Does FERPA apply to our student housing company?▼
Usually not directly. FERPA covers schools that receive federal education funding and the education records they keep. A private operator leasing to students is generally outside it. That can change if you manage housing for a university under contract or receive student records from the school, in which case the agreement may pass FERPA obligations to you. We're not lawyers, so check your contracts with counsel. Either way, the data you hold, such as IDs, screening reports and guarantor financials, deserves careful handling under FCRA and the FTC Disposal Rule.
Our leasing agents are students. How much access should they have?▼
Enough to run tours, take applications and answer questions, and very little beyond that. Student agents shouldn't be able to edit ledgers, change refund payees or export resident lists. We create a dedicated role for them in the platform, require MFA on their own phones, set an end date that matches the semester and remove access automatically when they leave. It's also worth limiting what they can see about their own classmates who live in the building.
How do we keep guarantor information safe?▼
Keep it out of email. Many breaches in property management start with a mailbox full of attachments that nobody cleaned up. Use the guarantor portal built into Entrata, RealPage or Yardi, or a secured e-signature tool, so forms and supporting documents land directly in the resident record. Block screening reports from being saved to desktops, set a retention period and shred paper copies. We also lock down the email domain so a fake guarantor request is harder to send in your name.
Who is responsible for resident Wi-Fi?▼
That depends on your setup. Many communities use a bulk internet provider that owns the resident network and handles student support calls. Others own the access points and contract out the management. We don't replace a bulk provider's help line, but we make sure the resident network is truly separate from your office, access control and camera systems, review what the provider can reach and help you write expectations for capacity and support into the contract.
Scammers are listing our units on rental sites. What can we do?▼
Rental scams spike during leasing season because students and parents are searching fast and from far away. We set up email authentication so spoofed messages from your domain are more likely to be rejected, monitor for lookalike domains, secure your official listing and social accounts with MFA and give your team a takedown routine for each major site. On your website and leasing emails, a short note telling families you never take deposits by gift card or wire helps them spot fakes.
What should we check before move-in weekend?▼
Confirm internet capacity with your provider, test access points in lobbies and amenity spaces, update and test the leasing platform, fob encoders and welcome desk printers, and make sure enough staff accounts are active with the right roles. Decide in advance what happens if the office circuit fails, such as a cellular backup or a paper check-in sheet. We run that checklist with you a few weeks out and agree on how support will be reached that weekend if something breaks.
Do you provide Student Housing Operators IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers student housing operators IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Student Housing Operators IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
