Chain of custody and destruction certificates you can prove, stop after stop

Document Destruction Services IT Services

A document destruction company sells proof as much as shredding: proof that every locked console, box and hard drive was picked up, kept secure and destroyed, with a certificate to show for it.

At a glance

If your custody scans, route records or certificates are lost, altered or leaked, you can't back up the promise your customers are paying for.

We manage the IT behind that promise for shredding and destruction providers in Texas and nationwide: route handhelds and truck tablets, scheduling and billing systems, plant camera and access networks, Microsoft 365, backups and security monitoring.

Our U.S.-based engineers work remotely and direct a vetted local technician when hardware needs hands.

IT that keeps custody provable, certificates real, routes on schedule.

Scan records, video and certificates protected, so every destruction you promise is one you can prove.

Secure destruction

A shred is only as good as its record

Your customers hand over records they're legally required to dispose of properly. They trust you with the consoles, the boxes and the drives, and they keep your certificate as evidence. That evidence lives in scanners, route software, camera systems and email. When any of those fail or get tampered with, so does your proof. Here's how that happens and how we prevent it.

01 · The pressure

Every stop scanned, every load accounted for

Drivers run routes to law offices, clinics, banks and businesses, scanning each console and container as it's emptied. Mobile trucks shred on site with cameras recording, while plant-based service brings sealed loads back to a secured facility. Each job closes with a certificate of destruction your customer files for their own compliance. If scans don't sync or the certificate system goes down, you can still shred, but you can't prove what you shredded.

  • Barcode scans at every pickup
  • Video of on-site and plant destruction
  • Certificates customers file as evidence

02 · How it breaks

Lost handhelds, open cameras and edited certificates

A route handheld gets left at a stop with the day's customer list and no screen lock. The plant's camera recorder runs on a default password and is reachable from the internet. Certificates are generated from a template in a shared folder anyone can edit, so one convincing fake or a quietly changed date is easy. And when ransomware encrypts your scheduling server, months of custody records become unreadable just before an unannounced audit.

  • Route devices without lock or wipe
  • Camera recorders exposed to the internet
  • Certificate templates anyone can edit

03 · What we change

Managed devices, locked records, protected plant

We enroll route handhelds and truck tablets in device management with PINs, encryption and remote wipe. Camera recorders and badge readers move to their own network segment with changed credentials and no direct internet exposure. Custody and certificate records get access controls, change logging and immutable backups. We add MFA across Microsoft 365, DMARC on your domain so certificates can't easily be spoofed and 24/7 automated monitoring on servers and devices.

  • Device management on every route device
  • Camera and access systems on their own segment
  • Change logging on custody and certificate data

04 · The after

Audits, customers and lost devices handled calmly

When an auditor shows up unannounced, your custody records, video retention and access logs are already in order. A healthcare customer asking about safeguards gets a clear answer that matches your business associate agreement. A lost handheld becomes a remote wipe and a short report, not a breach. Customers keep certificates they can trust came from you, and your team runs routes without IT surprises.

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Route Device & Scanner Management

Handheld scanners, phones and truck tablets carry customer lists, schedules and custody scans. We enroll them in device management, enforce locks and encryption, push app updates and keep an inventory. A lost device gets locked and wiped remotely, and replacement units arrive configured and ready for the route.

Chain-of-Custody Record Protection

Scan logs, manifests and route records prove what happened to each container. We protect the systems that hold them with named accounts, role-based access, change logging and immutable backups, so records can't be quietly edited and survive a server failure or ransomware attack fully intact.

Certificate of Destruction Integrity

Certificates should come from a controlled system, not an editable template. We help you generate them from your custody records, restrict who can issue or reissue one, deliver them from a properly authenticated domain and keep copies retained, so customers and auditors can trust what they receive.

Plant Camera & Access Control Networks

Secure facilities rely on cameras, badge readers and alarms. We put them on a separate network, change default credentials, block direct internet exposure, set storage for your required video retention and give managers secure remote viewing. Changes inside camera or access hardware stay with your security integrator.

Shredder & Truck Equipment Boundary

Industrial shredders, balers and truck-mounted systems are equipment, and we don't change their controls. We secure the PCs, tablets and connections around them, isolate any networked controllers and coordinate with the manufacturer when a camera feed, telematics unit or controller needs a network change on their side.

Office, Billing & Email Security

Scheduling, billing and customer communications run through your office. We manage Microsoft 365 with MFA, phishing filtering and DMARC, protect your accounting and route-planning accounts and set a verification step for any customer or vendor payment change, so your domain can't be used to fool customers.

Why Choose LayerLogix?

Audit Days Without Panic

Unannounced audits check whether your procedures match what you say you do. With custody records, access logs, video retention and device inventories maintained continuously, the technology part of the audit is a matter of pulling reports, not rebuilding history.

A Stronger Pitch to Regulated Customers

Clinics, banks and law firms ask detailed questions before choosing a destruction vendor. Documented controls, encrypted devices and protected records let your sales team answer with confidence and give you an edge over providers who can only offer a promise.

Lost Devices Stay Small Problems

Drivers work in parking lots, loading docks and busy offices, and devices get left behind. Encryption and remote wipe mean a lost handheld is an inconvenience you handle quickly, not an exposure of customer locations and schedules.

Records That Outlast a Bad Day

Immutable backups and tested restores mean a failed server or ransomware attack doesn't erase your proof of destruction. You can rebuild custody history and reissue certificates from known-good data and keep serving customers while systems recover.

Our Process

1
Inventory route devices, truck tablets, plant cameras, access readers, servers and cloud apps, plus who has access to each.
2
Trace a job from scheduling to scan to certificate, identifying where records can be lost, edited or exposed along the way.
3
Enroll every route device in management and move camera and access systems onto their own network segment.
4
Lock down custody and certificate systems with named accounts, change logging and immutable backups, then test a restore.
5
Add MFA, phishing filtering and DMARC in Microsoft 365, and connect servers and devices to 24/7 automated monitoring.
6
Review access, device inventory, video retention and backup results before each audit cycle and at least every quarter.

Frequently Asked Questions

How does the FACTA Disposal Rule affect our business?▼
The rule requires businesses that have consumer report information to dispose of it in a way that protects against unauthorized access, and hiring a destruction vendor is one of the ways they meet it. That puts your custody records and certificates at the center of your customers' compliance. We don't interpret the rule for you or your customers; that's for counsel. We make sure the records proving proper destruction are accurate, protected and available when anyone asks.
Do we need to follow HIPAA if we shred for medical offices?▼
If you handle protected health information for healthcare customers, you're likely a business associate and will sign business associate agreements, which bring HIPAA Security Rule obligations for any electronic PHI you hold. For most shredding companies, that means scan records, customer details and any digital media you destroy. Your counsel should confirm your status and agreements. We put HIPAA-aligned controls in place: access management, encryption, logging, risk analysis support and incident response.
How can we make our certificates of destruction harder to fake?▼
Generate them from your custody system rather than a document template, so every certificate ties to real scan records. Limit who can create or reissue one, log every change and send them from your domain with SPF, DKIM and DMARC in place so spoofed copies get flagged. Some companies also give customers a portal to download or confirm certificates. Together, those steps make a fake certificate easy to spot and a quietly altered one easy to catch.
Our plant cameras can be viewed from anywhere. Is that a risk?▼
It depends on how that remote viewing works. If the recorder is exposed directly to the internet with a default or shared password, it's a serious risk, since attackers scan for exactly those devices. We move cameras to a separate network, change credentials, update firmware where supported and give managers secure remote access through a VPN or the manufacturer's protected cloud service. You still see the floor from your phone, without advertising the recorder to the world.
Can you help us prepare for a NAID AAA audit?▼
We can support the technology side of it. i-SIGMA runs the certification program and its auditors look at things like access control, video surveillance, employee procedures and chain of custody. We keep camera retention, access logs, device inventories and custody records maintained and easy to pull, and we document how they're protected. Your operations team still owns procedures, training and screening, but the IT evidence won't be the weak spot in your audit.
What should we do with the hard drives customers send for destruction?▼
Treat them as the most sensitive items you handle. Track each by serial number from pickup through destruction, keep them in a secured, camera-covered area and record the destruction method on the certificate. Physical shredding is handled by your equipment and procedures, which stay yours. We help with the records side: capturing serials accurately, protecting those records and making sure your own retired office drives get the same treatment you give customers'.
