Keep candidate data, recruiter inboxes and temp payroll out of the wrong hands

Staffing Agencies IT Services

A staffing agency collects more sensitive personal data in a week than most companies do in a year: resumes, Social Security numbers, I-9 documents, background check results and direct deposit details for people who may work for you for six weeks.

At a glance

Recruiters open attachments from strangers all day because that's the job, and fraudsters know it.

We run IT and security for commercial, light industrial, IT and healthcare staffing firms, locking down the applicant tracking system, recruiter mailboxes, branch offices and the onboarding flow where identities and bank accounts change hands.

We support agencies in Texas and nationwide with U.S.-based engineers working remotely and on-site help arranged where branches need it.

IT that keeps recruiters dialing, candidate files safe, Friday payroll right.

Every resume is a stranger's attachment and every new hire is a bank account change. We make both safe to handle at volume.

Staffing agency IT

You hold the identities of everyone you place

Staffing runs on speed: post the job, screen fast, onboard faster, get the worker on site Monday. Every one of those steps moves personal data through an ATS, an inbox, an e-signature tool or a payroll system. Here's where that pressure comes from, how agencies actually get hit and what we put in place.

01 · The pressure

Fill rates depend on the ATS being up at 7 a.m.

Your recruiters live in the ATS, the phone and the job boards. A client calls at dawn needing twelve forklift operators by tomorrow, and your team needs search, texting and onboarding working immediately. Behind that sits a database of candidates with dates of birth, SSNs and work authorization documents. If the ATS is down, orders go to the agency down the street. If it's breached, you're notifying thousands of people who may only have worked one assignment.

  • Same-day orders depend on ATS and phones
  • Candidate records include SSNs and I-9 documents
  • A breach reaches people you placed years ago

02 · How it breaks

The attack arrives looking like a candidate

A "resume" link leads to a fake Microsoft login, and a recruiter's account is gone. The attacker searches the ATS for candidate exports, then emails payroll from a worker's address asking to change direct deposit before Friday. Shared branch logins mean nobody can tell who exported what. Former recruiters leave with their candidate lists still syncing to a personal phone, and a job board account with a reused password gets used to post fake jobs harvesting applicant data.

  • Malicious resume links aimed at recruiters
  • Direct deposit change requests from fake workers
  • Shared branch logins that hide who did what

03 · What we change

Named accounts, safe attachments, verified pay changes

Every recruiter gets a named account with phishing-resistant MFA on email, the ATS and job boards, and shared branch logins disappear. Resume attachments and links are opened in sandboxed protection before they reach the inbox. Bulk exports from the ATS trigger alerts. Direct deposit changes require verification through a channel the worker set up at onboarding, never by reply email. Departing recruiters lose access the hour they leave, including mobile devices.

  • MFA on ATS, email and every job board seat
  • Sandboxed resume attachments and links
  • Out-of-band checks on every deposit change

04 · The after

Recruiters move fast and the data stays put

Your team keeps opening resumes and onboarding workers at the same pace, but a stolen password no longer opens the candidate database. Payroll stops getting surprised by redirected paychecks. When a client's procurement team or MSP program asks how you protect worker data, you send a short, honest summary of your controls. Your cyber insurer sees MFA everywhere, tested backups of the ATS and an incident plan on file.

  • Stolen passwords stop opening candidate records
  • Fewer redirected paychecks and payroll disputes
  • Clear answers for client and MSP program audits

What We Offer

Comprehensive solutions tailored for Houston-area businesses

ATS and Front-Office Security

We review roles and permissions in your applicant tracking system so recruiters see what they need and nothing more, connect it to single sign-on with MFA, and turn on audit logging for exports and mass downloads. Integrations with job boards, texting tools and background check vendors get their own scoped credentials instead of a shared admin login.

Recruiter Inbox Protection

Recruiters must open attachments from strangers, so blocking them isn't an option. We add attachment sandboxing, link rewriting and time-of-click scanning to Microsoft 365 or Google Workspace, plus impersonation protection for executives and payroll staff. Suspicious resumes get detonated safely before a recruiter ever sees them.

Payroll Diversion Defense

Temp payroll is a favorite target because workers change banks often and payroll teams are rushed before cutoff. We help you design a direct deposit change process that requires verification through the worker portal or a known phone number, alert payroll on changes made from new devices and keep a log you can show if a worker disputes a payment.

Branch Office IT

Branches often run on a consumer router, a shared front-desk PC and a kiosk for applicants. We standardize branch networks with managed firewalls, a separate guest and applicant Wi-Fi network, locked-down kiosks and named logins on every workstation, so one branch's bad day doesn't become the whole company's incident.

Onboarding Document Handling

I-9 documents, tax forms and background check results shouldn't live in email attachments and Downloads folders. We help move onboarding into the ATS or a dedicated onboarding platform with encrypted storage, set retention schedules your counsel approves and clean up the old copies scattered across shared drives and recruiter laptops.

Fast Offboarding for Recruiters

Recruiter turnover is normal in staffing, but a departing recruiter with live access to the candidate database is a real problem. We run a same-day offboarding checklist that disables email, ATS, job board and texting accounts, wipes company data from mobile devices and transfers ownership of their candidate pipeline to a manager.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Protect the Candidate Pool You Built

Your candidate database is years of sourcing work and the core asset of the agency. Keeping it from walking out the door, whether through an attacker or a departing recruiter, protects both the people in it and the value of the business.

Keep Clients Who Audit Vendors

Large clients and managed service programs increasingly ask staffing suppliers how they protect worker data. Being able to answer clearly, with real controls behind the answer, keeps you on preferred supplier lists instead of falling off at renewal.

Fewer Payroll Fire Drills

When deposit changes are verified properly, payroll stops discovering on Monday that a worker's check went to a stranger's account. That saves money, hours of reconciliation and the trust of workers who already live paycheck to paycheck.

Recruiters Stay on the Phone

Recruiters earn money by talking to candidates and clients, not by fighting a frozen laptop or a locked account. Quick remote support during business hours keeps desks productive through the morning order rush and the Friday scramble to confirm next week's starts.

Our Process

1
Map where candidate and worker data lives today: the ATS, inboxes, onboarding tools, payroll, shared drives, recruiter phones and branch PCs.
2
Audit ATS permissions, job board accounts and shared logins, then identify every integration that holds candidate data and how it authenticates.
3
Roll out named accounts and phishing-resistant MFA across email, ATS and job boards, starting with recruiters who have export rights.
4
Deploy attachment sandboxing, impersonation protection and endpoint detection on every recruiter laptop and branch workstation.
5
Rebuild the direct deposit change and offboarding processes with payroll and HR, then test both with a tabletop scenario.
6
Review access, exports and suspicious activity monthly, and update your client-facing security summary as controls improve.

Frequently Asked Questions

Can you work with Bullhorn, Avionté or our current ATS?▼
Yes. We don't replace your ATS; we secure how people and integrations get into it. That means connecting it to single sign-on with MFA where the platform supports it, reviewing user roles so branch recruiters can't export the whole database, checking which third-party add-ons hold API credentials, and turning on audit logs for exports. If your ATS vendor manages part of the configuration, we coordinate with their support team so changes don't break integrations with payroll, VMS portals or background check providers.
How do we let recruiters open resumes without getting hacked?▼
You layer protection around the attachment instead of banning it. Email security sandboxes attachments and links before delivery and rescans links at click time. Office files open in protected view, macros from the internet stay blocked, and endpoint detection on each laptop watches for the behavior that follows a malicious file. Recruiters also get short, staffing-specific training on red flags such as password-protected archives and "view my resume" login pages. Each layer catches some of what the others miss.
What should our direct deposit change process look like?▼
Changes should only happen through a channel the worker set up at onboarding, such as the worker portal with MFA, or be confirmed by calling a phone number already on file. Never act on a bank change request sent by email or text, even from a familiar address. Changes made close to payroll cutoff, or from a new device, should get a second look. We help set up the alerts and logging, and your payroll and HR team owns the policy itself.
How long should we keep candidate and I-9 records?▼
That's a question for your employment counsel, because retention depends on federal rules for I-9 forms, state requirements and any client contract terms. What we do is make whatever schedule counsel sets actually work: we find the stray copies of onboarding documents in inboxes and shared folders, configure retention and deletion in your systems and make sure old records aren't quietly kept forever in a backup or an export someone made three years ago. Data you no longer hold can't be breached.
We have branches in several states. Can you support all of them?▼
Yes. Most branch support is remote: help desk, device management, patching, security monitoring and network management all run from our U.S.-based team. For hands-on work such as installing a firewall or replacing a kiosk, we handle it ourselves near our offices or send a vetted local technician directed by our engineer. Standardizing every branch on the same firewall, Wi-Fi setup and workstation build is what makes multi-state support manageable without surprises.
Do background check and FCRA rules affect how you set up our systems?▼
They affect how carefully background check results are stored and who can see them. Consumer reports obtained under the Fair Credit Reporting Act shouldn't be visible to every recruiter or sitting in email. We help restrict access to those results inside the ATS or the screening vendor's portal, log who views them and keep them out of general file shares. The FCRA's disclosure, authorization and adverse action requirements are legal processes your counsel and screening provider should own.
Do you provide Staffing Agencies IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers staffing agencies IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Staffing Agencies IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
