Book online, charge the card on file, and never lose the front desk

Salons & Day Spas IT Services

For a salon or day spa, the booking calendar is the business; if it locks you out or someone hijacks the Instagram account that feeds it, the chairs and treatment rooms sit empty until you get them back.

At a glance

Your front desk iPad, card-on-file policy, text reminders, gift cards and client notes all run through a booking platform and a couple of social accounts.

We handle the IT and security behind them for independent salons, day spas and small multi-location groups in Texas and nationwide.

We lock down owner and front desk accounts, keep card readers and payment data off the shared network, split staff, booth renter and guest Wi-Fi, and make sure a lost tablet or a departing manager doesn’t take your client book with them.

IT that keeps the calendar booked, client notes private, your Instagram yours.

Booking platform, payments, front desk devices and social accounts secured for salons and spas that live on repeat clients.

Front desk to treatment room

The appointment book is your whole business

Salons and spas don’t think of themselves as tech companies, yet nearly every dollar flows through an online booking system, a card reader at the front desk and a social profile that brings in new clients. That’s a small number of accounts holding a lot of value. Here’s how they get lost, and how we protect them.

01 · The pressure

Bookings, cards and reputation in one login

Clients book from your Instagram link or Google profile, the platform texts reminders, the front desk checks them in on a tablet, and the card on file covers no-shows and late cancels. Client notes record color formulas, skin sensitivities and preferences that keep regulars coming back. Packages, memberships and gift cards carry prepaid balances. If the owner login is lost, or the front desk tablet dies on a Saturday, nobody can see the schedule, charge a service or sell retail.

  • Booking links live on social and Google
  • Card on file protects against no-shows
  • Client notes hold formulas and sensitivities

02 · How it breaks

Hijacked socials and shared front desk logins

A common story: someone sends the owner a message pretending to be the platform’s support team, or a fake brand collaboration, and the Instagram account gets taken over. Bookings dry up and the attacker demands payment. At the front desk, everyone shares one login, so a former receptionist can still export the client list. Booth renters and their clients join the same Wi-Fi as your card reader. And the business email has no MFA, so password resets for everything flow through it.

  • Fake support message steals the Instagram
  • Ex-staff still able to export client lists
  • Booth renters on the card reader’s network

03 · What we change

Lock the accounts that bring the clients

We put strong MFA on business email, the booking platform owner account, Instagram, Facebook, TikTok and your Google Business Profile, and store recovery codes somewhere safe. Front desk staff get individual logins with limited permissions, so exports and refunds need a manager. The network gets split: card readers and front desk devices on one side, booth renters and guests on another. Tablets and the front desk PC go under device management with remote wipe.

  • MFA and recovery codes on every social account
  • Named front desk logins with export limits
  • Separate Wi-Fi for booth renters and guests

04 · The after

Your client book stays your client book

A fake support message hits an MFA wall instead of handing over your profile. When a stylist or manager leaves, their access ends that day and the client list doesn’t leave with them. Card data stays in the processor’s system rather than written on intake forms. The Saturday rush runs on a front desk setup with a spare tablet ready. And if something does go wrong, you have a recovery plan for each account, not a desperate search for the original sign-up email.

  • Social accounts hold up against takeover
  • Departing staff lose access the same day
  • A spare front desk tablet ready to go

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Booking Platform Account Security

Your booking system holds the schedule, client contact details, service history, notes and stored payment methods. We lock down the owner account with MFA, set role-based permissions so front desk staff can book and check out but not export or mass-refund, and review who still has access each quarter. We coordinate with the platform’s support for anything on their side.

Social Media and Google Profile Protection

Instagram, Facebook, TikTok and your Google Business Profile drive new bookings. We secure each with MFA, remove ex-employees and old agencies from admin roles, store recovery codes, and train you to spot the fake support and collaboration messages that lead to takeovers. If an account is hijacked, we help work the platform recovery process.

Card-on-File and Payment Hygiene

No-show and cancellation policies depend on stored cards, which should only ever live inside your processor or booking platform. We make sure card numbers aren’t taken on paper intake forms or typed into notes, keep readers on a protected network, and help you complete the PCI DSS 4.0 questionnaire your processor sends.

Front Desk Devices and Spares

The front desk tablet or PC is the busiest device you own. We put it under device management, keep it updated, restrict it to the apps the desk needs, and set up a ready spare with the same configuration. If it’s dropped, stolen or dies mid-shift, you swap and keep checking clients in.

Booth Renter and Guest Wi-Fi

Booth renters run their own businesses, often with their own card readers and booking apps, and clients want Wi-Fi while they process. We build separate networks for your salon devices, booth renters and guests, so nobody else’s phone or laptop shares a network with your card reader, cameras or front desk.

Text Reminder and Marketing Consent

Appointment reminders and promotional texts both go to client phones, but the TCPA treats marketing messages differently. We help you confirm which tools send which messages, that consent and opt-outs are recorded, and that only the right people can send campaigns. Your counsel decides legal questions; we make the records reliable.

Bookings Don’t Stop Over a Stolen Login

MFA and stored recovery codes on social and booking accounts turn a phishing message into a non-event. New clients keep finding you, the calendar keeps filling, and you aren’t paying a stranger to give back your own profile.

Your Client List Stays With the Business

Named logins and export limits mean a departing stylist or receptionist can’t walk away with your whole book. You decide who can pull client data, and you can see when anyone does, which matters a lot in a business built on loyal regulars.

A Front Desk That Survives Saturday

A managed main device plus a ready spare means a cracked tablet or failed update doesn’t stall check-in. Clients get greeted and checked out on time even when hardware misbehaves at the worst possible moment.

Clean Separation for Booth Renters

Renters keep their independence, and you keep their devices off your payment and front desk network. Fewer arguments about Wi-Fi, less risk from devices you don’t control, and clearer boundaries if a renter’s own account gets compromised.

Our Process

1
List every account the business depends on: booking platform, processor, email, Instagram, Facebook, TikTok, Google profile, plus who holds each password.
2
Add MFA and save recovery codes for owner accounts first, then remove ex-staff, old agencies and unknown admins from social and booking roles.
3
Create named front desk and stylist logins with limited permissions, so exports, refunds and gift card adjustments need a manager.
4
Split the network into salon devices, booth renters and guests, and move card readers and the front desk onto the protected side.
5
Enroll front desk tablets and PCs in device management, set up a spare, and confirm no card numbers live on forms or in notes.
6
Check in twice a year on account access, social admin roles, Wi-Fi health and your processor’s PCI questionnaire.

Frequently Asked Questions

Our Instagram was hacked. Can you help get it back?▼
We can help work the recovery process, though the decision ultimately sits with the platform. We start by securing the email account linked to the profile, since attackers often change that first. Then we go through the platform’s official recovery flow, gather the identity proof it asks for, and check whether other accounts like Facebook or your Google profile were touched. Once you’re back in, we turn on MFA, remove unknown admins and save recovery codes so the same trick doesn’t work twice.
Is our client data covered by HIPAA?▼
Usually not for a standard salon or day spa. HIPAA applies to covered entities like healthcare providers that bill insurance electronically, and to their business associates. If you offer medical spa services under a medical director, that changes the picture, and your counsel should review it. Either way, client notes about skin conditions, allergies and treatments are sensitive, and clients expect them kept private. We treat that data carefully with access limits, MFA and device security regardless of which rules apply.
Is it safe to keep cards on file for no-show fees?▼
It is when the cards are stored by your processor or booking platform, which tokenizes them so your staff never see full numbers. The risk comes from workarounds: card numbers on paper intake forms, typed into a client note, or read over the phone and written on a sticky pad. We help you remove those habits, keep card readers on a protected network, and confirm your setup for the PCI DSS questionnaire. Your no-show policy keeps working without creating a pile of card numbers.
Should booth renters be on our Wi-Fi?▼
They can use your internet, but not your network. Renters bring their own phones, tablets, card readers and booking apps, and you don’t control how those devices are secured. We set up a separate network for renters, another for guests, and keep your front desk, card readers and cameras on a protected segment. Renters get a reliable connection and you avoid a situation where a compromised device on their side can reach your payment or client systems.
We have three locations. Can the front desks share accounts?▼
They can share the platform, but not passwords. Most booking systems support multiple locations with individual logins and location-specific permissions. We set that up so staff can work across locations when they need to, managers see their own stores, and owners see everything. When someone moves between locations or leaves, you update one account instead of changing a shared password everyone memorized. It also gives you a clear record of who booked, refunded or edited each appointment.
What happens if the booking platform goes down?▼
Outages on the platform’s side are theirs to fix, but you can prepare. We help you set up a simple fallback: a daily schedule export or printed sheet for the next day, a way to take payment on a standalone reader, and a template text for clients if you need to reschedule. If the problem is on your side, such as internet, Wi-Fi or a front desk device, we handle it remotely during business hours and keep your spare ready.
Do you provide Salons & Day Spas IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers salons & day spas IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. Call 713-571-2390 to check coverage for your specific address.
What does Salons & Day Spas IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
