Legal Aid Organizations IT Services

Legal aid lawyers hold privileged files on people whose landlords, abusers, employers or debt collectors would very much like to read them.

At a glance

Every eviction defense, protective order and benefits appeal runs through your case management system, a shared inbox, a phone intake line and court e-filing portals with hard deadlines.

We run IT and security for legal services nonprofits, covering LegalServer and other case platforms, Microsoft 365, intake hotlines, remote attorneys, courthouse self-help clinics and the outside volunteer lawyers who need limited access to a single matter.

We support legal aid programs in Texas and nationwide, remotely and through local technicians our engineers direct.

IT that keeps privilege intact, filings on deadline, intake lines open.

Security and support for lawyers whose clients can't afford to have their case files read by the other side.

Legal aid IT

The other side would love to read your files

Legal aid programs combine a law firm's confidentiality duties with a nonprofit's staffing and a funder's reporting rules. Advocates work from offices, courthouses, clinics and kitchen tables, often on the same day. Here's what a normal week depends on, how confidentiality actually leaks, and what we change so it doesn't.

01 · The pressure

Intake calls, court calendars and case closing codes

Monday starts with an intake queue: hotline calls, online applications and walk-ins at a courthouse help desk, each screened for eligibility and conflicts in LegalServer. Attorneys pull case files to prep for hearings, file through the court's e-filing portal and send documents to clients by text or email. Grants staff track hours and closing codes for funder reports. If the case system or phone line goes down on an eviction docket day, people lose hearings, and some lose homes.

  • Eligibility and conflict checks on every intake
  • E-filing deadlines that don't move
  • Closing codes and hours feeding grant reports

02 · How it breaks

Opposing parties, shared inboxes and volunteer lawyers

An abuser who knows a client's email password reads every message from their attorney. A phishing email mimicking a court notice lands in the shared intake inbox, and a paralegal enters their credentials. Volunteer attorneys from a pro bono partner get full case system access when they need one file. Advocates save documents to personal Dropbox accounts to work from home. And a courthouse clinic laptop left signed in exposes the whole day's intake list.

  • Client accounts controlled by the other party
  • Fake court notices aimed at intake staff
  • Pro bono volunteers with too much access

03 · What we change

Matter-level access and safer client contact

We put MFA and conditional access on Microsoft 365 and LegalServer, and give pro bono volunteers guest accounts limited to their assigned matters with an end date. Staff laptops are encrypted and managed, and courthouse clinic devices sign out automatically. We set up a client portal or encrypted email for sensitive documents, and give intake staff a script for confirming safe contact methods. Mail filtering flags court-notice lookalikes, and personal cloud storage is blocked on work devices.

  • Guest access scoped to a single matter
  • Encrypted portals for client documents
  • Auto sign-out on courthouse clinic devices

04 · The after

Confidentiality you can explain to a judge or funder

Your executive director can tell a funder, a bar committee or a monitoring visitor exactly how client files are protected and who can see them. Volunteer lawyers get what they need and lose it when the matter closes. A lost laptop is an encrypted brick, not a call to counsel about exposure. And on eviction docket mornings, the phones, case system and e-filing all work, so advocates spend their time in court rather than on the help desk line.

  • A clear answer on who sees client files
  • Volunteer access that ends with the matter
  • Docket days without IT surprises

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Case Management System Support

We support the environment around LegalServer or your case platform: user provisioning, role design, single sign-on, browser setup, document integrations and the reports grants staff pull every quarter. When the issue is inside the platform, we work with the vendor's support team and your case system administrator to get it fixed and written down.

Pro Bono Volunteer Access

Volunteer attorneys from firms and law school clinics need files without the keys to everything. We set up guest accounts or external sharing limited to assigned matters, with MFA, an expiration date and activity logging. When a matter closes or a volunteer finishes, access ends without anyone remembering to revoke it.

Intake Hotline and Phone Systems

Phone intake is the front door for clients without internet access. We set up and support cloud phone systems with call queues, callback options, voicemail to the case system and remote answering for staff working from home, so the hotline keeps running when the office is closed for weather.

Client Communication Safety

Some clients share devices or accounts with the person they're in a case against. We configure an encrypted client portal or secure email for documents, help staff record safe contact preferences in the case file and make sure outbound texts and emails don't reveal case details to anyone glancing at a client's phone.

Courthouse and Clinic Devices

Self-help desks and community clinics run on laptops and hotspots in borrowed spaces. We set them up with encryption, automatic sign-out, a VPN or zero trust connection back to your systems and a quick-swap spare, so a day in a crowded courthouse hallway doesn't put the intake list at risk.

Grant Reporting and Records Backup

Funders, including LSC for grantee programs, expect accurate case statistics, time records and documentation. We back up the case system's exports, Microsoft 365 and file shares to isolated storage, and set retention in line with your grant agreements so records survive ransomware and staff turnover alike.

Privilege Stays Where It Belongs

Matter-level access, encrypted devices and safe contact practices reduce the ways an opposing party, a curious volunteer or a thief could see confidential case information. That protects clients, and it protects your attorneys' professional obligations.

More Volunteer Lawyers, Less Risk

When onboarding a pro bono attorney takes minutes and access ends on its own, you can say yes to more volunteers. Partner firms also see a program that takes their lawyers' confidentiality duties as seriously as they do.

Monitoring Visits With Ready Answers

Funders ask how client data, case statistics and time records are handled. Documented access controls, backups and device policies let your director answer with evidence instead of promises, which makes compliance reviews shorter for everyone in the room.

Hearings Don't Wait for IT

Monitored systems, a resilient phone platform and managed laptops mean advocates walk into eviction and protective order hearings with their files ready. When something does break, there's a help desk that understands the docket can't be rescheduled.

Our Process

1
We review your case system, Microsoft 365, phones, clinics and remote work setup, and list every place client data lives.
2
We map who can see what, including pro bono volunteers, interns and former staff, and close access that's broader than it should be.
3
We turn on MFA and conditional access, encrypt and manage laptops and set auto sign-out on clinic and courthouse devices.
4
We set up scoped guest access for volunteers and a secure channel for sending documents to clients with safety concerns.
5
We train intake and attorney staff on court-notice phishing, safe contact practices and handling client files outside the office.
6
We stay on with help desk support, user changes as volunteers come and go, and a yearly review before major grant renewals.

Frequently Asked Questions

What do ethics rules say about our technology?▼
ABA Model Rule 1.6(c) asks lawyers to make reasonable efforts to prevent unauthorized access to client information, and Comment 8 to Rule 1.1 ties competence to understanding relevant technology. Most states have adopted versions of both. The rules don't name products, so the practical question is whether your safeguards are reasonable for the sensitivity of your files. We put in the controls that answer that question: MFA, encryption, scoped access and backups. Questions about what your state's rules require belong with your general counsel or ethics counsel.
Does LSC funding change our IT obligations?▼
LSC grantees operate under LSC's regulations in 45 CFR Part 1600 and following parts, plus grant assurances, and they report case statistics and timekeeping that LSC and its Inspector General can review. Those rules focus heavily on eligibility, case reporting and cost documentation, so the records behind them must be accurate and retrievable. We make sure the case system, timekeeping and financial data are backed up, access-controlled and organized. Your compliance staff and LSC guidance define what has to be recorded.
How do we give pro bono attorneys access without opening everything?▼
Treat them as guests with a single key. Depending on your case platform, we set up limited volunteer roles or external sharing tied to the specific matter, with MFA required and an expiration date. They can read and upload documents for that case and nothing else. Activity is logged, so you can see what was opened. When the matter closes, access ends automatically, and the volunteer's firm email never becomes a backdoor into your system.
What if a client's abuser controls their phone or email?▼
It happens, and it's why intake should always ask how it's safe to contact someone. We help you build that into the case record so every advocate sees it. For documents, a portal with its own login is safer than email to a shared account. Text reminders can be worded so they don't reveal the case. Staff should never assume an email reply came from the client. The legal and safety judgment stays with your advocates; we give them tools that respect it.
Our attorneys file in courts that use different e-filing systems. Can you help?▼
We support the computers, browsers, certificates, scanners and PDF tools those portals depend on, and we keep a short guide for each one your staff use. Many issues come down to file size limits, PDF settings or an expired account, which we can sort out quickly. We also protect the e-filing account logins with a password manager and MFA where the court supports it, so a departing staff member doesn't leave with the only login for a busy docket.
We have attorneys working from home and from courthouses. What protects files outside the office?▼
Start with the device. Every staff laptop is encrypted, managed, updated automatically and set to require MFA for Microsoft 365 and the case system. We block saving client files to personal cloud accounts or USB drives. Courthouse and clinic laptops sign out after short idle periods and connect back through a VPN or zero trust tool. Home routers aren't in our control, so we focus on making sure the laptop itself stays protected wherever it connects.
Do you provide Legal Aid Organizations IT Services in Houston and nearby areas?▼

Call 713-571-2390 to check coverage for your specific address.
What does Legal Aid Organizations IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
