Applicant data, employer portals and integrations protected at every order

Background Screening Companies IT Services

A background screening company holds exactly what identity thieves want: names, Social Security numbers, dates of birth, addresses, criminal history and driving records for every applicant you screen, all moving through employer portals, ATS integrations and court researchers.

20+ Years Experience

At a glance

One compromised client login or leaky integration turns a trusted consumer reporting agency into a breach headline.

We manage IT and security for screening firms and CRAs in Texas and nationwide: your screening platform's surrounding infrastructure, Microsoft 365, identity and access controls, endpoint protection, backups and 24/7 SOC monitoring through managed detection and response. U.S.-based engineers handle the work remotely.

IT that keeps applicant data sealed, orders moving, client portals locked.

Applicant identities, court results and client accounts protected, so your reports are trusted and your data stays yours.

Consumer reporting

Every order is a stranger's identity

Your business runs on handling other people's most sensitive information on behalf of employers who trust you with their hiring. Orders arrive from portals and integrations, fan out to researchers and data sources, and come back as reports that decide whether someone gets a job. Here's where that pipeline leaks, and how we seal it.

01 · The pressure

Orders in, results out, turnaround watched

An HR manager submits an order through your portal or their ATS. Your team requests county searches from court researchers, pulls driving records, verifies employment and education, and sometimes coordinates drug tests. Results get reviewed for accuracy before a report goes back. Employers watch turnaround closely, and applicants are waiting for a job offer. If your platform, email or researcher connections go down, orders stack up and clients start calling.

  • Orders from employer portals and ATS links
  • Court researchers and data sources in the loop
  • Reports reviewed before they go back

02 · How it breaks

Reused client passwords and leaky integrations

A client's HR coordinator reuses their portal password elsewhere, and an attacker logs in to download months of completed reports. An ATS integration key sits in a shared document. Court results come back by plain email from independent researchers, with applicant identifiers in the body. An analyst exports a spreadsheet of SSNs to work from home. None of this looks like a hack until someone files a complaint or a regulator asks how it happened.

  • Client portal logins without MFA
  • Integration keys stored in shared files
  • Applicant identifiers sent by plain email

03 · What we change

Identity controls, encrypted exchange, watched endpoints

We enforce MFA and conditional access for your staff and push for it on client portals, with alerts on bulk report downloads. Integration secrets move into a vault with rotation. Researchers and data partners exchange results through encrypted portals or secure mail instead of plain email. Every workstation gets endpoint detection, data loss prevention blocks bulk SSN exports, and 24/7 SOC monitoring watches for suspicious logins and data movement.

  • MFA and download alerts on portal accounts
  • Secrets vault for integration keys
  • DLP rules that block bulk SSN exports

04 · The after

Security answers ready before clients ask

When an enterprise prospect sends a security questionnaire, you answer it with evidence instead of hoping. Your accreditation and compliance work has documented controls, access reviews and incident records behind it. If a client account is misused, alerts catch it early and logs show exactly what was viewed. Your team keeps orders moving, and you can tell employers plainly how their applicants' data is protected.

  • Questionnaires answered with evidence
  • Access reviews and logs on file
  • Early alerts on misused client accounts

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Screening Platform Infrastructure

Whether you run Accio Data, TazWorks or a custom system, we secure what surrounds it: admin accounts, servers or cloud tenants, network access, backups and monitoring. We work with your platform vendor on configuration and updates, so the system that processes every order stays available and locked down.

Client Portal Account Protection

Employer accounts are a favorite target because one login can expose many reports. We help you require MFA for client users where your platform supports it, alert on unusual logins and bulk downloads and set procedures for disabling accounts when HR staff at a client company change.

ATS & API Integration Security

Integrations with Workday, iCIMS and other applicant tracking systems rely on keys and service accounts. We inventory every integration, store secrets in a vault, limit each key to what it needs, rotate credentials on a schedule and log activity so a leaked key gets noticed and killed quickly.

Researcher & Data Partner Exchange

Court researchers, verification sources and drug testing partners all send applicant data back and forth. We replace plain email with encrypted portals, secure mail or SFTP, define what data each partner gets and review partner access regularly, so applicant identifiers don't sit unprotected in inboxes across the country.

Data Loss Prevention & Endpoints

Analysts handle SSNs and criminal records all day. We deploy endpoint detection on every device, apply data loss prevention to stop bulk exports and uploads to personal storage, encrypt laptops and lock down USB drives. Remote analysts work through managed devices instead of home computers.

Retention & Secure Disposal

Consumer report information has to be disposed of properly when it's no longer needed. We help you implement retention rules in your systems and Microsoft 365, securely wipe retired drives and devices following NIST 800-88 practices and document disposal, so you can show how old reports leave your environment.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Stronger Position in Enterprise Deals

Large employers send long security questionnaires before they sign. With documented controls, monitoring and policies in place, your sales team can answer quickly and accurately, and security becomes a reason to choose you instead of a stalled deal.

Accreditation Work With Real Evidence

If you pursue or maintain industry accreditation, the information security standards need proof. We keep access reviews, training records, incident logs and policy documents current, so audits rely on evidence that already exists instead of a last-minute scramble.

Faster Detection of Misuse

Managed detection and response with 24/7 SOC monitoring flags impossible-travel logins, mass downloads and new forwarding rules as they happen. Catching misuse early limits how many applicants are affected and gives counsel accurate facts for their decisions.

Analysts Who Can Work Anywhere

Managed laptops, secure access and data loss controls let analysts and researchers work remotely without turning home networks into a weak spot. You can hire for skill instead of commute while keeping applicant data contained.

Our Process

1
Map where applicant data enters, moves and rests: portals, integrations, researchers, email, file shares, laptops and backups.
2
Review identity controls for staff, client users and service accounts, and list every integration key and partner connection.
3
Enforce MFA and conditional access, move secrets into a vault and set alerts for bulk downloads and unusual logins.
4
Deploy endpoint detection, data loss prevention and disk encryption, and connect everything to 24/7 SOC monitoring.
5
Replace plain email with encrypted exchange for researchers and partners, and apply retention and disposal rules.
6
Run an incident tabletop with your leadership and counsel, then review access, partners and controls every quarter.

Frequently Asked Questions

Does the FTC Safeguards Rule apply to background screening companies?▼
It may. The FTC has treated consumer reporting agencies as financial institutions under the Gramm-Leach-Bliley Act in past enforcement actions, which brings the Safeguards Rule into play. Whether it covers your business depends on what you do and how the definition in the rule applies, and that's a question for your counsel. We help either way by building the program the rule describes: a qualified individual, risk assessment, access controls, encryption, MFA, monitoring and incident response.
How do we stop attackers from using our clients' portal logins?▼
Start by requiring MFA for client users if your platform supports it, or at minimum for admin and high-volume accounts. Then watch for warning signs: logins from unusual locations, many reports downloaded in a short time or access outside business patterns. We set alerts on those and help you write a procedure for quickly suspending a client account and notifying the employer. Asking clients to tell you when HR staff leave closes another common gap.
Our court researchers send results by email. What should we do instead?▼
Move them to an encrypted channel. Options include a researcher portal built into your platform, secure email that encrypts messages automatically, or SFTP for high-volume partners. We help you choose based on what your researchers will actually use, since an option they ignore doesn't help. We also limit what data goes out with each request, so researchers get what they need to search without unnecessary identifiers sitting in their inboxes.
How do we secure integrations with applicant tracking systems?▼
Treat each integration key like a master password. We inventory every connection, store keys in a secrets vault rather than documents or code, scope each one to only the permissions it needs and rotate them on a schedule. We log integration activity so unusual volume stands out. When a client leaves or switches ATS vendors, we make sure the old connection is shut off instead of lingering as an unwatched way into your data.
Can you help us prepare for PBSA accreditation?▼
We can help with the information security and technology parts. The accreditation is administered by the industry's credentialing council, and its standards cover areas including data security and consumer protection. We put the technical controls in place, document them and keep evidence like access reviews, training records and incident logs current. Policy, legal and FCRA compliance sections remain with your team and counsel, but your security story will be backed by real records.
How should we dispose of old reports and applicant files?▼
Under the FCRA Disposal Rule, consumer report information has to be disposed of in a way that protects against unauthorized access. Practically, that means retention rules in your platform and Microsoft 365 so old data is deleted on schedule, secure wiping or physical destruction of retired drives and devices and contracts with any shredding vendor. We implement the technical side and document it, while your counsel decides how long records must be kept.

We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs.
