Dispatch, cardlocks and tank data that keep loads moving and payments clean

Fuel Distributors & Jobbers IT Services

A fuel distributor lives on thin margins and tight timing: if dispatch can't see tank levels or rack prices, trucks sit, and if a cardlock or fuel card system gets breached, you're dealing with card brands and angry fleet customers at once.

At a glance

Your business runs on back-office ERP, dispatch, tank monitors at customer sites, cardlock terminals, driver tablets and a few people who know where every password lives.

We manage and secure that whole stack, from the bulk plant office network to the payment environment at your unattended sites.

We support jobbers, wholesale distributors and commercial fuel suppliers across Texas and nationwide, and we work alongside your forecourt equipment and payment vendors where their gear ends and ours begins.

IT that keeps trucks loading, cardlocks taking cards, tanks from running dry.

From rack price to delivered gallon to settled card, every step depends on systems we keep patched and watched.

Fuel distributor IT

Every gallon moves through a system first

Before a load leaves the rack, someone checked a price, a tank reading and a credit limit. After it's delivered, a ticket, an invoice and maybe a card transaction follow. That chain runs on IT at the plant, in the trucks and at sites you don't staff. Here's where it's under pressure, how it fails, what we change and what you get back.

01 · The pressure

Rack prices, tank readings and dispatch, all before dawn

Pricing staff pull rack and contract prices early, dispatchers build routes from tank monitor readings and customer orders, and drivers start loading before most offices open. Cardlock sites take fleet cards around the clock without anyone on site. Billing reconciles bills of lading against deliveries and card settlements. If dispatch software loses its tank feed or the cardlock network drops, customers run dry, fleets drive elsewhere and you hear about it from the customer first.

  • Dispatch depends on live tank monitor readings
  • Unattended cardlocks run around the clock
  • Billing ties BOLs, deliveries and card settlements

02 · How it breaks

Flat site networks and borrowed vendor logins

The common failures are unglamorous. A cardlock controller, a tank gauge console and a security camera DVR sit on the same flat network behind a consumer router. A payment or maintenance vendor's remote login is shared across every technician they employ. An accounting clerk gets a convincing email from a supplier asking to send this month's fuel payment to a new account. A dispatch server under someone's desk has never been backed up offsite.

  • Card terminals, gauges and DVRs on one network
  • Shared vendor credentials for remote support
  • Supplier payment fraud aimed at accounts payable

03 · What we change

Segmented sites and a defined payment environment

At each cardlock and bulk plant we install a managed firewall that puts payment devices, tank gauges, cameras and office PCs on separate segments, which also narrows what falls inside your PCI DSS scope. Vendor remote access moves to named accounts with MFA and session logs. Office staff get MFA, endpoint detection and email filtering. Dispatch, ERP and accounting data get immutable offsite backups, and accounts payable adopts a callback rule for any change to supplier banking details.

  • Payment devices isolated on their own segment
  • Named, logged vendor access with MFA
  • Callback verification before paying a new account

04 · The after

Smaller PCI scope and fewer surprises at the pump

Once sites are segmented and monitored, you know when a cardlock goes offline before a fleet manager calls. Your PCI DSS self-assessment covers a defined set of devices instead of every network you own, and you can show your acquirer how card data is isolated. A failed dispatch server becomes a restore, not a lost week. Your controller pays suppliers knowing a fake banking change won't slip through on a busy Friday.

  • Site outages flagged before customers call
  • A cardholder data environment you can describe
  • Dispatch and ERP recoverable from tested backups

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Cardlock & Unattended Site Networks

We install and manage firewalls at cardlock and unattended sites, separate payment terminals from tank gauges, cameras and anything else on site, and add cellular failover so a cut line doesn't stop fleets from fueling. Each site is monitored, so you see an outage on a dashboard rather than in a customer complaint.

PCI DSS 4.0 Scope Reduction & Support

We help define your cardholder data environment, segment it so fewer systems fall in scope and support the evidence your self-assessment questionnaire needs, such as network diagrams, access control and log review. Your payment processor and forecourt vendors keep responsibility for their devices, and we coordinate with them on the network side.

Dispatch, ERP & Pricing System Support

Your back office, dispatch and pricing tools are the core of the business. We manage the servers or cloud tenants they run on, keep integrations with tank monitoring and rack pricing feeds healthy, restrict admin access and back everything up immutably, with restore tests you can see.

Tank Monitoring Connectivity

Tank gauges and telemetry at customer sites and your own bulk plants feed dispatch. We secure the network side of that path, change default credentials where your equipment vendor allows it, keep gauges off the payment and office segments and alert when a site stops reporting, so dispatch doesn't plan routes on stale readings.

Driver Tablets & Fleet Technology

Driver tablets, ELD devices and the phones your drivers use for delivery tickets get device management, so lost units can be locked or wiped and replacements show up configured. We integrate fleet telematics accounts with your identity system and remove access for drivers who leave.

Office Security & Payment Fraud Defense

Accounting, credit and pricing staff get MFA, endpoint detection with 24/7 SOC monitoring, and email filtering tuned for supplier impersonation and fake invoices. We alert on suspicious mailbox rules and help you put a callback procedure in place for any change to supplier or customer banking details.

Fleets Keep Fueling at Your Sites

Monitored site networks with cellular failover keep cardlocks taking transactions when a line goes down, and you hear about outages first. Commercial fleet customers stay loyal to sites that work every time they pull in.

A PCI Assessment You Can Finish

Segmentation shrinks the number of systems in scope, and clear diagrams and access records make the self-assessment questionnaire something your controller can complete accurately instead of guessing at answers your acquirer may later question. Next year's questionnaire starts from this year's records.

Fewer Runouts From Bad Data

When tank telemetry feeds stay connected and dispatch servers stay healthy, routes are built on current readings. That means fewer emergency deliveries, fewer dry tanks at customer sites and fewer apologetic calls from your dispatch desk.

Supplier Payments That Go Where They Should

Large, regular fuel payments make distributors a target for banking-change fraud. MFA, mailbox monitoring and a simple callback rule make it much harder for a spoofed supplier email to redirect a payment, even during a busy month-end close.

Our Process

1
Inventory your bulk plants, cardlock sites, office systems, payment devices, tank monitoring connections and every vendor with remote access.
2
Address urgent risks first, including flat site networks, shared vendor logins, missing MFA in accounting and unbacked-up dispatch servers.
3
Deploy managed firewalls with segmentation and cellular failover at each site, coordinating with your payment and forecourt vendors.
4
Bring office PCs, servers, driver tablets and cloud accounts under device management, endpoint detection, SOC monitoring and immutable backup.
5
Document your cardholder data environment, help prepare PCI DSS evidence and put payment-change callback procedures in writing.
6
Review site uptime, vendor access logs, backup tests and open risks with your team each quarter, and update documentation as sites change.

Frequently Asked Questions

Do our cardlock sites fall under PCI DSS?▼
If they accept payment cards, including many fleet cards processed through the card networks, then yes, you'll have PCI DSS obligations, typically reported through a self-assessment questionnaire your acquirer or processor specifies. The exact questionnaire and scope depend on your setup, so your processor is the authority on which one applies. What we do is reduce how much of your network is in scope through segmentation, document the cardholder data environment and help you gather evidence. We don't sign the attestation for you, and we won't tell you you're done when you aren't.
Will you work on our dispensers or forecourt controllers?▼
No. Dispensers, forecourt controllers and payment terminals belong to the equipment vendors and service companies that install and maintain them, and changes inside that equipment should go through them. Our job is the network around it: firewalls, segmentation, remote-access control, monitoring and the connection back to your office. When a site upgrade needs network changes, we coordinate with the forecourt vendor so the work is scheduled once and nothing gets left half-configured.
Our tank monitoring vendor needs remote access. How do you handle that?▼
We give the vendor a controlled way in rather than a shared password or an open port. Usually that means named accounts with MFA through a remote-access gateway, limited to the specific devices they support, with sessions logged. If their platform is cloud-based and the gauges dial out, we confirm the gauges are on their own segment and can't reach payment or office systems. You keep the vendor relationship; we make sure their access doesn't become someone else's access.
How do you prevent fake supplier payment requests?▼
Start with the mailbox: MFA on every account, filtering that catches lookalike domains and spoofed senders, and alerts when someone creates a forwarding or hiding rule, which is a common sign of a compromised inbox. Then add a process control: any change to supplier banking details gets verified by calling a known contact at a number already on file, not one supplied in the email. We help you write that rule and train the people who pay suppliers. It's simple, and it stops a lot of fraud.
Can you support our driver tablets and ELDs?▼
We manage the tablets and phones drivers use for delivery tickets and electronic logs, including enrollment, app deployment, security settings and remote wipe. The ELD hardware and its compliance with FMCSA requirements belong to your ELD provider, and we don't modify that. Where your telematics or ELD platform supports single sign-on, we connect it to your identity system so adding and removing drivers happens in one place. When a tablet breaks on a route, we can have a configured spare ready.
We have bulk plants and cardlocks in several states. Can you cover them all?▼
Yes. Site monitoring, firewall management, device management, security and help desk are handled remotely by our U.S.-based engineers. When a site needs hands-on work, like installing a firewall or tracing a failed cable, we send our own technician if it's near one of our offices or direct a vetted local technician while our engineer guides the work. Because we standardize the site build, a cardlock in one state is configured the same as one three states away.
