Member charges posted, statements right, and the board’s inbox locked tight

Country & Golf Clubs IT Services

A private club runs on trust from its members, and nothing burns it faster than a statement full of wrong charges or an email from the general manager’s account asking the controller to wire money for a course project.

At a glance

Your club management system ties together member accounts, outlet charges from the grill and pro shop, dues drafts, the tee sheet, events and monthly statements, while the board and committees trade sensitive decisions over email.

We run IT and security for country clubs, golf clubs, yacht and city clubs in Texas and nationwide.

We keep outlet charges flowing to member accounts, protect billing data and dues drafts, secure board and executive email, and extend reliable coverage from the clubhouse to the course.

IT that keeps member charges posting, statements accurate, the board’s mail safe.

Club software, member billing, tee sheets and board communications protected for clubs whose members expect discretion.

Clubhouse to the back nine

Members pay on account and expect discretion

A club’s members sign for lunch, buy a sleeve of balls on their number, book tee times on the app and receive one statement each month. They also elect a board that makes real financial decisions, often by email. That combination makes clubs a particular kind of target. Here’s how they get hit, and what we do.

01 · The pressure

One member number, every outlet

Members charge to their account at the grill, the bar, the pro shop, the pool snack bar and events, and each outlet posts into the club management system. Dues and statements draft from stored bank accounts and cards. The tee sheet and member app drive the golf day, and the directory lists names, phone numbers and family members. If posting breaks or the server fails at month end, statements go out wrong, and the controller spends the week answering member calls.

  • Every outlet posts to the member account
  • Monthly drafts against stored bank details
  • Member directory lists families and contacts

02 · How it breaks

Executive impersonation and a shared bar login

Clubs are a favorite target for impersonation. An attacker spoofs the GM or club president and asks the controller to pay an urgent invoice from the course renovation contractor, or a vendor’s compromised email sends new banking details. Board members use personal email for club business, with no MFA. The bar and grill POS share one login. Former seasonal staff still have accounts. And a single switch in the cart barn links the pro shop, cameras and course Wi-Fi.

  • Spoofed GM email requests an urgent wire
  • Board business on personal email accounts
  • Bar POS shared across every server

03 · What we change

Verify payments, protect the board

We put MFA on every club email account, give board and committee members club-issued accounts for club business, and add impersonation filtering that flags messages pretending to be executives or vendors. Accounting gets a written call-back rule for any banking change or unusual payment request. Outlet staff get named POS logins. We monitor the posting interfaces into the club system and back up its database. The network gets zones for outlets, office, cameras, members and course.

  • Club email accounts for board members
  • Phone check before any bank detail change
  • Monitored posting from every outlet

04 · The after

Month end closes without member complaints

Statements go out right because outlet postings get checked, not assumed. A spoofed request from the president gets a phone call and dies there. Board discussions sit in accounts the club controls, which also makes handoffs easier when officers rotate. Member data stays inside systems with MFA and logged access. The pro shop and grill keep running when a cart barn switch fails, and the auditors find clean access records at year end.

  • Statements accurate before they go out
  • Board records stay with the club, not people
  • Clean access records for year-end auditors

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Club Management System Support

Your club management system holds member accounts, billing, dues, outlet postings, the tee sheet, events and the general ledger. We manage the server or cloud connection, back up the database with versioned offsite copies, monitor outlet posting interfaces, and work with the software vendor on upgrades and issues inside their application, timed around month end.

Executive and Vendor Impersonation Defense

Spoofed requests from the GM, president or treasurer, and compromised vendor emails, are how clubs lose money. We enable impersonation protection for named executives, lookalike domain alerts, MFA on all club mailboxes and forwarding-rule monitoring. Then we help you adopt a call-back procedure for payments that the controller can point to when pressured.

Board and Committee Communications

Board members and committee chairs discuss finances, memberships, disciplinary matters and capital projects. We set up club-owned accounts and shared spaces for those conversations, with MFA and access that transfers cleanly when officers rotate off. Records stay with the club instead of in a departing treasurer’s personal inbox.

Member Billing and Draft Data Protection

Dues and statement drafts depend on stored bank accounts and cards. We restrict who can view or change payment details, alert on changes, keep account numbers out of spreadsheets and paper forms, and support your ACH process under the Nacha Operating Rules and card handling under PCI DSS 4.0.

Clubhouse to Course Network

Coverage needs reach the clubhouse, pro shop, pool, cart barn, maintenance shop, halfway house and sometimes the course itself. We design and manage a segmented network across those buildings, with point-to-point links where cabling doesn’t reach, separate zones for outlets, office, cameras, members and staff, and documented closets that survive storms.

Member Portal and App Security

Members book tee times, courts and dining, view statements and browse the directory through the club portal and app. We work with your vendor to enforce strong authentication options, limit staff admin roles, review directory visibility settings with your membership committee, and remove admin access when staff leave.

Statements Members Don’t Question

Monitored outlet postings and a backed-up club database mean month-end statements reflect what members actually signed for. The controller spends less time on corrections, and the membership office fields fewer awkward calls about mystery charges.

Club Funds Stay With the Club

Impersonation filtering and a firm call-back rule stop the spoofed-executive wire before it leaves. Your accounting team gets backing to slow down any urgent payment request, even one that appears to come from the club president.

Smooth Officer Transitions

Club-owned board accounts and shared spaces mean a new treasurer inherits the files and history on day one. Nothing gets lost when officers rotate off, and former officers stop receiving sensitive club email without anyone remembering to ask.

Discretion Members Expect

Directories, statements and member notes stay inside systems with MFA, limited roles and logged access. Members trust the club with their families’ details and spending habits, and protecting that trust is part of running a private club well.

Our Process

1
Meet with the GM and controller to map the club system, outlet postings, dues drafts, member portal, board communications and vendor payment process.
2
Enable MFA and executive impersonation protection on club email, then write and adopt a call-back procedure for payment and banking changes.
3
Move board and committee business to club-owned accounts and shared spaces, with access that transfers when officers rotate.
4
Set named POS logins at outlets, monitor posting interfaces into the club system, and set up versioned backups of its database.
5
Segment the clubhouse, outlets, cameras, members, staff and course networks, and document closets and outdoor links.
6
Review before each season and before year-end audit: staff accounts, board access, interface health, draft data controls and backup tests.

Frequently Asked Questions

Why are clubs targeted by email scams so often?▼
Clubs have a public org chart, with GM, president, treasurer and committee chairs often listed on the website, plus regular large payments to contractors and suppliers, and volunteer leaders who use personal email. That makes impersonation easy to set up. An attacker spoofs the president or GM and asks the controller to pay an urgent invoice. We defend with executive impersonation filters, MFA on all club mail and, most importantly, a call-back rule for any payment change, using a number already on file.
Should board members use club email accounts?▼
We recommend it. When board business runs through personal email, the club has no control over security, no MFA, and no records when the officer leaves. Club-owned accounts or a shared board space let you enforce MFA, keep minutes and financial discussions together, and hand everything to the next officer intact. It also makes it easier to answer member or legal requests about past decisions. Your counsel can advise on records retention; we make the system support it.
Can you support our club management software?▼
Yes, around the application. We manage the server or cloud connection, the workstations in accounting and the membership office, outlet terminals and their network, user accounts, and database backups. The vendor owns the software itself and its updates. When an issue spans both, like charges failing to post from the grill, we work it with the vendor’s support team and bring logs. We also plan upgrades around month-end close and your busiest event weekends.
Can you get Wi-Fi to the course and outbuildings?▼
Usually. Cart barns, maintenance shops, halfway houses, pools and tennis pavilions often sit far from the clubhouse, so we use outdoor-rated access points and point-to-point wireless links where trenching cable isn’t practical. Coverage on the course itself depends on terrain and what you need it for, like GPS cart systems, mobile POS on beverage carts or member Wi-Fi at the turn. GPS cart systems belong to their vendor; we provide the network path they rely on.
How do you protect member payment details?▼
Stored bank accounts and cards for dues and statement drafts should live only inside the club management or payment system, with a small number of staff able to view or change them. We set those roles, enable change alerts, remove account numbers from spreadsheets and old paper forms, and make sure the systems involved are covered by MFA. ACH drafts follow the Nacha Operating Rules and card payments fall under PCI DSS. We document the setup so your auditor or processor can review it.
Do you support seasonal and event staff?▼
Yes. Summer pool staff, banquet servers, caddies and outside services crews need limited access to POS, scheduling and sometimes the tee sheet. We create role packages with end dates, issue named logins, and close accounts when the season or event ends. Returning staff can be reactivated quickly. That keeps former seasonal employees from retaining access into the off-season and gives you a clear record of who was on duty when a charge or void happened.
Do you provide Country & Golf Clubs IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers country & golf clubs IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Country & Golf Clubs IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
