Bookings, memberships and your social following, protected like revenue

Med Spas & Aesthetics IT Services

A med spa's revenue lives in its booking platform, its stored cards and memberships, and an Instagram account that keeps new clients coming, so losing any of them hurts immediately.

At a glance

Front desks run on tablets and shared logins, injectors chart and photograph treatments, and card readers sit next to guest Wi-Fi.

We secure the booking and charting accounts, separate payment devices from everything else, protect your social and email accounts from takeover, and keep the front desk, phones and treatment-room tech working.

Single studios and growing multi-location brands in Texas and nationwide get remote support from U.S.-based engineers, with local help for on-site hardware.

IT that keeps the book full, memberships billing, your handle yours.

Booking, payments and social account security for aesthetics businesses that run on appointments and repeat clients.

Front desk to treatment room

A med spa runs on its booking app and its feed

Most med spa owners think of IT as the Wi-Fi and the card reader. The real business systems are in the cloud: the booking platform, the membership billing, the email list and the social accounts. When one of those gets taken over or goes dark, revenue stops the same day. Here's how it happens and how we prevent it.

01 · The pressure

Revenue lives in a handful of cloud logins

Your booking platform holds client profiles, treatment notes, photos and stored cards for memberships that bill every month. Your Instagram and email list bring in new clients and fill last-minute openings. The front desk runs on a tablet or two, and injectors photograph every treatment for consent and follow-up. If the booking platform is locked or the social account is hijacked, you can't see who's coming in or reach the people who might.

  • Booking platform with notes, photos and stored cards
  • Monthly membership billing
  • Social accounts that drive new bookings

02 · How it breaks

Hijacked socials and a shared front-desk login

Med spa breaches rarely look like movie hacking. A staff member clicks a fake brand-collaboration message and hands over the Instagram login, and suddenly the account is posting scams to your followers. The front desk shares one booking login, so nobody knows who refunded what. Card readers sit on the same Wi-Fi as guests. A former employee still has access to the booking app and the client list on their personal phone.

  • Fake collaboration DMs that steal social logins
  • Shared booking logins hiding refunds and exports
  • Card readers on the guest Wi-Fi

03 · What we change

Owned accounts, split networks, real offboarding

We move social, email and booking accounts under business ownership with MFA and recovery options you control, not a former manager's phone number. Every staff member gets a named booking login with a role that fits their job. Payment terminals and treatment-room devices get their own network, separate from guest Wi-Fi. Practice phones and tablets are managed, so treatment photos stay in approved apps, and departing staff lose access the day they leave.

  • Business-owned social accounts with MFA
  • Named booking logins with role permissions
  • Payment devices on their own network

04 · The after

Growth without the account panic

You stop worrying that one bad click will cost you your Instagram following. Refunds and exports trace back to a named person. Your card processor's security questionnaire becomes easy because the network is actually split. Opening a second location means cloning a setup, not rebuilding it. And when a client asks how their photos and card details are handled, your front desk has a clear, honest answer.

  • Social accounts recoverable by the business
  • Every refund and export traced to a person
  • A repeatable setup for new locations

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Booking Platform Account Security

Zenoti, Boulevard, Mangomint, AestheticsPro and similar platforms hold your client book and payment tokens. We set up named staff logins with role permissions, enforce MFA where the platform supports it, review admin rights and data export settings, and remove access promptly when someone leaves. The platform's own support handles product issues; we handle the accounts and devices around it.

Social Media Takeover Defense

Your Instagram, Facebook and TikTok accounts are marketing assets worth protecting like a bank account. We move them under business-owned email and a Meta Business portfolio where applicable, turn on MFA, store recovery codes safely, and train staff to spot fake brand-deal and copyright-strike messages designed to steal logins.

Payment Device Isolation

Card readers and front-desk terminals belong on their own network, away from guest Wi-Fi and staff phones. We separate them, keep firmware current through your processor, and document the setup so your PCI self-assessment reflects what's actually installed rather than a guess filled in at the end of a busy day.

Treatment Photo Handling

Injectors and aestheticians photograph treatments for consent, follow-up and sometimes marketing. We manage practice devices so photos go into the booking or charting platform, keep them off personal camera rolls, and set up a separate, controlled space for any images clients have agreed can be used in marketing.

Front Desk and Phone Systems

Tablets, check-in kiosks, printers and cloud phones need to work every time a client walks in or calls about an opening. We support them, set up call routing and text messaging that reaches whoever is on shift, and keep spare configurations ready for fast replacement when a tablet dies mid-morning.

Multi-Location Standards

Growing brands need each studio set up the same way: network, devices, accounts and permissions. We build a standard, apply it to new locations, and give owners a central view of who has access where, so expansion doesn't multiply security gaps or create a new mess at every opening.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Your Following Stays Yours

Business-owned accounts with MFA and safely stored recovery options make social takeovers far harder and far easier to undo. You don't spend a week begging a platform's support form to return the account that brings in new clients.

Cleaner Payment Security

Isolated card readers and documented network design make PCI self-assessments simpler and more accurate. Your processor's questions get honest answers, and a compromised guest device can't reach the payment terminals sitting at the front desk.

Accountability at the Front Desk

Named booking logins show who issued refunds, changed prices or exported the client list. That helps with disputes, discourages misuse, and makes offboarding a single, simple step instead of changing a shared password everyone has memorized.

Faster New Openings

A documented standard for each studio means a new location gets the same network, devices and permissions from day one. You open on schedule without inventing the IT setup again, and the new team starts with good habits.

Our Process

1
We list every account the business depends on, including booking, payments, email, social media, phones and review platforms, and confirm who actually owns each one.
2
We check devices and networks at each location, with special attention to where card readers sit relative to guest Wi-Fi.
3
We secure the highest-value accounts first, moving them under business ownership with MFA and recovery options you control.
4
We replace shared logins with named roles in the booking platform and set a clean offboarding checklist for departing staff.
5
We enroll practice tablets and phones in device management and set rules for where treatment photos are stored.
6
We review accounts, devices and new locations with you each quarter and adjust as the brand grows.

Frequently Asked Questions

Does HIPAA apply to a med spa?▼
It depends on how your business operates. HIPAA applies to covered entities, and a practice generally becomes one by conducting certain electronic transactions, like billing health insurance. Many cash-pay med spas aren't covered entities, while some that operate under a medical practice or bill insurance for certain services are. State privacy and medical practice laws may apply either way. That's a determination for your counsel. Regardless of the answer, treatment notes, photos and card data deserve strong protection, and the controls we put in place make sense whether or not HIPAA technically applies.
Our Instagram got hacked. Can you get it back?▼
We can help, but recovery runs through the platform, so speed and preparation matter. We'll work through Meta's recovery process with you, secure the email account tied to the profile, and remove unknown devices and connected apps once you're back in. The bigger value is prevention: moving accounts under business-owned email, turning on MFA, storing recovery codes where the business can reach them, and teaching staff to recognize the fake brand-deal and copyright messages behind most takeovers.
Do you support Zenoti, Boulevard or other booking platforms?▼
We support the accounts, devices and network around them. The platform's support team handles product features and billing logic. We set up named logins and permission roles, enforce MFA where available, review who can export client data or issue refunds, and make sure tablets and front-desk computers stay secure and working. When something breaks, we figure out whether it's the device, the network or the platform, and open a clear ticket with the vendor if it's theirs.
Are our card readers safe on our Wi-Fi?▼
Not if they share a network with guests and staff phones. Payment terminals should sit on their own network segment with nothing else on it, ideally wired, and with firmware kept current through your processor. We set that up and document it so your PCI self-assessment matches reality. If your processor supplies the terminals, we coordinate with them on firmware and configuration. Separating payment devices is one of the cheapest, most effective security changes a small storefront business can make.
Our lasers and devices connect to the internet. Do you manage them?▼
We manage the network they connect to, not the devices themselves. Some aesthetic devices report usage or receive updates from the manufacturer over the internet. We put them on a separate network segment, limit what they can reach, and keep them away from payment systems and the front desk. For software, firmware or calibration inside the device, we coordinate with the manufacturer or your service rep, since changes there can affect warranties and safety settings.
We're opening a second location. When should we bring you in?▼
Before you sign the lease, if possible. Internet options at the address, the floor plan for Wi-Fi, where the front desk and payment devices will sit, and phone routing are all easier to plan early. We'll build the new studio from your existing standard, set up accounts and permissions for new staff, and add the location to monitoring from day one. If your first location was set up informally, it's also a good moment to bring both up to the same standard.
Do you provide Med Spas & Aesthetics IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers med spas & aesthetics IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. Call 713-571-2390 to check coverage for your specific address.
What does Med Spas & Aesthetics IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
