Protect scan data, technician records and the reports clients rely on

Inspection & NDT Testing Firms IT Services

An inspection report is only worth something if the raw scan data behind it is intact, traceable to a qualified technician and calibrated equipment, and available when an owner, insurer or regulator asks years later.

At a glance

NDT and inspection firms collect that data on phased array units, digital radiography panels and eddy current instruments in refineries, plants, pipelines and fabrication shops, then move it through field laptops, analysis software and report systems that rarely get the attention they deserve.

We run IT and cybersecurity for NDT service companies, third-party inspection firms and in-house inspection groups.

We secure the laptops, storage, networks and client portals around your instruments and coordinate with the OEM for anything inside the equipment. We support inspection teams in Texas and nationwide.

IT that keeps scan data intact, techs qualified, reports defensible.

IT and security for inspection firms whose reports are only as trustworthy as the scan files and records behind them.

Inside an inspection firm

Your report is a promise someone will check later

A crew mobilizes to a turnaround with UT, phased array, radiography and eddy current gear. Technicians collect scans, analysts interpret them, Level IIIs review, and the report goes to the client’s mechanical integrity team. Years later, the same data may be pulled for a fitness-for-service review, a failure investigation or an audit.

01 · The pressure

Turnaround schedules and data that must outlast the job

Turnarounds and outages run on tight windows, so your crews and analysts work long shifts and reports are due fast. Clients expect scan files, calibration records and technician qualifications tied to every result. Owners reference your inspection history for remaining life and repair decisions. If a field laptop dies with a day of phased array data, you may not get back into that unit. If records can’t be produced, a client starts doubting every report you’ve delivered.

  • Turnaround windows won’t reopen for a rescan
  • Results must trace to qualified technicians
  • Clients rely on your history for years

02 · How it breaks

Shared field laptops, thumb drives and expiring certs

One field laptop gets passed between technicians with a shared login, so nobody can prove who acquired a scan. Data moves from instrument to laptop to office on USB drives that pick up malware at a client site. Raw files live on a technician’s desktop and never reach the server. Certification and eye exam records sit in a spreadsheet that misses an expiration. A phishing email posing as a client’s procurement portal steals an estimator’s password.

  • Shared logins on field acquisition laptops
  • USB transfers picking up malware on site
  • Spreadsheet cert tracking missing expirations

03 · What we change

Named field laptops, controlled transfers, central archive

Each technician gets a named login on a managed field laptop with encryption and endpoint protection, configured with the analysis software your instruments require. Data moves to a central archive through a controlled sync or scanned transfer station instead of loose thumb drives. Raw files are write-protected once uploaded, with hashes and version history. Technician qualification records move into a tracked system with expiration alerts. Instrument firmware changes stay with the OEM.

  • Named logins on encrypted field laptops
  • Controlled transfer from instrument to archive
  • Write-protected raw files with version history

04 · The after

Any result traces back to its scan and its technician

When a client’s mechanical integrity engineer asks for the raw data behind a thickness reading from a turnaround years back, you find it quickly, along with who collected it and their qualifications at the time. Your accreditation assessor sees controlled records instead of scattered folders. Field crews stop hauling thumb drives around plants. And when a refinery’s contractor safety and cybersecurity questionnaire arrives, you have answers ready.

  • Raw data found quickly for past turnarounds
  • Qualification history tied to each result
  • Contractor security questionnaires answered

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Field Acquisition Laptop Management

Phased array, TOFD and digital radiography generate large files on laptops that live in trucks and plant trailers. We manage those laptops centrally with encryption, endpoint protection, named technician logins and the right graphics and storage for analysis software, and we keep imaged spares ready so a dead laptop doesn’t stall a crew mid-turnaround.

Raw Scan Data Archive and Integrity

Raw scan files are the evidence behind every report. We build a central archive organized by client, unit and inspection date, write-protect files once they’re uploaded, record hashes and version history, back everything up to immutable storage and set retention to match your clients’ contracts and your quality program.

Controlled Data Transfer From the Field

Loose thumb drives move malware in and data out. We set up controlled transfer: approved, encrypted drives scanned at a kiosk, or managed sync from field laptops to the archive when a connection is available, so data reaches the office complete and client networks aren’t exposed to your devices or the other way around.

Technician Qualification Records

Certifications, training hours, vision exams and employer certifications need to be current and provable. We help you move those records into a managed system with expiration alerts and access controls, link them to technician accounts and keep a history that shows qualifications at the time of each inspection.

Instrument Boundary Protection

Instruments and their embedded software belong to the manufacturer. We secure the IT side: the laptops and networks they connect to, the analysis software installations and the boundary between your instruments and client plant networks. Firmware updates and any change inside the equipment are coordinated with the OEM, never done on our own.

Client Report Portal and Delivery

Owners and engineering firms want reports, drawings and data packages delivered securely. We set up client portals or secure file delivery with named client accounts, MFA, access logs and expiring links, so reports reach the right mechanical integrity team and nobody receives another client’s inspection history.

Reports That Hold Up

Write-protected raw data, version history and qualification records tied to each result give clients, insurers and investigators confidence that your reports reflect what was actually measured, by whom and with what credentials at the time.

Less Lost Field Work

Managed laptops, controlled sync and ready spares mean a failed device or a dropped drive doesn’t cost a day of scans you can’t recollect once the unit closes. Crews keep inspecting instead of waiting on IT during a turnaround.

Smoother Accreditation and Client Audits

Assessors and client quality teams want to see controlled records and traceable data. A central archive, qualification system and documented IT controls make those reviews faster and give your quality manager fewer surprises to explain.

Easier Access to Plant Sites

Refineries, chemical plants and utilities vet contractors’ cybersecurity before allowing devices on site. Encrypted, managed laptops and documented controls help you clear those requirements and keep your crews on approved contractor lists. Fewer devices get turned away at the gate on mobilization day.

Our Process

1
Map how inspection data moves from each instrument type through field laptops, analysis, review and report delivery, including where raw files end up.
2
Inventory field laptops, analysis software licenses, storage locations and the records you keep for technician qualifications and calibrations.
3
Enroll field laptops in management with encryption, named logins and endpoint protection, and image spares for each software configuration.
4
Build the central raw data archive with write protection, hashes, immutable backups and retention aligned to client contracts.
5
Replace loose USB transfers with controlled sync or kiosk scanning, and move qualification records into a tracked system.
6
Set up client report delivery, document controls for audits and questionnaires, and review access before each turnaround season.

Frequently Asked Questions

Do you work on our NDT instruments or their firmware?▼
No. Phased array units, radiography systems, eddy current instruments and their embedded software belong to the manufacturer and your Level III. We handle the IT side: the laptops and analysis software they connect to, the networks, the data archive and the boundary between your equipment and client plant networks. When an instrument needs a firmware update or a configuration change, we coordinate with the OEM and your technical staff instead of making changes ourselves.
How long should we keep raw scan data and inspection records?▼
That depends on client contracts, applicable inspection codes, your quality manual and any accreditation requirements, and owners often want inspection history for the life of the equipment. Your quality manager and clients set the retention period. We build storage that enforces it: organized by client and asset, write-protected after upload, backed up to immutable storage and searchable, so a request for data from several turnarounds ago is straightforward. Deleting or overwriting archived scans requires a second approver, which protects against both accidents and ransomware.
Clients don’t allow our laptops on their networks. How should field data get back to the office?▼
Most plants keep contractor devices off their networks, which is sensible. We set field laptops up to work fully offline, then sync to your archive over a cellular hotspot or once back at the trailer or office. Where USB transfer is unavoidable, we use approved encrypted drives scanned at a kiosk before and after use. That keeps your data complete and avoids carrying malware into or out of a client site.
Can you help us manage technician certifications and vision exams?▼
We don’t administer your written practice or certify anyone; that belongs to your Level III and quality program. What we do is give you a reliable system for the records: a managed database or platform with expiration alerts, restricted access, document storage for exam results and training hours, and a history showing each technician’s status on any past date. That makes audits and client qualification requests much easier to answer.
Our digital radiography files are huge. Where should they live?▼
Not on individual laptops or a single office server with no backup. We size central storage for your radiography and phased array volume, often combining fast local storage for active projects with cloud or archive tiers for completed work. Files stay in their native or DICONDE formats, organized by client and asset, with immutable backups. Analysts get workstations with the graphics and displays that interpretation software needs. Remote analysts and Level IIIs reviewing from home get secure access to the archive without copying full datasets to their own machines.
A refinery sent us a contractor cybersecurity questionnaire. Can you help?▼
Yes. Plant owners increasingly ask contractors about device encryption, endpoint protection, patching, removable media controls, MFA, backups and incident response before allowing equipment on site. We help put those controls in place, gather the evidence and draft accurate answers your management approves. Where you have a gap, we give you a realistic plan rather than an answer that won’t survive a site audit or a security review. Keeping that evidence current also speeds up the next owner’s questionnaire.
