Protect client mail lists, keep the RIP running and the web store safe

Commercial Printing IT Services

Commercial printers hold more sensitive data than most people realize: customer mailing lists with names and addresses, variable-data files for healthcare and financial statements, and card payments from a web-to-print storefront.

At a glance

A breach exposes your clients’ customers, not just your own, and a crashed prepress server stops every press in the building.

We run managed IT and cybersecurity for commercial printers, digital print shops, wide-format shops and mail houses.

We secure client data transfers and storage, harden web-to-print stores, keep RIPs, workflow servers and prepress workstations running, and back up job archives so reprints don’t depend on luck.

When you print for healthcare or financial clients, we help you meet the security terms in their contracts. We support printers in Texas and nationwide.

IT that keeps mail lists private, RIPs processing, jobs on press.

Managed IT and security for printers and mail houses trusted with other companies’ customer data.

Print shop IT

Your clients’ customer data, on your servers

A modern print shop is a data company with presses attached. Client files arrive by upload, email and FTP, variable data merges personal information into every piece, and finished jobs get archived for reprints. Here’s how that data gets exposed, what we change, and what your shop looks like when a client’s security team comes asking.

01 · The pressure

Every job carries somebody’s personal data

Your CSRs take files from clients and agencies. Prepress preflights them and the workflow server sends them to the RIP. Data services merges mailing lists for variable-data printing, runs address hygiene and presorts for postal discounts. The web-to-print store takes orders and card payments. Some clients send patient statements or account notices. If a list leaks, your client has a breach to deal with. If the workflow server dies, every press waits.

  • Mailing lists full of personal information
  • Workflow and RIP servers feed every press
  • Web stores taking card payments online

02 · How it breaks

An old FTP server and a forwarded list

Many shops still run an FTP server set up years ago for client uploads, with shared passwords and files that never get deleted. A CSR forwards a mailing list to a personal email to finish at home. The web-to-print plugin hasn’t been updated, and skimming code lands on the checkout page. A spoofed client email with a malicious file link infects a prepress workstation that sits on the same network as the workflow server.

  • Legacy FTP with shared logins and old files
  • Mailing lists sent through personal email
  • Outdated web-to-print plugins and checkouts

03 · What we change

Secure intake, short retention, protected presses

We replace legacy FTP with a secure file transfer portal that uses individual client accounts, encryption and automatic deletion after a set period. Mailing data lives in a restricted area with access limited to data services staff and logged. The web-to-print store gets patched, monitored and checked against PCI DSS requirements. Prepress workstations get endpoint detection, and the RIP and workflow servers move to a protected segment with backups of job archives and configurations.

  • Secure client upload portal with auto-deletion
  • Restricted, logged storage for mailing data
  • Web store patched and checked against PCI DSS

04 · The after

You can answer the client’s security questionnaire

When a hospital system or credit union asks how you handle their members’ data, you have a written process, access logs and retention rules to show. Clients upload files through a portal that looks professional and keeps their data separate. The web store passes its PCI scans. A ransomware attempt on a prepress Mac stays contained, and the workflow server keeps feeding the presses. Reprints come back from a reliable archive.

  • Written data handling you can hand clients
  • Client uploads separated and auto-deleted
  • Reprints pulled from a dependable archive

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Secure Client File Transfer

We replace shared FTP logins with a secure transfer portal: individual client accounts, encryption in transit and at rest, upload notifications for CSRs and automatic deletion after a retention period you set. Large art files still move quickly, but you finally know who uploaded what, and old client data stops piling up on a forgotten server.

Variable Data and Mailing List Protection

Data services handles names, addresses and sometimes account or health information. We restrict that storage to the people who need it, log access, encrypt it, and set retention so lists are purged after mailing. Data loss prevention flags attempts to send lists to personal email or upload them to consumer cloud storage.

Web-to-Print Store Security

Online storefronts take orders and card payments, which puts them in scope for PCI DSS. We keep the platform and plugins patched, add a web application firewall and file integrity monitoring to catch skimming code, enforce MFA on admin logins, and help you complete the self-assessment your processor asks for.

RIP and Workflow Server Support

Your workflow server and RIPs are the bottleneck every job passes through. We keep them on a protected network segment, monitor storage and services, back up configurations, hot folders and job archives, and plan updates with the press vendor so an upgrade doesn’t leave a digital press unable to receive files on a deadline day.

Prepress Workstation Management

Prepress runs on a mix of Macs and PCs loaded with Adobe apps, preflight tools, fonts and color profiles. We manage both platforms equally: patching, endpoint detection, font library backups, license management and quick restores. Designers keep working without being their own IT department. Fonts and profiles follow the user.

Client Contract Security Support

Healthcare clients may require a business associate agreement, and financial clients often send vendor security requirements. We help you understand the technical controls those documents call for, implement them and keep evidence ready. Contract terms and legal obligations remain decisions for you and your counsel.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Win Healthcare and Financial Work

Statement and notice printing for hospitals, insurers and credit unions comes with security requirements. Documented controls and evidence let you say yes to that work instead of losing it to a shop that can answer the questionnaire.

Less Client Data Sitting Around

Retention rules and auto-deletion mean old mailing lists and client files don’t accumulate for years. Less stored data means less to protect and far less exposure if something ever goes wrong. It also makes your answer simple when a client asks what you still hold from their last campaign.

Presses Keep Getting Files

A protected, monitored and backed-up workflow server means a failed drive or an infected prepress machine doesn’t stop every press in the shop. Jobs keep moving while we fix the problem. Your CSRs don’t have to call clients and push ship dates because of a server.

A Web Store That Passes Scans

Patching, monitoring and admin MFA keep your storefront ahead of the skimming attacks that target small e-commerce checkouts, and make the annual PCI self-assessment far less painful. Customers who reorder business cards or signage online keep trusting the checkout, and your processor stays off your back.

Our Process

1
Inventory prepress workstations, workflow and RIP servers, file transfer methods, web-to-print platforms and anywhere client mailing data is stored today.
2
Map how client files and data enter, move through data services and prepress, reach the press and get archived or deleted.
3
Stand up a secure client upload portal, restrict mailing data storage and set retention rules your sales team can explain to clients.
4
Patch and monitor the web-to-print store, add admin MFA and integrity monitoring, and work through PCI DSS requirements with you.
5
Segment workflow and RIP servers, add endpoint detection to prepress, and back up job archives and configurations with a tested restore.
6
Build a client-ready security summary and evidence pack, then review alerts, retention and client questionnaires with you quarterly.

Frequently Asked Questions

We print patient statements. Are we a HIPAA business associate?▼
If you receive protected health information to print and mail statements or notices for a covered entity, you’re very likely a business associate, and the client should ask you to sign a business associate agreement. That makes the HIPAA Security Rule’s safeguards relevant to the systems handling their data. We help you implement and document those technical safeguards: access controls, encryption, audit logs, retention and incident procedures. Whether a specific arrangement makes you a business associate is a question for your counsel and the client.
Why replace our FTP server if it still works?▼
Because it usually works too well for everyone. Legacy FTP often uses shared passwords, sends data without encryption, keeps files forever and has no clear record of who uploaded or downloaded what. That’s hard to defend when a client asks how their customer data is handled. A secure transfer portal gives each client their own login, encrypts files, notifies your CSRs when files arrive and deletes them after a set period. Clients generally find it easier to use, too.
How does PCI DSS affect our web-to-print store?▼
If your storefront accepts card payments, PCI DSS applies, and your processor will ask for an annual self-assessment and possibly quarterly scans. How much work that involves depends on how payments are taken: a hosted payment page from your processor keeps most card data off your systems, while a checkout that touches card numbers directly brings more in scope. We help you choose the simpler path where possible, keep the store and plugins patched, monitor for skimming code and complete the assessment.
Do you support Macs in prepress?▼
Yes, and we treat them the same as Windows machines. Prepress Macs get patch management, endpoint detection, backups, font library management and the same remote support as PCs. We know the quirks of Adobe licensing, font conflicts and color profiles on both platforms. If your shop is mixed, which most are, you won’t get second-class support on whichever platform is in the minority. Designers can stay on whichever platform they work fastest on, and we’ll keep both secure.
Can you help when the RIP or press won’t receive files?▼
We can troubleshoot everything up to the press: the workflow server, network, hot folders, storage, permissions and RIP host. Problems inside the press controller or the vendor’s RIP software go to the press vendor, and we coordinate that call, give them access through a controlled remote session and stay on until it’s working. Most press-won’t-receive problems turn out to be network, storage or permissions issues on our side of the line, which we fix directly.
How long should we keep client mailing lists?▼
Only as long as you need them, and that should be written down. Many shops keep lists for a short window after mailing to handle reprints or postal questions, then delete them. Your client contracts may set specific requirements, and some clients want lists returned or destroyed with confirmation. We help you set retention rules in your systems so deletion happens automatically, and keep a record that it happened. The right retention period for your contracts is a business and legal decision we’ll support, not make for you.
Do you provide Commercial Printing IT Services in Houston and nearby areas?▼

Call 713-571-2390 to check coverage for your specific address.
What does Commercial Printing IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
