Respondent privacy and unreleased client concepts, protected from fieldwork to final deck

Market Research Firms IT Services

A research firm sits on two kinds of secrets at once: personal data from respondents who trusted you with their opinions, and client material that hasn't launched yet, like new packaging, pricing tests and ad concepts.

At a glance

Leak either one and the damage lands on your reputation, not just your network.

We run IT and security for full-service agencies, qualitative shops, panel companies and healthcare research specialists, covering survey platforms, focus group recordings, analysis workstations and the incentive payouts that fraudsters love to target.

We support firms in Texas and nationwide with U.S.-based engineers handling device management, Microsoft 365 or Google Workspace and security monitoring remotely.

IT that keeps fieldwork running, respondents anonymous, concepts under wraps.

Respondents trust you with their answers and clients trust you with their next launch. We help you keep both promises.

Market research IT

Your data is personal and your clients' is confidential

Research projects move from questionnaire to fieldwork to tabs to readout on a tight clock. Along the way, identifiable respondent data, recordings and unreleased client stimulus pass through survey tools, file shares, vendors and analysts' laptops. Here's where that gets risky, how it actually fails and what we put in place.

01 · The pressure

Fieldwork windows don't wait for IT problems

A study launches Tuesday with quotas to fill by Friday. Programmers need the survey platform, project managers need panel vendors' links working and analysts need the data file the moment fieldwork closes. Qualitative teams are uploading focus group videos where faces and voices identify participants. Clients expect the readout on the date in the proposal, and they expect their concept boards to stay private until launch day. A breach of either kind can cost a client for good.

  • Tight fieldwork and readout deadlines
  • Recordings that identify participants
  • Client stimulus that must stay unreleased

02 · How it breaks

Data spreads through exports and shared links

A project manager exports the raw file with emails and ZIP codes to share with a coding vendor, and the copy lives on in a personal Dropbox. A survey platform account shared by three programmers gets phished. Focus group videos sit on an open sharing link sent to a client's whole marketing team. Bots and fraud rings flood a study to collect incentives, and someone in finance pays out gift cards to a list an attacker padded.

  • Raw exports with identifiers sent to vendors
  • Shared survey platform logins phished
  • Incentive fraud draining project budgets

03 · What we change

Identifiers separated, access named, payouts checked

Every survey platform user gets a named account with single sign-on and MFA. We help set up workflows that strip or pseudonymize identifiers before data leaves the platform for coding or analysis. Recordings and client stimulus live in restricted, expiring shares with download logging. Analyst laptops are encrypted and managed. Incentive payout lists get a second review and fraud checks before money goes out, and vendors receive only the fields they need.

  • Named survey accounts with SSO and MFA
  • Pseudonymized data for coding and analysis
  • Expiring shares for recordings and stimulus

04 · The after

Privacy requests and client audits stop being scary

When a panelist asks what data you hold or wants it deleted, you can find it, because it lives in known places. When a pharmaceutical or consumer goods client sends a vendor security assessment, you answer with real controls. Project managers stop wondering who still has the link to last spring's concept test. Fieldwork keeps its pace, and your clients' launches stay secret until they announce them.

  • Data subject requests you can actually fulfill
  • Straight answers on client vendor assessments
  • Unreleased concepts stay inside the project

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Survey Platform Access Control

Programmers, project managers and clients all log into the survey platform, often through shared accounts. We move every user to named accounts with single sign-on and MFA, trim admin rights, restrict who can export raw data with identifiers and turn on activity logs, so a phished password doesn't open every live study.

Respondent Data Minimization

Most analysis doesn't need names, emails or full addresses. We help you design workflows that keep identifiers in the platform or panel system and send pseudonymized files to coders, tab houses and analysts. Retention rules then clear out old raw files on the schedule your privacy policy and counsel set.

Focus Group and Interview Recording Security

Video of participants is identifiable data and often includes health or financial details. We set up restricted storage for recordings and transcripts, expiring client viewing links with download logging, and clear rules for how long recordings are kept. Facility and remote-interview platforms get reviewed for how they store and share sessions.

Client Stimulus Protection

Unreleased packaging, ads and product concepts need tighter handling than routine files. We apply sensitivity labels that block external forwarding, watermark stimulus in shared viewers where your tools support it and keep concept boards in project-specific workspaces that lock when the study closes, so a concept doesn't surface in someone's inbox months later.

Incentive Payout Fraud Controls

Gift card and digital incentive payouts attract fraud rings and bots. We work with your project teams on payout list review, duplicate and anomaly checks and approval steps before funds go out, and lock down the accounts used to issue incentives so a single phished login can't send rewards to an attacker.

Analyst Workstation Management

Analysts run statistics and visualization tools on large data files, often on laptops that travel. We manage those devices with encryption, patching and endpoint detection, keep project data in synced, managed storage instead of local folders and support the specialist software your team depends on without slowing their work.

Respondents Keep Saying Yes

Panel and recruit quality depends on people trusting that their answers stay private. Handling respondent data carefully, and being able to honor deletion and access requests, protects response rates and the reputation of your panel.

Pass Client Vendor Assessments

Pharma, financial services and consumer goods clients run detailed vendor security assessments before awarding studies. Documented controls and fast, honest answers keep you on approved supplier lists and shorten the time before fieldwork can start.

Fewer Fraud Losses on Incentives

Checking payout lists and protecting incentive accounts keeps project budgets from leaking to bots and fraud rings. It also improves data quality, because fraudulent completes get caught before they reach the final data file and skew the readout.

Fieldwork Without IT Delays

When devices are managed and accounts work, programmers and project managers can launch, monitor and close studies on schedule instead of losing a fieldwork day to a locked account, a broken laptop or a sync error on the data file.

Our Process

1
Trace a typical study end to end: survey programming, panel and sample vendors, recordings, coding, tabulation, analysis and the final readout.
2
Find every place identifiable respondent data and client stimulus are stored or shared, including vendor transfers, exports and old project folders.
3
Move survey platform and file storage users to named accounts with single sign-on and MFA, and restrict raw data exports to defined roles.
4
Set up pseudonymization, retention and restricted sharing for respondent data, recordings and stimulus, with counsel approving retention periods.
5
Manage and encrypt analyst and project manager laptops, and add fraud review and approval steps to incentive payouts.
6
Review access, sharing links and vendor transfers each quarter, and keep your client security assessment answers current.

Frequently Asked Questions

Can you work with Qualtrics, Forsta or our current survey platform?▼
Yes. We don't program surveys; we secure how your team and clients use the platform. That includes single sign-on and MFA, role design so only certain users can export identified data, API and integration review for panel and dashboard connections and activity logging. If the platform vendor manages some security settings at the account level, we coordinate with their support. The goal is that a stolen password or a careless export no longer exposes every active study at once.
Do privacy laws like CCPA and GDPR apply to our panels?▼
They can, depending on where your respondents live, what data you collect and your firm's size and role. California's CCPA as amended by CPRA and the EU's GDPR both give individuals rights to access and delete their data, and other states have similar laws. Which ones apply is a question for your privacy counsel. We handle the technical side: knowing where respondent data lives, being able to find and delete it on request and protecting it with access controls and encryption.
We run studies with children. What changes?▼
If you collect personal information online from children under 13, COPPA requires verifiable parental consent and limits what you collect and keep. Your counsel should confirm how it applies to your recruiting and study design. On the IT side, we help keep children's data in a separate, tightly restricted location, minimize identifiers, set short retention and make sure recordings of minors have stricter sharing rules than adult sessions. Treating this data as the most sensitive you hold is the right default.
Our healthcare clients mention HIPAA. Does it apply to us?▼
Sometimes. Market research firms usually aren't HIPAA covered entities, but if a health plan, provider or their business associate shares protected health information with you, for example a patient list for recruiting, you may be acting as a business associate under an agreement. Your counsel should review those contracts. Where it applies, we help isolate that data, restrict and log access and encrypt it. Health-related survey answers from the general public may also be sensitive under state privacy laws.
How do you stop bots and survey fraud?▼
Most fraud detection belongs inside your survey and sample platforms: quality checks, attention traps, digital fingerprinting and duplicate detection, which your programmers and sample vendors configure. Our part is the IT around it. We protect the accounts that issue incentives, add review and approval before payouts, help you spot suspicious patterns such as many payouts to similar addresses and keep incentive data separate from survey responses. Fraud that gets caught before payment costs you nothing.
What happens if raw respondent data is exposed?▼
We treat it as an active incident with after-hours emergency response. We close the exposure, whether that's a public link, a compromised account or a vendor's misconfigured storage, then use logs to determine what was accessed and by whom. We give your leadership and counsel a clear account of which respondents and data fields were involved. Counsel decides on notification under the applicable state laws and contracts. Afterward, we fix the workflow that allowed identified data to sit there in the first place.
