Protect title runs, lease files and mineral owner payments from field to office

Landmen & Land Services Firms IT Services

Land services firms build the ownership picture an operator drills on, and that work lives in runsheets, abstracts, lease files, curative notes and division order decks that took months of courthouse time to assemble, so losing them or having them altered can stall a drilling program or misdirect owner payments.

At a glance

Your field landmen work from county records rooms and motel Wi-Fi, your office handles mineral owners’ Social Security numbers and bank details, and operators expect clean deliverables on tight schedules.

We run IT and cybersecurity for independent landmen, land brokerages, title research crews and in-house land departments supporting exploration, pipeline and renewable projects. We support land teams in Texas and nationwide.

IT that keeps title runs intact, leases on record, owners paid right.

Support and security for land professionals whose runsheets, lease files and owner records drive every well and right-of-way.

Inside a land services firm

The ownership picture took months. Don’t lose it

A project manager assigns a prospect, field landmen run title in the county records and online indexes, abstractors build runsheets, and lease agents negotiate with mineral owners. Back at the office, the team tracks curative, prepares ownership reports and builds division orders. Every step depends on files that are slow to recreate and easy to share carelessly.

01 · The pressure

Operators need clean title before the rig shows up

Drilling schedules and lease expirations drive your deadlines, and operators pay for accuracy and speed. Field crews spend days in courthouses and on rural roads, uploading images and notes when they find signal. The office manages lease bonus payments, owner contact lists and division order data with Social Security numbers and bank accounts. Lose a project folder and you redo courthouse work. Leak owner data and you’re explaining it to an operator and a mineral owner who never wanted to be found.

  • Lease expirations set hard deadlines
  • Lost runsheets mean repeating courthouse days
  • Owner records hold SSNs and bank accounts

02 · How it breaks

Motel Wi-Fi, shared drives and fake owner bank changes

A field landman’s unencrypted laptop disappears from a truck along with a prospect’s runsheets and owner contacts. Contract landmen keep project files in personal Dropbox accounts that never get cleaned up. Someone emails the office posing as a mineral owner with new bank details for a bonus payment. A fake operator invoice portal phishes your accounting login. One shared file server holds every client’s projects, and ransomware encrypts all of them at once.

  • Unencrypted laptops left in field trucks
  • Contractor files scattered in personal clouds
  • Owners impersonated to redirect bonus payments

03 · What we change

Field kits, client-separated files and owner callbacks

Field landmen get encrypted, managed laptops with cellular hotspots and VPN, set to sync courthouse images and notes to company storage. Project files move to cloud storage separated by client and prospect, with contractor access that expires when the job ends. Owner bank and address changes require a callback to a verified number and a second approver. Your land management system gets named logins and MFA, and backups protect against ransomware.

  • Encrypted field laptops with hotspot and sync
  • Project folders separated by client and prospect
  • Callbacks before any owner payment change

04 · The after

Deliverables on time, owners paid, operators confident

Field work reaches the office the same day, so curative and ownership reports move faster. A lost laptop is a hardware problem, not a data incident. Contract landmen lose access when their assignment wraps. Bonus payments and division order changes go to the right owners. When an operator’s vendor management team sends a security questionnaire before awarding the next project, you answer it honestly and with documentation behind you.

  • Field images reach the office the same day
  • Lost laptops become a hardware swap
  • Operator questionnaires answered with evidence

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Field Landman Laptop Kits

Field crews work from courthouses, county clerk offices and rural motels. We provide encrypted, centrally managed laptops with cellular hotspots, VPN, endpoint protection and automatic sync of title images and notes to company storage, plus remote lock and wipe if one is lost on the road. Contract landmen can get the same kit for the length of an assignment.

Project File Organization and Access

Runsheets, abstracts, lease images and curative notes need to be findable and separated by client. We set up cloud storage organized by operator and prospect, with permissions tied to project assignments, version history, retention rules and contractor access that ends automatically when the project closes.

Mineral Owner Data Protection

Owner contact lists, W-9s, Social Security numbers and bank details for lease bonuses and division orders are sensitive. We restrict them to the staff who process payments, encrypt them at rest, keep them out of general project folders and email, and turn on alerts when large owner lists are exported.

Owner Payment Change Verification

Criminals impersonate mineral owners and heirs to redirect bonus and royalty-related payments. We help you set a written procedure: callbacks to numbers already on file, a second approver for bank or address changes, and a log of every verification your operator clients can review. Your office staff get a script so saying no to an urgent caller feels routine.

Land Management and GIS Support

Your land management software, mapping and GIS tools tie tracts, leases and obligations together. We keep those workstations and servers patched and backed up, manage named user access with MFA, support integrations with operator systems and coordinate with vendors when an upgrade or license issue threatens a deliverable.

Ransomware-Resistant Backups

A single encrypted file server can wipe out months of title work across every client. We back up project storage, email and land management databases to separate, immutable locations, test restores regularly and keep a recovery plan that gets your crews working again quickly after an incident.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Faster Turnaround on Title Work

Field images and notes sync to the office the same day, so abstractors and curative staff keep moving while the landman is still in the courthouse. Operators get ownership reports sooner, and nobody waits on a thumb drive to come back from the field.

Protected Owner Relationships

Mineral owners trust you with personal and financial details. Restricted owner data and verified payment changes keep that trust intact and prevent the kind of misdirected payment that sours a relationship an operator spent years building.

Clean Contractor Offboarding

Contract landmen come and go with projects. Managed kits and expiring access mean that when an assignment ends, the files and permissions come back with it, and you aren’t left wondering what’s sitting in someone’s personal cloud account.

Stronger Position With Operators

Operators increasingly vet vendors’ security before awarding land work. Encrypted devices, client-separated files, tested backups and a written payment procedure give you real answers and help your firm win and keep land projects with larger companies.

Our Process

1
Map how title, lease and owner data moves from courthouses and owner meetings through the office to operator deliverables and payments.
2
Inventory every laptop, storage location, land management account and contractor with access to project or owner data.
3
Issue encrypted field laptop kits with hotspots, VPN and automatic sync, and move project files into client-separated cloud storage.
4
Restrict mineral owner data, turn on export alerts and write the owner payment change verification procedure.
5
Add MFA and named access to land management, accounting and GIS systems, then set up immutable backups and test a restore.
6
Train staff and contractors on owner impersonation and phishing, and review access at the close of every project.

Frequently Asked Questions

Our field landmen work from courthouse Wi-Fi and motels. Is that safe?▼
Public and hotel Wi-Fi isn’t trustworthy, but it can be made safe enough. We give field landmen managed laptops with full-disk encryption, endpoint protection and a VPN that connects automatically on untrusted networks, plus a cellular hotspot so they don’t need public Wi-Fi at all most of the time. Title images and notes sync to company storage whenever a connection is available. If a laptop is lost or stolen, we lock and wipe it remotely, and the work is already safe in the office.
How should we handle contract landmen who use their own computers?▼
Ideally, give them a company-managed laptop for the assignment. If that’s not practical, provide access only through cloud storage or a virtual desktop with restrictions on downloading, and require MFA. Project folders should be shared from your storage, not copied into their personal Dropbox or Google Drive. When the project ends, we remove their access the same day and collect any company devices. That way your client’s ownership data doesn’t outlive the contract.
Someone claiming to be a mineral owner emailed new bank details. What should we do?▼
Don’t change anything based on the email. Call the owner at a number you already had on file, not one from the message, and confirm the change directly. Require a second person to approve bank or address updates, and log the verification. Heirs and estates make this harder, so involve the responsible landman or your counsel when ownership itself is in question. If a payment already went out, contact your bank quickly. We help you set the written procedure and protect the mailboxes involved.
Can you support our land management software and GIS tools?▼
Yes. We don’t replace your software vendors’ application support, but we handle everything around it: servers or cloud hosting, workstation performance, user accounts and MFA, backups, licensing problems, integrations with operator systems and network connections. When something needs the vendor, we open the ticket and work it with them. GIS and mapping workstations get the graphics, memory and storage they need, and large shapefiles and imagery get backed up with the rest of the project.
We handle division orders and owner tax forms. What data protection rules apply?▼
Owner records often include Social Security numbers, tax IDs and bank details, which are covered by state data breach notification laws if they’re exposed. Your operator clients may also have contract terms about how you protect their owners’ information. Your counsel advises on specific obligations. We focus on keeping that data restricted to the people who need it, encrypted, out of email and general folders, backed up and monitored for unusual exports.
Do you work with land teams on renewable and pipeline projects too?▼
Yes. Right-of-way agents, surface landmen and renewable land teams have the same core needs: field devices that sync reliably, project files organized by client and tract, landowner contact data kept private, and payment changes verified before money moves. Easement and option agreements get the same backup and access controls as oil and gas leases. U.S.-based engineers support your office and field crews during business hours, with after-hours emergency response for active incidents.

LayerLogix is based in the Greater Houston area and delivers landmen & land services firms IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs.
