IT for firms running confidential searches that can't leak before the announcement

Executive Search Firms IT Services

In retained executive search, confidentiality is the product: if word gets out that a client is replacing its CEO, or a sitting executive's interest in a new role reaches their employer, the search and the relationship can both collapse.

At a glance

Your partners and researchers hold board-level conversations, compensation details, assessment reports and long-cultivated candidate relationships in a search CRM, email and phones that travel everywhere.

We run IT and security for retained search firms, board advisory practices and leadership consultancies: identity, devices, CRM access, confidential project spaces and defenses against people impersonating your partners. We work with search firms in Texas and nationwide.

IT that keeps searches confidential, candidates trusting, partners reachable.

Code-named searches stay code-named, candidate data stays in the firm, and partners work securely from anywhere.

Inside a retained search

What a leak costs an executive search firm

Search firms trade on discretion. Boards tell you about succession plans before their own leadership teams know. Executives confide career moves and compensation they'd never put in a public profile. A firm that leaks loses more than one engagement; it loses its reputation in a market that runs on referrals and long memories.

01 · The pressure

Discretion is what clients are paying for

A typical search has a code name, a small team and a long list of sensitive documents: the position specification, target company lists, candidate profiles, referencing notes, compensation data and assessment reports. Partners pitch new boards, researchers build target maps, and associates schedule confidential interviews across time zones. Shortlists go to search committees through portals or email. If any of that reaches the wrong person, a sitting CEO learns they're being replaced, or a candidate's employer learns they're looking.

  • Code-named searches with tightly held details
  • Compensation and assessment data on candidates
  • Shortlists shared with board search committees

02 · How it breaks

Open CRM access and impersonated partners

In many firms, everyone can see every search in the CRM, so one compromised researcher account exposes the whole book. Shortlists get emailed to personal addresses of board members. Partners' names are used in fake recruiting outreach to steal candidate information or push malware disguised as a job description. Departing consultants export candidate relationships on the way out. A phished partner mailbox lets an attacker read confidential board correspondence for weeks before anyone notices.

  • Every search visible to every CRM user
  • Fake outreach using your partners' names
  • Candidate lists exported by departing consultants

03 · What we change

Need-to-know searches and verified identity

We restructure CRM and file permissions so each confidential search is visible only to its team, with sensitive fields like compensation and assessment results restricted further. Partners and consultants get phishing-resistant MFA and managed devices. Shortlists move through secure, expiring links or a client portal instead of loose attachments. We set up domain protection and alerts for lookalike domains used to impersonate your firm, and data loss alerts for bulk exports from the CRM.

  • Search-by-search access in the CRM and files
  • Secure, expiring shortlist delivery to committees
  • Alerts on bulk candidate exports

04 · The after

Boards trust you with their hardest secrets

With those controls in place, a compromised account exposes one search at most, and you can show exactly what was touched. Candidates who confide in your consultants can be told honestly how their information is protected. Board clients and their general counsel see secure delivery and clear data handling. When a consultant leaves, their access ends that day and you know whether they tried to take the database with them.

  • Exposure contained to a single search
  • Clear data handling for board clients' counsel
  • Departures handled with an export trail

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Need-to-Know Search Permissions

We restructure access in your search CRM and file storage so each engagement is visible only to the team working it. Highly sensitive fields, like compensation, references and assessment results, get tighter restrictions. Partners can still see across their own searches, and leadership gets an audit trail of who opened what.

Partner Impersonation Defense

Attackers use well-known search partners' names to approach executives with fake opportunities. We set up email authentication so spoofed messages from your domain get rejected, monitor for lookalike domains, and give your team a simple way to verify outreach when a candidate asks whether a message is real.

Secure Shortlist and Report Delivery

Candidate shortlists and assessment reports often go to board members using personal email. We set up secure, expiring links or a client portal with access logging, so search committee members can review materials without them lingering in personal inboxes long after the search closes. Access ends when the search does.

Mobile Security for Traveling Partners

Partners run searches from airports, hotel lobbies and client boardrooms. We manage their laptops and phones with encryption, remote wipe, phishing-resistant sign-in and separate work containers, so a lost phone doesn't expose candidate conversations and personal data stays private. Partners sign in with a tap, which is faster than the codes they used before.

Candidate Data Privacy Controls

Search firms collect detailed personal information on executives, often across borders. We help you set retention rules in the CRM, respond to deletion and access requests, and restrict exports. For candidates in the EU or California, your counsel decides which privacy law obligations apply, and we configure systems to support them.

Consultant Offboarding and Export Monitoring

Candidate relationships are the firm's asset, not an individual's. We alert on bulk exports from the CRM and large downloads from file storage, especially around resignations, and disable access across every system on the consultant's last day. Mailboxes and devices are preserved for review if needed.

Confidential Searches Stay Confidential

Need-to-know access, secure delivery and phishing-resistant sign-in mean code-named searches stay inside their teams. If an account is compromised, the exposure is limited to one search and documented, rather than spreading across your entire client list.

Candidates Who Keep Talking to You

Executives share sensitive career plans only with firms they trust. Being able to explain how their data is protected, and never giving them reason to doubt it, keeps those relationships warm for the next search and the one after that.

Your Name Protected From Scammers

Domain protection and lookalike monitoring make it much harder for fraudsters to use your partners' names in fake outreach. That protects executives from scams and protects the reputation your partners spent years building. Candidates also learn to trust what actually comes from you.

Easier Approval From Client Legal Teams

Corporate general counsel and procurement teams increasingly review search firms' data handling before engagements. Clear documentation of access controls, secure delivery and retention practices shortens those reviews and helps you get engaged faster. Fewer engagements stall in procurement.

Our Process

1
We meet with your managing partner and operations lead to map how searches are opened, staffed, documented, shared with clients and closed.
2
We review CRM permissions, file storage, email authentication, devices, shortlist delivery and offboarding, ranking findings by confidentiality risk.
3
We restructure CRM and file access by search, testing with a few active engagements before applying the model across the firm.
4
We roll out phishing-resistant MFA and device management to partners first, scheduling around travel and client meetings.
5
We set up domain protection, secure shortlist delivery and export monitoring, then train consultants on the new workflow and impersonation warning signs.
6
We support the firm during business hours with after-hours emergency response for active incidents, and review access and exports with leadership regularly.

Frequently Asked Questions

Can you restrict access by search in our CRM?▼
Usually, yes. Most search CRMs support project-level or team-level permissions, though firms often never turn them on. We review what your platform supports, design a model where each search is visible only to its team and partners, and restrict sensitive fields further. We test it on a few active searches before rolling it out, because overly tight permissions can frustrate researchers. Where the CRM's options are limited, we work with the vendor or add controls in file storage and email to fill the gaps.
How do we stop people impersonating our partners?▼
We start with email authentication on your domain, which tells receiving servers to reject messages that falsely claim to come from you. We monitor for lookalike domains registered to imitate your firm and help take them down where possible. We also suggest a simple verification page or contact process so executives can confirm whether outreach is genuine. You can't stop scammers from using a name on social media, but you can make your email domain much harder to abuse and give candidates a way to check.
Board members want shortlists by email. Is that a problem?▼
It's a common risk. Board members often use personal or other-company email, and attachments stay in those inboxes indefinitely. We set up secure, expiring links or a client portal so committee members can view shortlists and reports from any device, with access logged and the option to block downloads. Most board members find it easier than juggling attachments. For members who insist on email, we can at least send encrypted messages that expire, which is far better than plain attachments.
Do privacy laws like GDPR apply to our candidate database?▼
They may, depending on where candidates live and how your firm operates. Searches for executives in Europe can bring GDPR into play, and California residents have rights under state privacy law if your firm meets its thresholds. Which laws apply, and what you must do about them, is a question for your counsel. Our job is the technical side: setting retention rules in the CRM, making it possible to find and delete a candidate's records, restricting exports and documenting how data is protected.
What happens when a consultant resigns?▼
We disable access to email, the CRM, file storage and other systems on their last day, or immediately if the departure is contentious. Their mailbox and devices are preserved in case leadership or counsel needs to review them. We also check recent activity for unusual exports or downloads, since candidate data often walks out in the weeks before a resignation. Ongoing export alerts mean you're more likely to know about it before the consultant has already left.
We're a small boutique. Is this overkill?▼
Boutiques often have the most to lose, because a few partners carry the entire firm's reputation and client relationships. The controls scale down well: phishing-resistant sign-in, managed devices, search-level permissions, secure shortlist delivery and domain protection don't require a big IT budget or full-time staff. We set them up, keep them running and handle day-to-day support, so the partners can focus on clients and candidates instead of fixing laptops or worrying about the next phishing email.
