Doors open for members, billing runs on time, and the club network stays private

Fitness Centers & Gyms IT Services

A gym gets paid by recurring billing and opens by software: if the member management system or the door controller fails, drafts don’t run and members stand outside the glass waving their phones at a reader that won’t answer.

At a glance

Clubs hold card and bank account details for every member, health questionnaires and waivers, and an access system that may be the only thing guarding the building after hours.

We run IT and security for independent gyms, boutique studios and multi-club operators in Texas and nationwide.

We protect member and billing data, keep access control and cameras on their own network, manage kiosks, front desk and trainer devices, and give members fast Wi-Fi that never touches your back office.

IT that keeps doors opening, drafts processing, members’ data private.

Member billing, door access, kiosks and club Wi-Fi run as one protected setup for gyms that never really close.

Front desk to the floor

Recurring revenue rides on a few systems

Fitness businesses run on memberships that renew automatically, doors that open with a fob or app, and a front desk that may be empty for part of the day. That means the software has to work without someone watching it. Here’s where clubs get exposed, and how we close the gaps.

01 · The pressure

Drafts, doors and a lot of member data

Your club management system processes recurring drafts against stored cards and bank accounts, tracks check-ins, freezes and cancellations, and feeds payroll for trainers. The access control system decides who gets in, sometimes with nobody on staff. Members sign waivers and fill out health questionnaires, and the app handles class bookings. If billing fails on draft day, cash flow takes the hit. If the door system goes offline during unstaffed hours, members can’t get in, or the wrong people can.

  • Draft day drives the month’s cash flow
  • Door access runs during unstaffed hours
  • Waivers and health forms on file for members

02 · How it breaks

Shared desk logins and a flat club network

Front desk staff share one login to the club software, so a disgruntled employee can export member billing data and nobody can tell who did it. The door controller, cameras, smart TVs, cardio consoles and member Wi-Fi all sit on one network, and the camera recorder is reachable from the internet. A manager’s email gets phished, the attacker requests a bank change on the merchant account, and draft deposits head somewhere new.

  • One front desk login shared by every shift
  • Door controller on the member Wi-Fi network
  • Merchant deposit account changed after phishing

03 · What we change

Separate the club, name every login

We split the network into zones: front desk and office, payment devices, access control and cameras, connected equipment and TVs, and member Wi-Fi. Front desk staff, trainers and managers get named logins with role limits on exports and billing changes. Owners and managers get MFA on email, club software and merchant portals, with alerts for deposit account changes. Kiosks and front desk tablets are locked to the apps they need, and the camera recorder comes off the internet.

  • Access control and cameras on their own zone
  • Named staff logins with billing change limits
  • Alerts on merchant deposit account changes

04 · The after

A club that runs itself, safely

Draft day runs and the money lands where it should. Members tap in during unstaffed hours, and if the door controller loses its connection, someone gets an alert. When a staff member leaves, their access to club software, the door system and email closes together. If a member questions a charge or asks about their data, you can see exactly who touched their record. Your processor’s PCI questionnaire and your insurer’s questions get answered from a single documented setup.

  • Draft deposits arrive where they belong
  • Alerts if the door controller goes offline
  • Clear record of who touched member accounts

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Member Billing Data Protection

Your club management platform stores card and bank account details for recurring drafts. We enforce named logins and MFA, restrict who can export member lists or change billing details, alert on merchant deposit changes, and make sure nobody keeps account numbers on paper agreements or spreadsheets. ACH drafts run under the Nacha Operating Rules, and we keep the supporting records protected.

Access Control and Camera Network

Fob, keypad and mobile app entry systems decide who gets in, especially during unstaffed hours. We put door controllers, readers and cameras on a dedicated network segment, remove internet exposure from recorders, monitor controller connectivity, and coordinate with your access control vendor for changes inside their system.

Check-In Kiosks and Front Desk Devices

Kiosks and front desk tablets run all day, often unattended. We lock them to the check-in and point-of-sale apps, manage updates centrally, keep spares configured, and disable features someone could abuse, like an open browser that drops a member onto the office network or the club software admin screen.

Connected Equipment and Club TVs

Cardio consoles, smart TVs, audio systems and digital signage all want network access, and most get little security attention. We put them on their own segment with limited outbound access, keep them away from billing and access control, and work with the equipment manufacturer on anything inside the machines themselves.

Member Wi-Fi That Actually Works

Members stream workouts and music, so coverage matters in the weight room, studios and locker room corridors. We survey the building, install business-grade access points, rate-limit and isolate member devices from one another, and keep that traffic fully separate from your front desk, payments, doors and cameras.

Multi-Club Staff and Trainer Access

Trainers and managers often work across locations, and many trainers are independent contractors. We build role packages for front desk, trainers, managers and owners, apply them consistently across clubs, and remove access the same day someone leaves, covering club software, door credentials, scheduling and email together.

Draft Day Without Surprises

MFA and deposit-change alerts on merchant and club software accounts stop the redirect scam before money moves. Your recurring revenue lands in your bank, and you spot billing problems early instead of reading about them in angry member emails a week later.

Doors You Can Trust After Hours

A segmented, monitored access control system keeps working and tells you when it doesn’t. Members get in during unstaffed hours, former members and staff don’t, and you have entry logs and footage when something happens on the floor.

Accountability at the Front Desk

Named logins show who froze, refunded, cancelled or exported a member account. Disputes get settled with facts, and a departing employee can’t quietly walk off with your member list or start offering your members to the gym down the street.

Happy Members on Fast Wi-Fi

Good coverage in the places members actually train keeps reviews positive and app check-ins working. Because their traffic is isolated, a member’s infected phone stays a member’s problem instead of becoming a door into your business systems.

Our Process

1
Walk the club: front desk, kiosks, door controllers and readers, cameras, cardio consoles, TVs and Wi-Fi, and list every system holding member data.
2
Replace shared front desk logins with named roles in the club software and add MFA on owner, manager and merchant portal accounts.
3
Segment the network into office, payments, access control and cameras, equipment and TVs, and member Wi-Fi, cutting over during the quietest hours.
4
Pull camera recorders and door controllers off direct internet exposure and set alerts for controller and recorder outages.
5
Lock down kiosks and front desk tablets, configure spares, and confirm no member card or bank details live on paper or spreadsheets.
6
Review each quarter: staff and trainer access, door credential cleanup, Wi-Fi coverage, billing alerts and your processor’s PCI questionnaire.

Frequently Asked Questions

We’re an unstaffed-hours gym. What IT risks matter most?▼
Your access control system and cameras become your staff during those hours, so they need to be reliable and isolated. If the door controller shares a network with member Wi-Fi, a member’s compromised phone or a curious guest can probe it. We give access control and cameras their own segment, monitor connectivity so you know when a controller drops, and make sure removed members and former staff actually lose their credentials. We also check that the recorder retains footage long enough to be useful after an incident.
Does storing bank accounts for drafts create extra obligations?▼
ACH drafts run under the Nacha Operating Rules, which expect originators to protect account information and authorizations, and your processor or bank will have its own requirements on top of that. Card drafts fall under PCI DSS. In practice, the important part is keeping account details inside your billing platform rather than on paper agreements or exports, limiting who can view or change them, and logging access. We set that up and give you documentation your processor can review. Legal interpretation stays with your counsel.
Can you work with our club management software vendor?▼
Yes. The vendor owns the application, the billing engine and their cloud. We handle what surrounds it: staff accounts and roles, MFA, the devices staff use, the network, kiosks and integrations with door access. When a problem crosses over, like check-ins not opening doors, we gather details from both sides and work it with the vendor and your access control provider. You get one point of contact rather than relaying messages between three companies.
Are health questionnaires and waivers protected health information?▼
For most gyms, HIPAA doesn’t apply, because a gym typically isn’t a covered healthcare provider billing insurance. That changes if you run physical therapy or medically supervised programs, and your counsel should look at those cases. Regardless, health questionnaires and injury notes are sensitive, and members expect them handled carefully. We keep them inside your management platform or waiver tool, limit who can open them, enforce MFA, and make sure old paper forms are stored securely or destroyed.
How do you handle connected cardio equipment?▼
Connected treadmills, bikes and rowers often need internet access for content, updates and member logins. We don’t modify the equipment’s software; that stays with the manufacturer and your equipment service provider. What we do is put those consoles on their own network segment with limited outbound access, keep them away from payments, access control and the office, and make sure the manufacturer’s remote support path is controlled. If a console is compromised, it can’t reach anything that matters.
We’re opening another club. How early should IT be involved?▼
As early as the build-out plan. Low-voltage cabling for access points, cameras, door readers and kiosks is much cheaper to get right before the walls close. We coordinate with your contractor and access control vendor, order the internet circuit early, and stage network gear and devices from your existing club standard. On opening day, the front desk, doors, cameras, member Wi-Fi and billing all work the same way they do at your other locations.

What does Fitness Centers & Gyms IT Services cost for a Houston business?▼

We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs.
