Keep estimates, DRP portals, scan tools and repair photos flowing

Collision Repair Shops IT Services

A collision shop runs on estimates and supplements that move between your estimators, insurers and parts suppliers all day, and if the estimating platform, the shop Wi-Fi or an estimator's mailbox goes down, cars sit and cycle time climbs.

At a glance

Every job also depends on OEM repair procedures, pre- and post-repair scans, ADAS calibration records and hundreds of photos that prove what was done.

We run the IT behind that: estimator workstations, the management system, DRP and insurer portal access, scan tool and calibration laptops, paint system PCs, and the network that ties the shop floor to the office.

We support independent shops and multi-store operators in Texas and nationwide, with local technicians directed by our engineers when a bay needs hands-on work.

IT that keeps estimates moving, scans documented, cycle time short.

Managed IT and security for the estimating desk, the scan tool cart and the insurer portals of collision repair shops.

Collision & auto body

Every repair is a paper trail of photos and scans

Modern collision repair is as much documentation as bodywork. Insurers want photos and line-item estimates, OEMs want procedures followed, and customers want proof the cameras and sensors were calibrated. All of it runs through software, laptops and Wi-Fi in a building full of dust and overspray. Here's where it fails, and what we change.

01 · The pressure

Insurers, OEMs and customers all want the record

A car arrives, the estimator photographs damage and writes an estimate in the insurer's preferred platform. Teardown finds more damage, so a supplement goes back with new photos. Techs pull OEM repair procedures, run pre- and post-repair scans, and calibrate ADAS sensors with a laptop and targets. The paint department mixes from a color system on its own PC. DRP partners judge you on cycle time and documentation quality.

  • Estimates and supplements flow through insurer platforms
  • Scan reports and ADAS calibrations prove safe repairs
  • DRP scorecards track cycle time and documentation

02 · How it breaks

Shared estimator logins and a flat shop network

Estimators share one login to an insurer portal, and when one leaves nobody changes it. A phished estimator mailbox sends a customer a fake payment link for their deductible. The scan tool laptop runs as an admin account and doubles as a browsing machine on the same Wi-Fi as the office. Photos live on a single estimating PC with no backup. A dropped connection in the back bays stalls scans halfway.

  • Shared insurer and OEM portal credentials
  • Scan tool laptops used for browsing as admin
  • Repair photos stored on one unbacked-up PC

03 · What we change

Named portal access, fenced scan tools, solid bay Wi-Fi

We move portal and OEM procedure logins into a vault with individual accounts and MFA wherever the platform allows. Estimator and office mailboxes get phishing protection and impersonation alerts. Scan tool and calibration laptops become managed, standard-user devices on their own network segment, used only for diagnostics. We design Wi-Fi that reaches every bay and the frame rack. Photos and job documents get backed up off the shop floor.

  • Individual, vaulted portal and procedure logins
  • Diagnostic-only laptops on a separate segment
  • Bay-to-office Wi-Fi with backed-up job files

04 · The after

Cleaner files, faster supplements, fewer stalls

Supplements go out with photos the same day because the estimating station and Wi-Fi just work. When an insurer audits a file or a customer's attorney asks for calibration proof, you produce scans, photos and procedures in one place. An estimator leaving no longer means a password scramble across every portal. Your DRP scorecards reflect the work your techs actually do, not the IT problems that slowed it down.

  • Scan and calibration records retrievable per RO
  • Portal access removed cleanly when staff leave
  • Fewer IT delays dragging on cycle time

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Estimating & Shop Management Support

Estimating platforms and shop management systems drive every repair order. We keep estimator workstations fast, manage updates and integrations with parts ordering and accounting, and work the tickets with your software vendors when estimates won't upload or the management system stops syncing between the front office and the shop floor.

Insurer & DRP Portal Access

Each insurer, DRP program and OEM certification portal has its own login, and many get shared across the front office. We set up a password manager, give estimators and managers individual credentials, enable MFA where offered, and remove access the day someone leaves so no former employee can submit or view claims.

Scan Tool & ADAS Calibration Laptops

Diagnostic and calibration laptops need stable connections, current software and a clean OS. We manage them as diagnostic-only, standard-user devices on a separate network, keep the scan and calibration vendors' software updated on their schedule, and coordinate with the tool vendor rather than changing their applications ourselves.

Repair Photo & Document Backup

Damage photos, supplements, scan reports, calibration printouts and OEM procedure records are your proof of a correct repair. We back them up off-site, organize them by repair order, and set retention so a file is still there when an insurer audit or a customer dispute comes up long after delivery.

Shop Floor Wi-Fi & Networking

Steel buildings, lifts, frame racks and spray booths are hard on wireless. We design industrial access points that cover every bay and the calibration area, separate guest, office, diagnostic and paint system traffic, and monitor the network so a dropped scan mid-procedure stops being normal.

Customer Payment & Email Security

Customers pay deductibles and customer-pay work, sometimes by text or emailed link. We harden estimator and office mailboxes against phishing, set up impersonation protection for your domain, keep payments inside your processor's secure links, and help you tell customers how to recognize a real request from your shop.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Shorter Cycle Times

Working estimating stations, reliable bay Wi-Fi and portals that log in the first time mean supplements go out promptly and scans finish without restarts. That keeps cars moving through the shop and shows up directly on your DRP scorecards and customer reviews.

Defensible Repair Records

Backed-up photos, scans, calibrations and procedures tied to each repair order let you prove a repair was done to OEM standards when an insurer, a customer or an attorney asks, which matters more as vehicles carry more safety sensors.

Controlled Claim Access

Individual portal accounts with MFA mean you know who submitted what, and former employees can't reach claim data or customer information. Insurers increasingly expect that kind of control from their repair partners, and it protects your DRP standing.

Fewer Fake Payment Requests

Hardened email and a clear payment process stop scammers from using your shop's name to collect deductibles or final payments. Customers get one trusted way to pay, and you avoid the angry call about money that never reached you.

Our Process

1
Walk the office and shop floor to inventory estimating stations, scan tools, calibration laptops, paint PCs, Wi-Fi coverage and printers.
2
List every insurer, DRP, OEM procedure and parts portal login, and note shared or reused credentials.
3
Move portal access into a password manager with individual accounts and MFA, and harden estimator and office email.
4
Separate office, diagnostic, paint system and guest networks, and fix Wi-Fi coverage in bays and the calibration area.
5
Back up photos, scans, calibration records and job documents off-site, organized by repair order with retention.
6
Review access, new tools, OEM program changes and network health each quarter, and plan new locations ahead of opening.

Frequently Asked Questions

Can you support our scan tools and ADAS calibration equipment?▼
We support the laptops, network and accounts around them. Scan and calibration software belongs to the tool vendor, and calibration accuracy depends on their procedures and targets, so we don't modify those applications. What we do is keep the laptops clean and managed, run them as diagnostic-only devices on their own network segment, make sure Wi-Fi in the calibration area is solid, and schedule updates with your techs. When a tool won't connect, we figure out whether it's the network or the tool and get the right vendor involved.
Our estimators share logins to insurer portals. How do we fix that?▼
Start by finding out which portals offer individual accounts, since many do and simply weren't set up that way. We help you request them, put every credential in a business password manager and turn on MFA wherever the platform supports it. For portals limited to one login, the vault at least controls who can use it and lets you change the password quickly. When an estimator leaves, we remove their access across every portal that same day, so no one outside the shop can open claim files.
How long should we keep repair photos and scan reports?▼
Long enough to defend a repair if it's questioned, and that period depends on your insurer agreements, OEM certification programs, state rules and your attorney's advice. Practically, shops lose these records because they sit on a single estimating PC or in a vendor platform with no independent copy. We back up photos, scan reports, calibration records and procedures off-site, organize them by repair order and set retention to whatever period you and your counsel choose. Then we test that an old file actually opens.
Why does Wi-Fi keep dropping in our back bays?▼
Collision shops are tough on wireless. Steel walls, lifts, frame machines, parked vehicles and spray booths absorb and reflect signals, and consumer access points mounted in the office can't reach the back. We survey the building, place industrial access points where scans and calibrations actually happen, separate diagnostic traffic from guest and office use, and monitor coverage. The goal is that a tech can run a full scan or calibration without the connection dropping halfway and forcing a restart.
A customer received a text with a payment link that wasn't from us. What should we do?▼
Tell the customer not to pay and to call the shop directly. Then call us so we can check whether an estimator or office mailbox was compromised, look for forwarding rules, and review your domain's email protections. Sometimes the scam comes from outside using your public information, with no breach at all. Either way, we tighten email security, keep payments inside your processor's secure links, and help you add a short line to estimates explaining exactly how your shop requests payment.
We run several collision centers. Can you standardize IT across them?▼
Yes. Multi-store operators often have a different network, printer setup and password habit at each location, especially after acquisitions. We roll out a standard build for each center: firewall, segmented network, bay Wi-Fi, managed estimating and diagnostic devices, and the same password manager and backup approach everywhere. That makes support predictable, lets estimators move between stores without new logins, and gives you one view of IT health across the group when insurers or OEM programs ask.
Do you provide Collision Repair Shops IT Services in Houston and nearby areas?▼

LayerLogix is based in the Greater Houston area and delivers collision repair shops IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs.
