Caregivers in the field, clients at home and data that stays protected

Non-Medical Home Care Agencies IT Services

A non-medical home care agency knows where vulnerable clients live, when they're alone, how to get in their door and what help they need, so a leak or account takeover there is a physical safety risk, not just a privacy problem.

20+ Years Experience

At a glance

Your agency runs on scheduling and care management software, caregivers clocking visits through EVV apps on their own phones, care plans, Medicaid waiver or long-term care insurance billing, payroll for a large hourly workforce and coordinators who answer calls after hours.

We support home care agencies in Texas and nationwide with HIPAA-aligned IT: caregiver device policies, account protection, Microsoft 365, backups, payroll fraud defenses and 24/7 SOC monitoring.

IT that keeps visits verified, clients protected, caregivers paid right.

EVV, care plans and caregiver payroll handled with the care your clients and their families expect.

Non-medical home care

Your data knows who's home alone

Families trust you with a parent's safety and independence. Your systems hold the schedule, the door code and the care plan that make that possible. Here's what your agency depends on every day, how agencies get exposed and what we put in place so that trust is well placed.

01 · The pressure

Every visit scheduled, verified and billed

Coordinators fill shifts around call-outs and hospital discharges, caregivers clock in and out through an EVV app at the client's home and visit notes feed billing to Medicaid programs, long-term care insurers or private-pay families. Payroll has to reflect every hour and travel rule correctly. Client records include addresses, entry instructions, medications to remind about and emergency contacts. If scheduling or EVV fails, visits get missed or can't be billed. If client data leaks, someone vulnerable is exposed.

  • Shift scheduling and EVV clock-ins at the home
  • Care plans with entry instructions and contacts
  • Billing to Medicaid programs and insurers

02 · How it breaks

Personal phones and payroll scams

Caregivers use personal phones, often shared with family, and former caregivers keep app access for weeks after leaving. Client door codes get texted around in plain messages. An office coordinator's email gets phished, and the attacker sends payroll a batch of direct deposit changes right before a pay date. Or an after-hours on-call coordinator works from a home laptop with no protection, and malware there reaches your scheduling platform.

  • Former caregivers keep EVV and app access
  • Door codes shared by plain text message
  • Direct deposit changes sent by email before payday

03 · What we change

Protected apps, named access, verified payroll

We put caregiver apps behind app-level protection on personal phones and tie account removal to termination so access ends that day. Entry instructions and care details stay inside your care management platform instead of texts. Office and on-call staff get managed laptops, MFA and phishing protection. Payroll bank changes require verification inside the HR system. Your data gets immutable backups, and endpoints get managed detection with 24/7 SOC monitoring.

  • Caregiver access removed on termination day
  • Client entry details kept inside the platform
  • In-system verification for direct deposit changes

04 · The after

Answers for families, payers and auditors

When a family asks who can see their mother's care plan, you explain it clearly. When a Medicaid managed care plan or state auditor asks about safeguards, you have a risk assessment, policies and access logs. Payroll fraud attempts hit a verification wall. Coordinators work after hours from protected devices. And if something goes wrong, your counsel gets a clear technical timeline instead of guesswork.

  • A HIPAA risk assessment and policies on file
  • Access logs ready for payer and state audits
  • Payroll fraud stopped before payday

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Home Care Software Support

AxisCare, WellSky Personal Care, AlayaCare and similar platforms run scheduling, care plans, EVV and billing. We manage user roles so caregivers see only their own clients, protect admin accounts with MFA, support integrations with payroll and state EVV aggregators and coordinate with the vendor when something breaks.

Caregiver Mobile Device Policies

Most caregivers use their own phones. We apply app-level protection that keeps client data inside managed apps, requires a screen lock, blocks copying into personal apps and lets you remove agency data when someone leaves, without taking control of the caregiver's personal device. Caregivers keep their privacy.

EVV Reliability & Data Integrity

Electronic visit verification is required for Medicaid personal care services under the 21st Century Cures Act. We support the apps, accounts and integrations with HHAeXchange, Sandata or your state's system, so visit data flows correctly, exceptions get caught and billing isn't held up by technical gaps.

HIPAA-Aligned Safeguards

If your agency bills Medicaid or insurers electronically or works as a business associate, the HIPAA Security Rule likely applies. We run a security risk assessment, help write policies, implement access controls, encryption, logging and backups and keep documentation organized for payer and state reviews.

Payroll & Direct Deposit Protection

Agencies pay many caregivers on tight schedules, which makes payroll a top fraud target. We protect payroll and HR admin accounts with MFA, require bank changes to happen inside the system with verification and add alerts for multiple changes at once, especially right before a pay date.

Office & On-Call Coordinator IT

Coordinators and on-call staff work from the office and from home at all hours. We give them managed, encrypted laptops, VPN or zero-trust access, MFA, phishing protection and a cloud phone setup that routes after-hours calls correctly, so emergencies reach the right person and data stays protected.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Safer Clients

Keeping addresses, door codes and schedules inside protected systems, with access limited to assigned caregivers, reduces the chance that information about a vulnerable client ends up somewhere it can be misused. Families notice that kind of care, and they tell others.

Cleaner Audits and Payer Reviews

A current risk assessment, written policies, access reviews and backup tests mean you can answer state surveyors, Medicaid managed care plans and insurers with documentation, which speeds reviews and supports your contracts. Nobody scrambles the week before.

Turnover Without Exposure

Caregiver turnover is constant. Tying app and account access to hiring and termination means former caregivers lose access to client information immediately, without your office staff manually chasing every login. Coordinators get their afternoons back.

Billing That Isn't Held Up

Reliable EVV apps and integrations mean visit data reaches billing and state aggregators without gaps. U.S.-based engineers handle requests during business hours, with after-hours emergency response reserved for active incidents. Cash flow stays steadier when claims aren't stuck on missing visit data.

Frequently Asked Questions

Does HIPAA apply to non-medical home care?▼
It depends on how you operate. If your agency bills Medicaid, managed care plans or insurers electronically, you're likely a covered entity. If you provide services under contract to a covered entity, you may be a business associate. Purely private-pay agencies may fall outside HIPAA, though state privacy laws and your contracts still apply. Your attorney should confirm where you fall. Either way, we can implement HIPAA-aligned safeguards, because client information deserves that protection.
How do we secure caregivers' personal phones?▼
With app-level protection rather than full device control. We put your care management and EVV apps inside a managed space that requires a screen lock, prevents copying client data into personal apps and can be wiped of agency data remotely. Caregivers keep their personal photos, messages and apps private. When someone leaves, we remove agency apps and data and disable their accounts the same day. That approach respects caregivers while protecting clients.
What does EVV mean for our IT?▼
The 21st Century Cures Act requires states to use electronic visit verification for Medicaid-funded personal care services, capturing service type, who provided it, who received it, date, location and time. Most agencies use a vendor app tied to a state aggregator. On the IT side, that means reliable phones and apps, correct accounts for every caregiver, working integrations and a quick fix when visits fail to verify. Your state's Medicaid program defines the specific EVV rules you follow.
How should caregivers get door codes and entry instructions?▼
Through your care management platform, visible only to caregivers assigned to that client, not by text message or group chat. Texts get forwarded, stay on phones after employment ends and can be read by anyone who picks the phone up. We help you configure the platform so entry details appear only on the assigned visit, set app-level protection on caregiver devices and train coordinators to stop sharing codes by text. If a code has been widely shared, ask the family about changing it.
We almost paid a fake direct deposit change. How do we prevent a repeat?▼
Move bank changes entirely out of email. Caregivers should update direct deposit inside your payroll or HR platform under their own login, and payroll should verify unusual changes with a quick call on a number already on file, especially near a pay date. We add MFA to payroll and HR admin accounts, alert on bulk changes and tighten email protection against impersonation. Those steps together close off one of the most common scams aimed at agencies.
Our coordinators handle after-hours calls from home. Is that risky?▼
It can be if they use personal computers or shared family devices. We give on-call staff managed, encrypted laptops with endpoint detection, secure access to scheduling and care records and MFA on every account. Cloud phone systems route after-hours calls to the on-call coordinator's app without exposing their personal number. That way, emergencies get handled quickly at midnight, and client information doesn't end up on a family computer that nobody manages.
Do you provide Non in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers non to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Non cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
