Fire Protection Contractors IT Services

A fire protection contractor carries something most trades don't: the keys, door codes and panel passcodes for hundreds of buildings, stored in a field app on a technician's tablet.

20+ Years Experience

At a glance

Add years of inspection, testing and maintenance reports that building owners and fire marshals rely on, plus hydraulic calculations and shop drawings that go out under a license, and the office IT becomes part of life safety.

We run and secure that IT: managed tablets for inspectors, protected ITM records with backups, design workstations for sprinkler and alarm layout, and the email and payment controls that keep service agreements paid.

We support sprinkler, alarm, suppression and extinguisher companies across Texas and nationwide.

IT that keeps inspections filed, door codes private, calcs on the server.

Field tablets, inspection records, design files and building access data secured for sprinkler, alarm and suppression contractors.

Riser room to fire marshal's desk

Your work is split between new installs and a long tail of inspections. Designers lay out systems and run calcs, installers build from approved drawings, and inspectors walk buildings on a recurring schedule. Every report you file becomes evidence that a building's life safety system was checked, so losing those records is never minor.

01 · The pressure

Hundreds of buildings, one inspection schedule

Recurring inspections drive steady revenue, and they run through a field service app that schedules techs, captures deficiencies and generates reports. Many jurisdictions also want results uploaded to a third-party reporting portal. Designers run hydraulic calcs in AutoSPRINK or HydraCAD for plan review. If the scheduling system or the tablets fail during a busy week, inspections slip, reports go late and building owners start calling.

  • Recurring inspections booked months ahead
  • Reports uploaded to jurisdiction portals
  • Hydraulic calcs headed to plan review

02 · How it breaks

A lost tablet full of building access codes

A tech leaves a tablet in a truck that gets broken into, and it holds lockbox codes, alarm panel passcodes and riser room notes for a whole route. A former inspector still has a login to the field app. Someone in the office reuses a password, and an attacker reads the service manager's email. Then a customer receives a forged invoice from your domain asking for payment to a new account.

  • Tablets holding lockbox and panel codes
  • Former techs still logged in to field apps
  • Forged invoices sent from a hijacked mailbox

03 · What we change

Managed tablets and protected records

Every field device gets enrolled in management with encryption, a passcode and remote wipe. We move building access codes out of notes fields and into a restricted vault or locked fields in your field service app. Field app and email accounts get named logins with MFA, and departures are removed the same day. ITM reports and design files get backed up off-site, and outgoing invoices carry a call-to-confirm line.

  • Encrypted tablets with remote wipe
  • Access codes in a restricted vault
  • Off-site backups of ITM reports

04 · The after

A lost tablet becomes a five-minute call

When a device goes missing, you wipe it from the office and the codes on it were never readable anyway. Inspection history survives a server failure, so you can answer a fire marshal or an insurer about any building you've serviced. Designers open calcs and drawings without hunting through email. And building owners keep paying the right account, because your invoices and mailbox are much harder to fake.

  • Remote wipe on lost devices
  • Inspection history ready for any request
  • Customer payments reaching the right account

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Field Inspector Tablet Management

Inspectors live on tablets and phones running ServiceTrade, Inspect Point, BuildingReports or similar apps. We enroll each device in management, require encryption and a passcode, push app updates on your schedule and wipe lost devices remotely, so a stolen tablet doesn't hand out a route's worth of building data.

Building Access Code Protection

Lockbox combinations, door codes and panel passcodes are some of the most sensitive data you hold. We help you move them out of free-text notes and spreadsheets into a restricted vault or locked fields, limit who can see them and log every view so you know who looked up which building.

ITM Records and Report Backups

Inspection, testing and maintenance reports document that systems were checked under NFPA 25 and NFPA 72. We back up those records off-site, including attachments and photos, and test restores, so a vendor outage or deleted file doesn't leave a gap in a building's history. Switching field apps won't strand old reports either.

Design and Hydraulic Calc Workstations

AutoSPRINK, HydraCAD and alarm layout tools need capable workstations and well-organized project storage. We spec and maintain those PCs, manage licenses, and set up version-controlled project folders, so the calc that went to plan review matches the drawing the installers build from. Big project sets sync without filling every laptop.

Service Agreement Billing Protection

Recurring inspection agreements mean steady invoices, and steady invoices attract fraud. We protect your mailbox and accounting with MFA, set up SPF, DKIM and DMARC so your domain is harder to spoof, and add a call-back rule for any vendor or customer banking change. Customers get told how to confirm your remittance details.

Panel Programming Laptop Security

Technicians use laptops with manufacturer software to program and service alarm panels. We keep those laptops patched, encrypted and limited to the tools they need. We don't change panel programming ourselves; that stays with your licensed technicians and the panel manufacturer, and we keep their software working.

Customer Buildings Stay Secure

Protecting access codes and passcodes protects the people inside your customers' buildings. It also protects you from the reputational damage of being the contractor whose stolen tablet opened somebody's riser room or gave away a door code.

Records You Can Produce on Request

When a fire marshal, insurer or attorney asks about past inspections at a property, you can pull the full history with photos. That matters most after a fire or a sprinkler failure, when your records may be examined closely.

Inspection Routes Keep Running

Managed devices and a supported field app keep inspectors working through busy months. Fewer failed syncs and broken tablets mean fewer rescheduled visits, fewer late reports and fewer irritated property managers on the phone. Techs spend the day inspecting.

Steadier Recurring Revenue

Service agreements only pay off when invoices reach the customer and the payment reaches you. Protecting email and billing keeps that recurring revenue flowing instead of disappearing into a fraudster's account after one clever forged message.

Our Process

1
Review your field service app, tablets, design workstations and billing workflow, and find where building access codes and ITM reports currently live.
2
Enroll every field tablet and phone in device management with encryption, passcodes and remote wipe, and remove devices nobody can account for.
3
Move lockbox, door and panel codes into a restricted vault or locked fields, with view logging and access limited by role.
4
Back up ITM reports, attachments, calcs and drawings off-site, then restore a sample building's inspection history to confirm nothing is missing.
5
Put MFA on email, the field app and accounting, set up domain anti-spoofing and add a call-back rule for banking changes.
6
Handle ongoing support and patching, remove departing techs the same day, and review device and code access every quarter.

Frequently Asked Questions

Where should we store customer lockbox and panel codes?▼
Not in free-text notes, spreadsheets or a shared email folder. Those spread everywhere and are rarely protected. Better options are a business password vault with shared folders limited by role, or a field service app that supports restricted fields and logs who viewed them. Techs see the codes for buildings on their route; office staff who don't need them don't see them at all. When someone leaves, their access ends with their account. We help you pick the approach that fits your app, migrate the existing codes and clean up the old copies.
What happens if a technician's tablet is stolen?▼
If the device is enrolled in management, we lock and wipe it remotely, and because it was encrypted with a passcode, the data on it shouldn't have been readable in the meantime. We also sign the tech out of the field app and email, reset passwords and check for unusual logins. Then we look at what the device held. If building access codes were stored on it, the affected customers may need their codes changed; your management decides how to handle those conversations, and your attorney decides whether any notice is required.
How long should we keep inspection reports?▼
That depends on the NFPA edition your jurisdiction adopted, local fire code amendments, your contracts and your attorney's advice. Owners typically have record-keeping duties under NFPA 25 and NFPA 72, and many contractors keep their own copies far longer to defend their work after an incident. Whatever retention period you choose, the IT job is the same: keep the reports, photos and attachments backed up, readable and searchable, and make sure a change of field service vendor doesn't strand years of history in a system you no longer pay for.
Can you help with our fire alarm panel software?▼
We keep the laptops that run panel programming software patched, encrypted and backed up, and we make sure the manufacturer's tools and drivers work. We don't program or change panels ourselves. Fire alarm programming is licensed, life-safety work that belongs to your technicians and the panel manufacturer. Where a panel or communicator connects to a building network or cellular service, we can advise on the IT side of that connection with the building owner's IT team, while your technicians handle anything inside the panel.
Our designers email calcs and drawings back and forth. Is that a problem?▼
It works until two versions disagree. A plan reviewer approves one calc, the installers build from another drawing, and nobody notices until a field change or a failed inspection. We set up project folders with version history and a clear structure for submitted, approved and as-built files. Designers save there instead of attaching files to email, and the installers' tablets pull from the approved folder. We also back up the design workstations and manage AutoSPRINK or HydraCAD licenses, so a crashed PC doesn't stall a submittal.
A property manager asked about our cybersecurity in a vendor form. What do we tell them?▼
Large property managers, hospitals and campuses increasingly ask contractors how they protect building data, especially access codes and network-connected equipment. We help you answer honestly: device management on field tablets, MFA on accounts, encrypted storage for access codes, backups of inspection records, and how quickly you remove departed employees. If there are gaps, we help close them before you sign. Answering accurately matters, because an overstated form can become a contract problem later. Your attorney should review any security terms in the contract itself.
