Module yards, press data and bale records that hold up from first module to last bale

Cotton Gins IT Services

A cotton gin runs a short, brutal season where every module has to be tracked from the field, every bale weighed and tagged, and every record matched to the right grower before the classing data comes back.

At a glance

That chain lives in the gin office: gin accounting, module truck dispatch, bale and seed weights, electronic warehouse receipts and grower statements.

We manage the IT behind it for gins and gin co-ops in Texas and nationwide, including office PCs, the network out to the press and module yard, Microsoft 365, backups and security monitoring.

Our U.S.-based engineers handle most of it remotely and direct a vetted local technician when the press-floor PC needs hands on it.

IT that keeps modules matched, bales tagged right, growers paid right.

Module data, bale weights and warehouse receipts protected from the first module in to the last bale shipped.

Ginning season

From module yard to bale tag, one record

A grower's crop shows up as wrapped modules and leaves as tagged bales with classing results and a warehouse receipt. Your gin office stitches those pieces together under deadline for months. When a PC, a database or a mailbox fails in the middle of the run, the bale records stop lining up. Here's where that happens and what we do about it.

01 · The pressure

Months of ginning, one office holding the data

Module trucks bring in loads that have to be weighed and logged against the right grower and field. On the press floor, each bale gets a weight and a permanent bale tag, and seed weights flow to the office too. Weeks later, classing data arrives and has to land on the right bales before receipts go out and the grower can market the crop. If the gin office loses a day of records mid-season, you can't just re-gin it.

  • Module loads logged to grower and field
  • Bale weights and tags recorded at the press
  • Classing data matched before receipts issue

02 · How it breaks

A press-floor PC, a shared login, a fake merchant

The PC that sends bale weights to the office usually sits near the press, coated in lint, running whatever Windows build came with it. Everyone on the night shift knows the password. The gin office opens grower and merchant email all day, and a lookalike message about cottonseed or bale proceeds asks the bookkeeper to update banking details. Ransomware that lands in November doesn't just lock files; it freezes bale records during the busiest weeks of the year.

  • Press-floor PCs with one shared password
  • Gin accounting on a server nobody restores
  • Seed and bale proceeds redirected by email

03 · What we change

Separated gin floor, tested records, checked payments

We put the press-floor and scale PCs on their own network segment, away from office email and guest Wi-Fi, and give each operator a named login. Gin accounting and module data get immutable backups with a restore test before the first module arrives. We add MFA and impersonation protection to Microsoft 365, alert on mailbox forwarding rules and help you write a call-back rule for any change to grower, merchant or seed buyer banking.

  • Gin floor network split from office and guests
  • Restore test on gin accounting before season
  • Call-back rule for every banking change

04 · The after

A season where the records line up

Your gin manager stops worrying about whether last night's bales made it into the system. When a grower questions a weight or a lender asks how warehouse receipt data is protected, you pull the history and the backup log instead of guessing. The board of a co-op gin sees a written security plan, not a shrug. The season is still long, but the office side runs like the press does on a good night.

  • Bale history you can pull for any grower
  • Backup logs ready for lenders and auditors
  • A written plan the board can review

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Gin Accounting & Office Systems

We support the gin office software you already run, whether that's EWR's eCotton, PCCA's TELCOT tools or EAGL.SYS, plus the database and PCs under it. Vendor upgrades get scheduled in the off-season, and we confirm a working backup before any change touches grower accounts, bale records or seed settlements during the run.

Press Floor & Scale PC Support

Lint, heat and vibration are hard on the PCs that capture bale weights, print tags and log module truck weights. We keep those machines patched, monitored and documented, with a spare image ready. Inside the gin stand, press or moisture controls, we coordinate with your gin machinery supplier or controls technician instead of touching it ourselves.

Module Yard & RFID Data

Round modules from modern pickers carry RFID tags with field and grower data. We make sure the yard scanners, module truck tablets and the link to your gin software stay connected, and that the uploaded harvest data from growers' John Deere Operations Center accounts reaches your office through accounts with proper permissions.

Warehouse Receipt & Classing Data Protection

Electronic warehouse receipts and classing results decide what a grower's bales are worth and whether they can go under a loan. We lock down the accounts that reach those portals with MFA, limit who can issue or transfer receipts and keep audit logs, so one compromised password can't move a grower's cotton.

Seed & Bale Proceeds Fraud Defense

Cottonseed buyers, merchants and growers all exchange payment details with your office. We filter lookalike domains, flag new inbox rules and watch for logins from odd places in Microsoft 365. Then we help you adopt a simple rule: no bank change takes effect until someone calls a number already on file.

Off-Season Planning & Refresh

Summer is when the gin gets torn down and rebuilt, and it's the right time for IT too. We replace aging office and press PCs, rewire weak network runs out to the yard, review user accounts left over from seasonal hires and run a full recovery drill before the next crop comes in.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Fewer Mid-Season Surprises

With press-floor machines monitored and a known-good image on hand, a dead PC becomes a short swap instead of a long night of hand-logged bales. Automated alerts often show a failing drive or full disk before the operator notices anything.

Grower Records You Can Defend

When a grower or merchant disputes a weight, a tag number or a classing result, you can show the full history from module to receipt. Complete records and tested backups turn arguments into a quick lookup.

Cleaner Accounts After Seasonal Hires

Gins add temporary staff every fall. We create named accounts for them, limit what they can reach and shut them off when the season ends, so last year's module truck driver doesn't still have a working login next August.

Answers Ready for Lenders and Boards

Lenders, auditors and co-op directors increasingly ask how gin data is protected. You'll have a current device list, access reviews and restore results on file, which makes those conversations short and factual instead of a scramble through old emails.

Our Process

1
Walk the gin office, press floor, scale house and module yard, documenting every PC, scanner, network link and who logs in to each.
2
Review the gin accounting system, its database and backups, and how your software vendor connects for support.
3
Segment the press and scale network from office and guest traffic, and replace shared logins with named operator accounts.
4
Add MFA to email, warehouse receipt and classing portals, then set alerts for forwarding rules and unusual sign-ins.
5
Run an immutable backup and full restore test of gin records during the off-season, before the first module arrives.
6
Write the banking-change call-back rule with office staff and review seasonal accounts, patching and backups at the end of each season.

Frequently Asked Questions

Can you help with RFID module tracking problems?▼
We can help with the IT side of it. That means the scanners in the yard, the tablets or phones on module trucks, the wireless coverage they depend on and the connection into your gin software. If tags read fine at the picker but go missing in your system, it's often a sync, account or connectivity issue we can trace. Problems with the tags themselves or the picker's onboard system belong with the equipment dealer, and we'll work alongside them so you get one answer.
Do you work on our gin machinery controls or moisture systems?▼
No. Gin stand, press, lint cleaner and moisture control systems are equipment, and changes inside them belong with the manufacturer or your controls technician. What we handle is the boundary: the PCs and network that talk to that equipment, making sure they're isolated from email and the internet, and that remote access for the equipment vendor goes through a controlled connection you can switch off. If the vendor needs a firewall change, we make it with them on the call.
Who should have access to our electronic warehouse receipt accounts?▼
As few people as can do the job. Each person should have their own login with MFA, no shared office account, and only the rights they actually need, whether that's viewing, issuing or transferring receipts. When someone leaves, their access goes the same day. We set that up and keep a record of who has what, because receipts represent a grower's cotton and potentially loan collateral, and you want a clean answer if a transfer is ever questioned.
We're a co-op gin. Does our board need to be involved in IT security?▼
It helps a lot. Boards approve budgets and carry responsibility for member assets, and grower data and proceeds are exactly that. We give your manager a short, plain-language summary for the board covering what's protected, what risks remain and what it would take to close them. That way directors can make an informed decision without needing to understand firewalls, and the manager isn't left defending IT spending alone at every annual meeting.
What happens if ransomware hits during ginning season?▼
You isolate affected machines, call us and your insurer, and avoid wiping anything until evidence is preserved. We work business hours, with after-hours emergency response for active incidents like this one. Because the press network is segmented, bale weights can often keep flowing to a clean machine while we restore the gin accounting server from an immutable backup. Notification and legal decisions belong with your counsel; we provide the technical facts they need.
Our gin sits at the edge of town with poor internet. What are our options?▼
Most gins can get a reliable setup with a managed firewall, a primary wired or fixed-wireless connection and a cellular or satellite backup that takes over on its own. We prioritize the traffic that matters, like gin accounting sessions and portal uploads, over everything else. Inside the property, we often run fiber or point-to-point wireless between the office, scale and press buildings, since long copper runs across a gin yard tend to fail.
Do you provide Cotton Gins IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers cotton gins IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Cotton Gins IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
