Keep the DMS, parts counters, service trucks and OEM portals working

Industrial Equipment Dealers IT Services

An equipment dealership runs several businesses at once: whole goods sales, rentals, a parts counter, a service shop and field technicians, often across multiple branches.

At a glance

All of it depends on the dealer management system and OEM portals, and when those go down, parts can’t be looked up, warranty claims stall and rental contracts can’t be written.

We run managed IT and cybersecurity for construction, agricultural, material handling and industrial equipment dealers.

That includes supporting your DMS and branch network, protecting OEM portal credentials, securing parts counter payments, managing field service laptops and tablets, and backing up the data that keeps your service department billing.

We work with dealers in Texas and nationwide, with local technicians for branch hardware when needed.

IT that keeps parts moving, service trucks rolling, warranty claims paid.

Managed IT and security for equipment dealers with branches, field techs and an OEM looking over their shoulder.

Dealership IT

Parts, service, rentals and sales on one network

A dealership’s day touches every department: the parts counter looks up a part on an OEM portal, a field tech closes a work order from a tablet, rental writes a contract, sales structures a deal and accounting files warranty claims. Here’s how that system breaks, what we change, and what your branch managers stop calling about.

01 · The pressure

Every department lives in the DMS

Your dealer management system holds inventory, work orders, rental fleet status, customer accounts and parts pricing. OEM portals provide parts catalogs, service manuals, diagnostics software and warranty submission. Field techs carry laptops with diagnostic tools and connect from customer sites. Branches share inventory and transfer parts daily. If the DMS or the branch network goes down, the parts counter can’t sell, the shop can’t bill and rentals stop going out the gate.

  • DMS runs parts, service, rental and sales
  • OEM portals hold catalogs and warranty claims
  • Field techs work from laptops on customer sites

02 · How it breaks

Shared OEM logins and an open branch network

OEM portal logins get shared across the parts counter because seats are limited. A field tech’s diagnostic laptop has admin rights, never gets patched and connects to every customer’s Wi-Fi. Branches link back to the main store over a flat network with old firewalls. A phished salesperson’s email account starts sending fake payment instructions to customers financing a machine. Ransomware on one branch PC spreads to the DMS server and every location stops.

  • Shared OEM portal logins on the parts counter
  • Unpatched diagnostic laptops on customer Wi-Fi
  • Flat branch networks with aging firewalls

03 · What we change

Lock down logins, laptops and branches

OEM portal credentials move into a password manager with MFA and named access where the OEM allows it. Diagnostic laptops get standard user accounts, endpoint detection, managed patching that respects OEM tool versions and an always-on VPN. Branch firewalls get replaced or updated and the network gets segmented, with parts counter payment terminals on their own segment. Sales and accounting mailboxes get impersonation protection, and the DMS gets immutable backups with tested restores.

  • Portal credentials in a managed vault with MFA
  • Field laptops patched, monitored and on VPN
  • Segmented branches with payment terminals isolated

04 · The after

Branch managers stop calling about IT

The parts counter looks up and sells parts without fighting a shared login. Field techs plug into machines with tools that work and laptops that are protected. An infected PC at one branch gets isolated instead of taking down every location. Customers paying for a machine get a verification step before any change in wiring instructions. When your OEM asks about dealer cybersecurity standards or your insurer sends a questionnaire, you have answers.

  • Parts counters selling without login fights
  • One branch incident stays at one branch
  • Ready answers for OEM and insurer questions

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Dealer Management System Support

Whether your DMS is hosted or on premises, we handle the infrastructure, client installs, printers, label and form setups, integrations and user accounts around it. We coordinate with the DMS vendor on upgrades, test them before branches go live and keep backups current so a failure doesn’t mean a lost day of work orders and invoices.

OEM Portal Access Management

Parts catalogs, service information, diagnostics licensing and warranty submission all run through OEM portals. We move portal credentials into a managed vault with MFA, track which employee has which access, and remove access promptly when someone leaves, so a former employee isn’t still logging into your OEM account months later.

Field Service Laptop Management

Diagnostic laptops travel to job sites and connect to customer networks and machines. We manage them with endpoint detection, standard user accounts, encryption, an always-on VPN and patching that respects the versions OEM diagnostic tools require. If a laptop is lost or stolen from a service truck, we can lock and wipe it remotely.

Multi-Branch Network Design

We standardize firewalls, switches and Wi-Fi across branches, connect them with secure links and segment each location so office PCs, parts counter terminals, shop devices and guest Wi-Fi stay separate. Centralized management means a new branch or acquisition can be brought onto the same standard quickly.

Parts Counter Payment Security

Parts counters and rental desks take card payments all day. We keep payment terminals on their own network segment, prefer processor-encrypted devices that keep card data off your systems, and help you complete the PCI DSS self-assessment your processor requires each year. Rental desks get the same setup.

Deal and Payment Fraud Protection

Machine sales and rental fleet purchases involve large wires and financing documents, which attracts business email compromise. We add MFA and impersonation protection to sales and accounting mailboxes, watch for suspicious forwarding rules and help you set a verification step before customers or your own staff act on changed wiring instructions.

Every Branch on One Standard

Standardized network gear, central management and documented configurations mean each branch works the same way. Troubleshooting gets faster, new branches come online on a predictable timeline, and a problem at one store doesn’t require a site visit just to figure out what’s plugged in where.

Service Department Keeps Billing

Reliable DMS access, working diagnostic laptops and backed-up work order data mean your shop and field techs keep closing jobs and invoicing. Service revenue doesn’t stall because a server crashed or a tech’s laptop can’t connect from a customer site.

OEM Access That Follows the Rules

A managed vault and named access for OEM portals reduce shared-login risk and make it easy to show the OEM who has access to their systems. Offboarding removes access the same day instead of whenever someone remembers to change the shared password.

Fewer Wire Fraud Close Calls

Mailbox protections and a verification step for wiring changes make it far harder for a spoofed email to redirect payment on a machine sale. Your sales and finance teams have a process to follow when a customer or lender suddenly sends new instructions.

Our Process

1
Inventory every branch’s network gear, PCs, payment terminals, printers, field laptops, DMS components and OEM portal accounts.
2
Map how parts, service, rental, sales and accounting use the DMS and OEM systems, including transfers and integrations between branches.
3
Move OEM and vendor credentials into a managed vault with MFA, and clean up shared logins and orphaned accounts.
4
Standardize and segment branch networks, isolate payment terminals and put field service laptops under management with VPN and endpoint detection.
5
Set up immutable backups for the DMS and file shares, test a restore with your controller, and document recovery steps.
6
Review alerts, branch health, access lists and OEM or insurer requirements with you each quarter, and plan new branches before they open.

Frequently Asked Questions

Do you replace our dealer management system?▼
No. Your DMS vendor owns the software and its updates, and switching platforms is a business decision we can support but don’t push. What we handle is everything around it: servers or hosted connectivity, workstations, printers and forms, integrations with OEM systems and accounting, user accounts, backups and the network that branches use to reach it. When the DMS needs vendor support, we open the ticket, gather logs and give them controlled access, so your parts and service managers aren’t stuck playing middleman.
Our parts counter shares OEM portal logins. Is that really a problem?▼
It creates several problems. You can’t tell who did what, former employees may still know the password, and many OEM agreements expect named users. A shared login without MFA is also an easy target for phishing. We help move to named accounts where the OEM allows it, store any remaining shared credentials in a vault with MFA and access logs, and make offboarding remove access immediately. If seat limits are the reason for sharing, we help you document the need when talking to your OEM rep.
How do you manage diagnostic laptops that need specific OEM software versions?▼
Carefully. OEM diagnostic tools often require particular operating system versions, drivers and adapters, so blind patching can break them. We maintain a tested baseline for each tool, apply security updates in a controlled way, and hold back updates the OEM hasn’t cleared. Laptops still get endpoint detection, encryption, standard user accounts and an always-on VPN. Changes to machine controllers themselves stay with the OEM; our focus is the laptop, its tools and how it connects.
Does the FTC Safeguards Rule apply to equipment dealers?▼
It can, depending on your business. The rule applies to businesses that are significantly engaged in financial activities for consumers, such as arranging or extending consumer credit. Many equipment dealers sell mainly to businesses, but agricultural and compact equipment dealers sometimes arrange financing for individuals. If that describes you, the rule requires a written information security program, a qualified individual responsible for it, MFA and other safeguards. Whether it applies to you is a question for your counsel; we help implement the controls if it does.
Can you support a new branch or acquisition quickly?▼
Yes, because we build branches from a standard. Once your network design, firewall configuration, Wi-Fi setup, payment segment and workstation image are documented, a new branch gets the same build. For acquisitions, we assess the existing equipment and accounts, decide what to keep, and move the store onto your standard on a planned schedule. We coordinate internet circuits, DMS access and OEM portal setup so the new location can sell parts and write work orders from day one.
What happens if ransomware hits one of our branches?▼
Endpoint detection should isolate the infected machine early, and automated monitoring runs around the clock. Because each branch is segmented and connected through controlled links, the infection has a much harder time reaching the DMS or other locations. Our engineers handle it during business hours and jump in after hours whenever an incident is active. We clean or rebuild affected machines and restore data from immutable backups. Customer notification and insurance decisions sit with your leadership and counsel; we provide the technical facts they need.
Do you provide Industrial Equipment Dealers IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers industrial equipment dealers IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Industrial Equipment Dealers IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
