Case files, surveillance video and database access that hold up under scrutiny

Private Investigators IT Services

An investigation firm's work is only as good as its evidence and its discretion, and a compromised account or a mishandled video file can sink a case, burn a client relationship and put your license at risk.

At a glance

Investigators juggle case management, hours of surveillance video, access to people-search and public-record databases with strict permissible-use rules, reports for attorneys and insurers and field laptops that travel everywhere. Subjects sometimes have every reason to find out what you know.

We manage the IT for investigation agencies in Texas and nationwide: secure case and video storage, field devices, account protection, Microsoft 365, backups and security monitoring, supported by U.S.-based engineers.

IT that keeps cases confidential, evidence intact, database logins safe.

Protected case files, defensible video evidence and locked-down database access for investigators whose work ends up in court.

Investigation agencies

Your evidence has to survive cross-examination

Attorneys, insurers and corporate clients hire you because your findings hold up. That depends on evidence nobody can question and confidentiality nobody can break. Here's what your work rests on, how investigation firms get exposed and what we change so your files stay as discreet as your investigators.

01 · The pressure

Hours of video and a report due Monday

A surveillance assignment can produce many hours of video that has to be stored, reviewed, clipped and delivered with a report that withstands an opposing attorney. Investigators run searches on data platforms that log every query and demand a permissible purpose. Case files mix client instructions, subject details and sometimes privileged attorney communications. If a laptop is lost in the field or a video file is altered or corrupted, the case weakens, and your client may never send another assignment.

  • Surveillance video stored and delivered intact
  • Data platform searches tied to permissible purpose
  • Case files containing attorney work product

02 · How it breaks

Shared database logins and unencrypted laptops

Small agencies often share one login to a skip-trace or public-record platform, which breaks the provider's terms and makes misuse untraceable. Field laptops with unencrypted drives get left in vehicles. Video gets moved around on cheap USB drives and consumer cloud links. An investigator's email gets phished and the attacker reads case updates, or a subject who's tech-savvy figures out where your reports are stored. Any one of these can end up in a deposition.

  • One shared login to a people-search platform
  • Unencrypted laptops left in surveillance vehicles
  • Video passed around on USB drives

03 · What we change

Encrypted devices and evidence you can account for

Every investigator gets named accounts with MFA on email, case management and data platforms. Laptops get full-disk encryption, device management and remote wipe. Video moves into secure storage with hashing on upload, access logging and controlled sharing links for clients, replacing USB drives. Case folders get permissions by matter. Endpoints get managed detection with 24/7 SOC monitoring, and immutable backups protect case files and video.

  • Named, MFA-protected data platform accounts
  • Encrypted, remotely wipeable field laptops
  • Hashed video storage with access logs

04 · The after

Answers ready for the attorney who asks

When opposing counsel challenges how your video was handled, you show upload hashes and access logs. When a law firm client sends a security questionnaire, you answer it honestly and quickly. A laptop left in a rental car is an inconvenience, not a breach. Your data platform provider sees individual accounts and clean usage. And your investigators spend their time on the case, not worrying about where the files went.

  • Hashes and logs that support chain of custody
  • Law firm questionnaires answered with evidence
  • Lost laptops wiped, not breached

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Case Management Support

Platforms like Trackops, or a structured setup in Microsoft 365, hold your assignments, notes, time and reports. We support the platform's accounts and integrations, organize permissions by client and matter and make sure investigators only see the cases they're assigned to, which matters more when clients include competing law firms.

Surveillance Video Storage

Video files are large and evidentiary. We set up storage sized for your caseload, compute hashes when files arrive, log every access and use expiring, controlled links for client delivery. Original files stay untouched, with working copies for clipping, so you can always show the original is intact.

Data Platform Account Security

TLOxp, IRBsearch, Accurint and similar platforms require individual accounts and permissible-purpose use. We help you assign named logins, enforce MFA where offered, remove access when investigators leave and keep the workstations that run searches secure, so a compromised account doesn't become a misuse incident with your name on it.

Field Laptop & Phone Protection

Investigators work from vehicles, hotels and coffee shops. We encrypt laptops and phones, manage them centrally, require VPN on public networks and enable remote wipe. A device lost during surveillance gets locked and wiped quickly, and case data stays protected even if the hardware never comes back.

Digital Evidence Handling

If your firm does digital forensics with tools like Magnet AXIOM, the workstations and evidence storage need tight control. We help isolate forensic machines, restrict access to evidence storage, log handling and back it up properly. Your examiners own the forensic methods; we make the environment around them trustworthy.

Client & Attorney Communications

Reports and updates often travel to attorneys and claims professionals. We set up encrypted email options, secure client portals or controlled sharing, plus MFA and impersonation protection on your mailboxes, so case updates reach the right person and an attacker can't pose as you or your client.

Evidence That Withstands Challenge

Hashing, access logs and controlled storage give you a documented answer when someone questions whether video or files were altered. That strengthens your testimony and your clients' cases, which is the reason they hired you.

Protected Client Relationships

Law firms and insurers increasingly vet their vendors' security. Real controls let you pass those reviews, and they keep a breach from exposing privileged material that would end a client relationship overnight. Discretion becomes something you can demonstrate.

Clean Data Platform Usage

Individual, protected accounts on people-search and public-record platforms keep you within provider terms and make every query traceable to a person and a case, which protects your firm if usage is ever questioned. Departing investigators lose access immediately.

Support Built Around Fieldwork

Engineers based in the U.S. answer during business hours, and active incidents get after-hours emergency response. If a laptop goes missing during evening surveillance, there's a clear way to report it and get it locked quickly. Investigators stay focused on the subject, not on IT.

Our Process

1
Inventory devices, case storage, video storage, data platform accounts and how files currently move between investigators and clients.
2
Replace shared logins with named, MFA-protected accounts across email, case management and every people-search or public-record platform.
3
Encrypt and enroll every laptop and phone in device management with remote wipe and VPN for public networks.
4
Move video into secure storage with hashing, access logging and controlled client delivery, retiring USB drive handoffs.
5
Set permissions by client and matter, add immutable backups and deploy managed detection with 24/7 SOC monitoring.
6
Write a short lost-device and suspected-breach procedure, and review access and open risks with you quarterly.

Frequently Asked Questions

How do we show surveillance video hasn't been altered?▼
By capturing proof at the start and protecting the original. We set up storage that computes a cryptographic hash when a file is uploaded, keeps the original read-only and logs who accessed or downloaded it. Clipping and editing happen on working copies. If anyone questions the video later, you can show the original's hash matches the file you delivered. How you testify about chain of custody is for you and your client's attorney; we give you the technical record to support it.
Can our investigators share one login to a people-search platform?▼
You shouldn't, and most providers prohibit it. Platforms that provide data covered by the GLBA or the Driver's Privacy Protection Act require a permissible purpose for searches and expect each query to be traceable to an individual user. Shared logins make that impossible and risk your account. We help you set up named accounts, enforce MFA where available and remove access when investigators leave. Questions about permissible purpose belong with your compliance lead and counsel.
What should happen if a laptop is lost during surveillance?▼
The investigator reports it immediately using a simple procedure, and we lock and wipe it remotely. Because the drive is encrypted, the data on it can't be read without the login, and because files live in central storage, nothing is lost but the hardware. We also reset that investigator's passwords and check recent sign-ins. Whether any notification is needed depends on what was on the device and your obligations, which you and your counsel decide.
Our clients are law firms. What security will they expect?▼
Increasingly, a lot. Law firms have their own ethical duty to protect client information under rules like ABA Model Rule 1.6, and they pass expectations to their vendors through questionnaires and engagement terms. They commonly ask about MFA, encryption, access control, backups, incident response and employee training. We help you put those controls in place and document them, so you can answer accurately. We don't overstate anything on your behalf; the answers match what you actually run.
We worry subjects might try to hack us. Is that realistic?▼
It happens, especially in contentious domestic, fraud or corporate matters where a subject has money and motive. The usual approach is phishing an investigator, guessing weak passwords or impersonating a client to request information. MFA, phishing protection, verification of unusual requests and managed detection with 24/7 SOC monitoring make your firm a much harder target. We also recommend keeping investigator identities and case details off personal social media and public profiles.
Do you support digital forensics work?▼
We support the environment, not the examination. If your firm images phones or computers with tools like Magnet AXIOM or Cellebrite, the forensic workstations should be isolated, evidence storage restricted and logged and backups handled properly. We set that up and maintain it. Your examiners own the forensic methodology, tool validation and reports. Keeping those roles separate is cleaner for everyone if your work is ever challenged in court. Each side stays accountable.
Do you provide Private Investigators IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers private investigators IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Private Investigators IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
