts for your machine control cloud service, MFA and named users, a versioned process for moving surface models and alignments from engineering to the field, and backups of design and survey data. That way the files reaching your equipment are the right ones, and the accounts behind them are protected.
Our yards have terrible cell coverage. What can you do?▼
We survey what’s possible at each site, which may include cellular from multiple carriers with external antennas, fixed wireless, satellite or a wired circuit for long-term yards. Combining two connection types with automatic failover keeps email, timekeeping, dispatch and cameras running when one drops. For plants with control systems, we keep the office network separate and leave the plant controls to their vendor. Equipment is managed remotely, so we can troubleshoot without driving out.
What records do we need to protect for public projects?▼
Public work usually brings prevailing wage payroll reports under Davis-Bacon or state equivalents, DBE participation records and project documentation the agency can audit. If you run CDL drivers, 49 CFR Part 382 sets confidentiality and retention rules for drug and alcohol testing records, and driver qualification files have their own requirements. Your counsel and safety manager decide what to keep and for how long. We make sure those records sit in access-controlled, backed-up storage and can be produced quickly.
Should foremen share tablets?▼
Sharing the device is fine; sharing the login isn’t. When multiple foremen use one account, you can’t tell who entered which hours or quantities, which causes trouble in payroll disputes and audits. We set up tablets so each person signs in with their own account, often with a quick PIN or badge, and their data stays separate. Devices stay encrypted and manageable remotely, and when someone leaves, their access ends that day while the tablet goes to the next foreman.
A trucking sub sent new bank details by email. What now?▼
Hold the payment and call the sub at a number you already had on file, not one from the email. Confirm the change with a person you know. Attackers often break into a subcontractor’s real mailbox and reply in an existing thread, so the request can look completely legitimate. We help you make this callback a written rule, train accounting and project staff, and add email protections that flag impersonation and alert us to suspicious inbox rules. If money already went out, call your bank right away.
