First, Which Rackspace Do You Have?

"Rackspace email" covers two different products, and the migration path depends on which one you pay for. Rackspace Email is Rackspace's own mail platform, reached over IMAP or POP and through Rackspace webmail. Separately, Rackspace resells and manages Microsoft 365, and it has moved its older Hosted Exchange customers toward Microsoft 365. The first needs a real mailbox migration. The second is mostly a question of who controls the tenant and the licenses. We settle which one you have before anything else gets planned.

How to Tell Them Apart

Three checks usually answer it. Look at your MX record: Microsoft 365 mail is delivered to a Microsoft host, typically one ending in protection.outlook.com, while Rackspace Email points at Rackspace's own mail servers. Look at where staff sign in for webmail: a Rackspace webmail page means Rackspace Email, a Microsoft sign-in followed by Outlook on the web means Microsoft 365. Then look at the control panel your office manager uses to add a user. We confirm it during the assessment either way.

Rackspace Email: Mail Is Copied Over IMAP

For Rackspace Email, messages and folders are copied into Exchange Online using the IMAP migration built into the Exchange admin center, or a third-party migration tool when the mailbox count or folder structure calls for one. The first pass runs in the background while staff keep working in Rackspace. Incremental passes pick up new mail after that, so the final pass on cutover night is small. Folders and sent items come across. Server-side rules, webmail signatures and safe-sender lists don't, so we record them and rebuild them.

Contacts and Calendars Travel Separately

IMAP carries email and nothing else. Contacts, calendars and tasks kept in Rackspace webmail don't ride along with the mailbox copy, so they are exported for each user and imported into Outlook on the Microsoft 365 side. Shared calendars and recurring meetings get checked afterwards with the people who own them. Anyone who kept contacts only on a phone or in a desktop Outlook data file needs a different route, and we find them during the inventory.

POP Users, Local Files and Archives

Some Rackspace Email users connect with POP, which downloads mail to one computer and often removes it from the server. Their history may exist only in a local data file, which a server-side copy can't see. We identify those machines and import their files directly. If your account includes mail archiving, or people have parked years of mail in archive folders, that content is planned as its own step so it lands somewhere searchable.

Aliases, Forwarders and Shared Logins

Rackspace Email accounts collect aliases over the years, along with forwarders to outside addresses and generic logins like info@ or billing@ that several people share a password for. Each one is mapped before cutover. Aliases become extra addresses on a Microsoft 365 mailbox or a distribution group. Forwarders become groups or mail contacts, if they are still wanted at all. Shared logins become shared mailboxes with named permissions, so nobody passes a password around the office again.

Microsoft 365 Through Rackspace: Control and Licenses

If your mail already runs in Microsoft 365 but Rackspace bills and administers it, there may be little or no mail to copy. The work is getting full admin control of the tenant, deciding where licenses will be bought from now on, and removing delegated admin access you no longer want. Order is what matters here: replacement licenses are bought and assigned before the Rackspace subscription is cancelled. Cutover, Devices and DNS

The cutover itself is a DNS change. The MX record moves from Rackspace to Microsoft 365 after its time-to-live has been lowered days ahead, and autodiscover, SPF, DKIM and DMARC are set up for the new platform. Every phone and desktop gets a fresh mail profile rather than an edited copy of the old Rackspace account. Staff get plain-English steps beforehand, the change is scheduled outside business hours, and Rackspace stays reachable until the final pass has been checked.

How can I migrate my Rackspace email to Microsoft 365?▼
Start by confirming which product you have. For Rackspace Email the path is: set up the Microsoft 365 tenant and licenses, verify your domain, copy mail over IMAP in the background with incremental passes, export and import contacts and calendars separately, rebuild aliases, forwarders and shared mailboxes, move the MX record in a scheduled window, and cancel Rackspace after every mailbox has been checked. If your mail is already Microsoft 365 through Rackspace, there is usually little or nothing to copy; the job is taking admin control and replacing licenses before the Rackspace subscription ends.
How do I find out which Rackspace email product we have?▼
Check where your MX record points, which sign-in page staff use for webmail, and which control panel is used to add a new user. A Microsoft sign-in and an MX record pointing at Microsoft mean Microsoft 365. Rackspace webmail and an MX record pointing at Rackspace mean Rackspace Email. If you were on Rackspace Hosted Exchange and have since been moved to Microsoft 365, you are in the second group. If nobody can get into the admin portal, tell us early, because recovering admin access can be the slowest part of the job.
How long does an IMAP migration take?▼
It depends on total mailbox size, the number of mailboxes, how many folders people keep, and how quickly the source server responds. The first copy runs in the background while staff carry on using Rackspace, so its length matters less than most people expect. After the inventory you get a dated plan with the cutover window on it, rather than a guess made before anyone has looked at the mailboxes.
Will our contacts and calendars come across?▼
Not through IMAP, which only carries email. We export contacts and calendars from Rackspace for each user and import them into Outlook in Microsoft 365, then check shared calendars and recurring meetings with the people who own them. Anything kept only on a phone or in a local Outlook data file is handled from that device.
What happens to our aliases, forwarders and shared logins?▼
They are listed from the Rackspace control panel before the move and rebuilt in Microsoft 365. Aliases become additional addresses on a mailbox or a distribution group. Forwarders to outside addresses become groups or mail contacts, and we ask whether each one is still needed, since an old forwarder can quietly send company mail to someone who left years ago. Generic logins that several people share become shared mailboxes with named access.
Can the cutover happen outside business hours?▼
Yes, and that is how we plan it. The MX change and the final incremental pass are scheduled outside business hours, usually over a weekend, which leaves time to test mail flow before Monday. Staff receive written instructions for setting up phones and Outlook ahead of time, and our help desk covers the first morning during business hours, with after-hours emergency support for anything that cannot wait.
What does a Rackspace to Microsoft 365 migration cost?▼
The main drivers are which product you are leaving (an IMAP copy is more work than a license and admin handover), the number of mailboxes and the total data, how many users have contacts, calendars or POP data files to move by hand, the aliases and shared logins to rebuild, the devices to set up again, and anything else that sends mail through Rackspace. When should we cancel Rackspace?▼
Last. Rackspace stays active until the MX record has moved, the final incremental pass has run, item counts reconcile per mailbox, contacts and calendars are confirmed, and any archive export is finished. For Microsoft 365 through Rackspace, replacement licenses are assigned before the subscription is cancelled, because cancelling first can disable the accounts you are trying to keep. It is also worth checking your Rackspace agreement for term and notice requirements so the cancellation date lines up with the plan.
Do our email addresses change?▼
No. Your domain stays the same; only the place its mail is delivered changes, so customers, vendors and banks do not need to be told anything. The one thing to confirm early is who can edit your DNS. The MX change has to be made wherever your DNS is hosted, and if that login belongs to a former employee or an old web designer, we want to know early rather than on cutover night.
