Guard the formulas, batch records and MoCRA files behind every SKU

Cosmetics & Personal Care Manufacturing IT Services

A cosmetics or personal care manufacturer's value sits in formulas, supplier specs and batch records, and one leaked formula or wiped batch history can cost a private-label customer or stall an FDA response.

At a glance

MoCRA added facility registration, product listings and adverse event records to the paperwork you already kept for retailers.

We run and secure the IT behind all of it: the formulation and regulatory software, the ERP that tracks lots and raw materials, the QC lab PCs, the Shopify or DTC storefront and the retailer compliance portals your team logs into every week.

We separate each brand customer's formulas so one client never sees another's.

We support beauty and personal care makers in Texas and nationwide, with remote engineers and local hands for the filling line PCs.

IT that keeps formulas private, batches traceable, listings current.

Managed IT and cybersecurity for the formula library, the batch record and the storefront of a beauty and personal care manufacturer.

Beauty & personal care

Every jar traces back to a formula and a lot

A serum or shampoo goes through formulation, raw material receiving, compounding, filling and QC release before a retailer ever sees it. Each step leaves a record, and since MoCRA, more of those records point straight at the FDA. Here's how that paper trail gets put at risk, and the controls we put around it.

01 · The pressure

Formulas, lots and listings all have to agree

Your chemists keep formulas and stability data in a formulation system or a well-guarded folder. Purchasing tracks raw material lots and supplier COAs. Production pulls a batch ticket, QC releases the lot, and the regulatory lead keeps facility registration and product listings current in FDA's portal. Brand customers want their formula kept confidential, and retailers want SDS and ingredient data uploaded before a new SKU ships.

  • Formula and stability data are the core IP
  • Lot records link raw materials to finished goods
  • MoCRA listings and adverse event files must stay current

02 · How it breaks

A shared folder, a phished buyer, a hijacked store

Several brand customers' formulas sit in one shared drive, and a junior chemist can open them all. A purchasing mailbox gets phished and a fake supplier asks you to pay a new account for a fragrance oil order. Your Shopify admin uses a password shared by marketing and an agency, then a malicious app adds a card skimmer. A wiped QC PC takes months of release data with it.

  • Client formulas mixed together in open folders
  • Supplier payment-change fraud on raw material orders
  • Shared storefront admin logins and risky store apps

03 · What we change

Walled formulas, named logins, backed-up batch history

We restructure formula storage by brand customer with group-based access, sensitivity labels and download alerts. Purchasing and AP mailboxes get strong MFA and a bank-change call-back rule. Storefront and retailer portal logins move into a shared vault with individual accounts and MFA, and we review installed apps and scripts on checkout pages. Batch records, QC data and MoCRA files go on versioned, off-site backups with restore tests.

  • Per-customer formula libraries with labels and alerts
  • Vaulted, individual logins for store and retailer portals
  • Versioned backups for batch, QC and MoCRA records

04 · The after

Answer brands, retailers and FDA without digging

When a brand customer asks who can see their formula, you can show them the access list. When a consumer reports a reaction, your team logs it and finds the batch history in minutes. Retailer onboarding stops stalling on lost portal passwords. If FDA asks for records, they're organized and intact. You go into audits and renewals with a clear picture instead of crossed fingers.

  • Formula access you can show a brand customer
  • Adverse event and batch history found in minutes
  • Retailer and FDA portal access that survives turnover

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Formula & IP Protection

Formulas, ingredient decks and stability studies are what brand customers pay you to protect. We organize them into per-customer libraries in SharePoint or your formulation software, apply sensitivity labels, restrict downloads and printing where it makes sense, and alert on unusual bulk access. Contract chemists and consultants get time-limited accounts that end when the project does.

MoCRA Record Keeping Support

MoCRA brought facility registration, product listing, safety substantiation and serious adverse event reporting into routine work. We give your regulatory lead a structured, access-controlled home for those records, versioned backups, and named access to FDA's submission portal. Decisions about what to report and when stay with your regulatory team and counsel.

Batch Record & Lot Traceability

Whether batch tickets live in your ERP, a document system or scanned PDFs, they have to survive a ransomware hit and a server failure. We back up the ERP, document stores and QC data together, test restores, and lock edit rights so a released batch record can't be quietly changed after the fact.

QC Lab & Filling Line PCs

QC instruments and filling or labeling lines often run on a PC with vendor software that rarely gets updated. We inventory those machines, isolate the ones we can't patch, keep images for fast rebuilds, and move results to backed-up storage. Instrument and line software changes stay with the equipment vendor.

Storefront & DTC Security

Many personal care makers sell direct on Shopify or another platform alongside wholesale. We put individual staff and agency accounts with MFA on the store admin, review third-party apps and checkout scripts, protect the domain and DNS from hijacking, and keep payment handling inside the platform so your PCI scope stays small.

Retailer & Marketplace Portal Access

Retailer vendor portals, SDS registration services and marketplace seller accounts each have their own logins, often owned by whoever set them up. We move them into a shared password vault, add MFA wherever the portal supports it, and document who owns each account so a resignation doesn't lock you out of a big retailer.

Brand Customers Trust You With Formulas

Private-label and contract customers increasingly ask how their IP is handled. Per-customer libraries, access reviews and download alerts give your sales team a concrete answer, which helps win and keep accounts that would otherwise go to a manufacturer with a better story.

Faster Regulatory Responses

When a consumer complaint, a retailer request or an FDA inquiry lands, your team can pull the batch history, listing data and supporting records quickly because they're organized, backed up and tied together by lot rather than scattered across inboxes.

Smaller Online Fraud Exposure

Supplier payment scams and storefront compromises are the most common ways beauty businesses lose money online. Mailbox hardening, a call-back rule and a locked-down store admin close off most of that exposure without slowing anyone down.

Production Keeps Its Schedule

A dead QC PC or a corrupted ERP can hold finished goods in quarantine. Imaged spares, monitored servers and tested backups mean lots get released on time and filling lines don't wait on IT while orders back up.

Our Process

1
Map where formulas, batch records, QC data, MoCRA files and supplier documents live, and who can open each of them.
2
Review email, storefront, retailer portal and ERP access, and note every shared login and personal account in use.
3
Rebuild formula storage into per-customer libraries with labels and alerts, and move shared logins into a password vault.
4
Harden purchasing and AP mailboxes, set a supplier bank-change call-back rule, and review storefront apps and admin accounts.
5
Isolate QC and line PCs, image them, and put the ERP, batch records and regulatory files on tested, versioned backups.
6
Check in each quarter on new brand customers, new SKUs, retailer onboarding, staff changes and any regulatory updates.

Frequently Asked Questions

What does MoCRA mean for our IT?▼
MoCRA didn't create an IT standard, but it created records that have to be accurate, available and protected: facility registration, product listings, safety substantiation, and serious adverse event reports and their supporting files. That means a controlled place to keep those records, clear ownership of your FDA portal accounts, and backups that would survive a ransomware attack. We set up that structure and keep it running. What gets reported, how a product is classified and how long specific records must be kept are questions for your regulatory lead and counsel, and we build the systems to match their answers.
We make products for many brands. How do we keep their formulas apart?▼
Give each brand customer its own library or project space, with access granted through groups rather than to individuals, so adding a chemist to a project is deliberate. We apply sensitivity labels so files carry their protection when they're emailed or downloaded, and we alert on unusual volumes. Contract chemists get accounts that expire. Then we run a short access review each quarter. When a brand asks who can see their formula, you'll be able to give them a real answer, which matters more and more in private-label negotiations.
Is our Shopify store our responsibility or Shopify's?▼
Both. The platform secures its infrastructure and payment processing, but you control who has admin access, which apps are installed, what scripts run on your pages and how your domain is protected. Most beauty-brand store compromises come from shared admin passwords, an agency account that never got removed, or an app with too many permissions. We set up individual accounts with MFA, review app permissions, lock down your domain registrar and DNS, and keep card data inside the platform's checkout so your PCI DSS scope stays as small as possible.
Can you secure our QC instruments and filling lines?▼
We secure the PCs and networks around them. QC instruments and filling or labeling lines usually depend on vendor software that can't be patched freely without breaking validation or support. We isolate those machines on their own network segment, remove internet access where possible, keep full images for fast rebuilds, and copy results to backed-up storage automatically. Changes to the instrument software or line controls stay with the equipment vendor or your engineer, and we coordinate the IT side with them when something has to change.
Do we fall under PCI DSS if we sell online?▼
If you accept card payments, yes, PCI DSS 4.0 applies to some degree, but the scope depends on how you take them. When customers pay through a hosted checkout from Shopify or a payment processor, most of the card handling sits with them and your obligations shrink to things like protecting admin access and the scripts on your payment pages. If you key cards over the phone for wholesale accounts or store card numbers anywhere, scope grows quickly. We help you map how payments actually flow and trim anything that pulls card data into your own systems.
Do you work with small, growing brands or only larger plants?▼
Both. A growing indie manufacturer with a small lab and a Shopify store needs the same basics as a large contract filler: MFA on email and the store, organized formula storage, backups that work and someone to call when a PC dies. The difference is scale, not principle. We start with whatever you have, fix the biggest risks first, and add structure as you take on more brand customers, retailers and production lines. Most of our work is remote, with local hands when a lab or line PC needs a physical touch.
Do you provide Cosmetics & Personal Care Manufacturing IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers cosmetics & personal care manufacturing IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. Call 713-571-2390 to check coverage for your specific address.
What does Cosmetics & Personal Care Manufacturing IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
