Why do you focus so much on getting ready before winter?▼
Because that's when a failure costs the most and is hardest to fix. During a cold snap your staff has no time for a long restore, vendors are slammed, and every hour of downtime turns into missed deliveries. So we do the risky work during the slow months: patching, upgrades, capacity checks and a full restore test. By the first freeze, you know the backups work, the phones can handle overflow and the delivery software won't fall over under load.
Are we really in scope for PCI DSS if our processor handles payments?▼
Usually yes, though often with a much smaller scope. If you accept cards for autopay, budget plans or in the office, you have PCI DSS obligations, typically reported through the self-assessment questionnaire your processor specifies. Using tokenized storage and keeping card numbers out of your own systems can shrink that scope considerably. We help you get there and support the evidence. Your processor decides which questionnaire applies, and you sign the attestation, so we make sure what you sign is accurate.
Can you work with our propane delivery and billing software vendor?▼
Yes. Your software vendor owns the application and its upgrades; we own the infrastructure it runs on and the security around it. That means we coordinate on server specs, cloud hosting, backup settings, user access and integration with your telemetry and payment providers. When the vendor schedules an upgrade, we make sure the server is ready, a backup is taken beforehand and the upgrade happens outside your busiest weeks. If something breaks, we work the problem with their support team instead of pointing fingers.
Is customer tank telemetry data sensitive?▼
More than it looks. A telemetry platform combines service addresses, tank levels and sometimes usage patterns that show when a home is occupied. It's also an easy account to forget during offboarding. We make sure each person who uses it has a named login with MFA, that former employees lose access the day they leave and that any gateway at your plant sits on its own network segment. Changes to the tank monitors themselves stay with your telemetry vendor.
What happens if a driver loses a tablet on a route?▼
Someone in the office calls us or opens a ticket, and we lock or wipe the tablet remotely through device management. Because the tablet was encrypted and required a passcode, customer addresses and routes on it aren't readable by whoever finds it. We then activate a preconfigured spare, which already has the delivery app and settings, so the driver can pick it up at the plant and get back on the route. The lost unit is removed from your accounts.
Do you support propane dealers with several plants or bulk storage sites?▼
Yes. Most of what we do, including monitoring, security, device management, email, phone systems and help desk, happens remotely through our U.S.-based engineers, so each plant gets the same standards. When a site needs hands-on work like a new firewall or replacing a failed switch, we send our own technician if it's near one of our offices, or direct a vetted local technician while our engineer works alongside them. The standardized setup keeps every location consistent.

What does Propane Dealers IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
