Why Businesses Make the Switch

Google Workspace is the hip choice and Microsoft 365 is old faithful, and both are good products. Businesses usually move for practical reasons: an accounting or line-of-business application that expects desktop Excel and Outlook, customers and vendors who send macro-heavy workbooks, bank and insurer portals built around Microsoft sign-in, or a company already paying for Microsoft licenses on some desks and tired of running two platforms. The goal is one set of tools, not a verdict on Google.

Gmail Into Exchange Online

Microsoft's own Google Workspace migration, run from the Exchange admin center, copies Gmail into Exchange Online mailboxes in batches. It needs setup on the Google side (a project and service account with delegated access) and a routing address on each side so mail can flow while users move. We run a pilot batch first, then the rest, with incremental passes so the final sync before cutover is small.

Labels Become Folders

Gmail uses labels; Outlook uses folders. During migration each label becomes a folder, and a message carrying three labels can show up in three folders. Nothing is wrong, but it surprises people, so we tell staff before it happens. Gmail filters, signatures and mailbox delegation are not something we count on carrying across. We document them per user and rebuild them as Outlook rules, signatures and delegate permissions.

Calendars, Contacts and Rooms

Calendars and contacts move with the mailbox migration, including recurring meetings. What needs extra attention: meeting rooms and equipment booked through Google resource calendars, which are rebuilt as room mailboxes; shared team calendars; and Google Groups, which become distribution lists or Microsoft 365 Groups depending on how they are used. We test recurring series with outside attendees in the pilot, because those are the ones that misbehave.

Drive to OneDrive, Shared Drives to SharePoint

Each person's My Drive goes to their OneDrive. Shared drives go to SharePoint document libraries, ideally with the structure tidied first rather than copied mess for mess. Microsoft's Migration Manager handles the transfer and converts Docs, Sheets and Slides to Word, Excel and PowerPoint. Permissions are mapped from Google accounts to Microsoft accounts, and we check the files most likely to need hands: complex spreadsheets, comment threads and anything shared with outside parties.

Sites, Forms and Apps Script: Rebuilt, Not Converted

Google Sites, Google Forms and Apps Script automations have no one-click path into Microsoft 365. We inventory every one during the assessment, ask who still uses it, and retire what is dead. The rest is rebuilt: Sites as SharePoint pages, Forms as Microsoft Forms, scripts as Power Automate flows or something simpler. This list is often where a Google move turns out bigger or smaller than expected, so it gets counted before anyone quotes.

Everything That Signs In With Google

Over time staff click "Sign in with Google" on dozens of SaaS tools: the CRM, the e-signature app, the project board, the payroll portal. When the Google accounts go away, those logins go with them. We pull the list of connected apps from the Google admin console, re-point each one to Microsoft Entra ID single sign-on or a managed login, and make sure ownership of each account sits with the business rather than a departing employee.

Google Stays Licensed Until It Is Verified

Google Workspace keeps running, licensed, until every mailbox and library has been checked in Microsoft 365. Cancelling early is the one mistake that can put data out of reach. Will I lose my emails if I cancel Google Workspace?▼
Cancelling Google Workspace ends access to the mail, files and Vault data held in it, and Google removes that data after cancellation. That is why cancellation is the last step of our plan. Google stays licensed and running until every mailbox and library has been reconciled in Microsoft 365, anything under a retention requirement or legal hold has been exported, and inbound mail is confirmed to be arriving at Microsoft. You get a written all-clear before you cancel.
How can I migrate my files from Google Drive to Microsoft 365?▼
Microsoft's Migration Manager in the SharePoint admin center moves Google Drive content into OneDrive and SharePoint, converting Google Docs, Sheets and Slides into Word, Excel and PowerPoint along the way. Personal My Drive content usually goes to each user's OneDrive; shared drives go to SharePoint libraries. Before copying, we map Google accounts to Microsoft accounts so permissions follow, clean up the shared-drive structure, and flag files that need a human check afterward, such as large spreadsheets with scripts, comment threads and links you have shared with clients.
Do calendars and contacts come across?▼
Yes, they move with the mailbox migration, including recurring meetings. Room and equipment calendars are rebuilt as resource mailboxes, shared calendars are re-shared, and Google Groups are recreated as distribution lists or Microsoft 365 Groups. We test recurring meetings with outside attendees in the pilot batch, because those are the items most likely to need attention.
What happens to Google Sites, Forms and Apps Script?▼
They are rebuilt, not converted. There is no tool that turns a Google Site into a SharePoint site or an Apps Script into a Power Automate flow. We list every Site, Form and script in the assessment, find the owner, and decide together whether each one is rebuilt in Microsoft 365, replaced by something simpler, or retired. Old forms nobody has opened in a long time are common, and retiring them shrinks the project.
How long does a Google Workspace to Microsoft 365 migration take?▼
It depends on the number of users, how much mail and Drive data they hold, how many shared drives and permissions need mapping, how many Sites, Forms and scripts have to be rebuilt, and whether you want one cutover weekend or a staged move by department. Mail and files copy in the background ahead of time, so staff only feel the cutover window and the training. You get a dated plan after the assessment rather than a number guessed before it.
Can the cutover happen outside business hours?▼
Yes, and that is the default. The final sync, the MX switch and the first round of checks are scheduled outside business hours, usually over a weekend, so staff close Gmail on Friday and open Outlook on Monday. Google stays running in the background in case a straggling message lands there.
