Orders in by cutoff, trucks out by dawn, lot records ready for any recall

Food Distributors IT Services

A food distributor has a few hours each night to turn the day's orders into picked pallets and loaded trucks, and if order entry or the warehouse system goes down in that window, restaurants and grocers open without product.

At a glance

Your business runs on an ERP, RF scanners on the dock, route planning, driver handhelds, temperature data and EDI connections with your biggest customers.

It also has to produce lot and traceability records quickly when a supplier issues a recall.

We manage the IT behind all of it for distributors in Texas and nationwide: servers and cloud ERP, warehouse Wi-Fi, scanners, Microsoft 365, backups and security monitoring, run by U.S.-based engineers.

IT that keeps orders flowing, docks scanning, recalls traceable.

From order cutoff to the last delivery stop, the systems behind your night shift stay up and your lot records stay findable.

Food distribution

The night shift runs on scanners and an ERP

Orders close in the evening, the warehouse picks overnight and trucks leave before sunrise. That cycle depends on a handful of systems that can't take a night off. Here's what happens when one fails, how attackers find their way in and what we change so the trucks still roll.

01 · The pressure

A few hours between cutoff and departure

Your sales reps and customer portal feed orders into the ERP until cutoff. Then pick tickets drop to the warehouse, RF guns direct selectors through the cooler and freezer, routes get built and loads get staged by stop. Lose the ERP or the warehouse Wi-Fi at midnight and selectors stand around while the clock runs. Miss the trucks and you've shorted every restaurant on the route, which is how customers start calling the other distributor in town.

  • Order entry and customer portal before cutoff
  • RF picking in cooler, freezer and dry zones
  • Route builds and driver manifests by dawn

02 · How it breaks

Night shifts, EDI links and fake invoices

Attackers like distributors because downtime is expensive and payments are constant. A buyer's mailbox gets phished and used to send suppliers revised remit-to instructions. A third-party EDI or warehouse vendor connects with a remote tool that never times out. Ransomware gets launched late on a Friday because it knows nobody's watching the servers during the overnight pick. Sometimes it's simpler: the warehouse Wi-Fi was never designed for freezer walls, so scanners drop all night.

  • Phished buyer mailbox used for payment fraud
  • Always-on remote tools from software vendors
  • Weekend ransomware timed for the overnight pick

03 · What we change

A warehouse network built for cold and speed

We survey and rebuild warehouse Wi-Fi for coolers, freezers and racking so RF guns hold their connection. Vendor remote access moves to an approved, logged gateway. Servers and endpoints get managed detection with 24/7 SOC monitoring, so a Friday-night encryption attempt gets caught while it's starting. The ERP, warehouse system and traceability data get immutable backups with restore tests. Microsoft 365 gets MFA, impersonation protection and payment-change alerts for buyers and AP.

  • Wi-Fi designed for freezer walls and steel racking
  • Vendor access logged and switched on only when needed
  • Immutable backups of ERP and lot records

04 · The after

Recall drills that take minutes, not days

Your operations manager stops dreading the call that the scanners are down at midnight. When a supplier recalls a lot, your team pulls who received it from a system that's backed up and searchable. When a big grocery customer sends a vendor security questionnaire, you answer it with documentation instead of guesses. Your insurer sees MFA, monitoring and tested backups. The night shift goes back to being about product, not technology.

  • Lot lookups from protected, searchable records
  • Vendor security questionnaires answered with evidence
  • Fewer overnight calls about scanners and servers

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Distribution ERP & WMS Support

Platforms like Produce Pro, NECS entrée, Sage X3 and Dynamics 365 sit at the center of everything you do. We manage the servers or cloud tenants they run on, keep databases maintained, coordinate upgrades with the vendor and schedule changes outside your order cutoff and overnight pick windows.

Cold Warehouse Wireless

Coolers, freezers and steel racking eat Wi-Fi signals. We run proper site surveys, place access points for the aisles your selectors actually walk and configure roaming so RF guns don't drop between zones. Then automated monitoring watches the wireless so problems surface before the night shift starts.

Scanners, Printers & Handhelds

RF guns, label printers, truck-loading tablets and driver handhelds all need consistent configuration. We enroll them in device management, standardize settings, keep spares ready and track batteries and firmware, so a dead scanner is a swap instead of a support call that eats an hour of picking.

Traceability Record Protection

FSMA traceability and your recall program depend on lot and receiving records being complete and recoverable. We make sure the systems holding key data elements are backed up immutably, access is controlled and you can run a mock recall lookup without depending on one person's spreadsheet.

EDI & Customer Integration Security

Grocery chains, restaurant groups and suppliers connect to you through EDI, portals and APIs. We document every integration, secure the credentials and service accounts behind them, restrict the network paths they use and monitor for failures, so a broken connection or stolen key doesn't go unnoticed for days.

Buyer & AP Payment Fraud Defense

Distributors pay hundreds of suppliers and growers, which invites fake invoices and remit-to changes. We add MFA, impersonation protection and mailbox rule alerts in Microsoft 365, and help you write a verification procedure so no bank change takes effect without a call to a known number.

Trucks Leave on Schedule

When the ERP, warehouse Wi-Fi and scanners hold up overnight, loads get staged on time and drivers leave with complete manifests. Fewer shorted stops means fewer credit memos and fewer customers testing another supplier because your trucks were late.

Faster Recall Response

A supplier recall shouldn't mean pulling paper receiving logs. With traceability records protected and searchable, your team identifies affected customers quickly and has the data your food safety lead and counsel need to make decisions about notification.

Better Answers for Big Customers

National chains and restaurant groups send vendor security questionnaires. You get documented controls, a current asset list and backup test results, so those reviews become a routine task rather than a scramble that puts a contract renewal at risk.

Support That Knows Your Schedule

Our U.S.-based engineers work business hours, with after-hours emergency response for active incidents, and we plan maintenance around your cutoff and pick times. Night-shift leads have a clear path to escalate when something critical fails mid-pick.

Our Process

1
Walk the warehouse, office and dispatch areas to document servers, wireless coverage, scanners, printers, handhelds and every EDI or portal connection.
2
Map your order-to-delivery timeline so maintenance, patching and upgrades never collide with cutoff, picking or loading.
3
Run a wireless survey of cooler, freezer and dry zones, then fix coverage and roaming problems the night shift reports.
4
Lock down vendor remote access, add MFA across Microsoft 365 and portals, and remove shared logins on warehouse workstations.
5
Put immutable backups on ERP, WMS and traceability data, then run a restore test and a mock recall lookup together.
6
Deploy endpoint detection with 24/7 SOC monitoring and review incidents, risks and upcoming projects with you quarterly.

Frequently Asked Questions

Our scanners drop out in the freezer. Can you fix that without replacing everything?▼
Usually. Most freezer dead zones come from access points placed for the office layout, not the aisles, and from roaming settings that make scanners cling to a weak signal. We do a site survey with the doors shut and racking full, adjust placement, add a few access points rated for cold where needed and tune roaming on both the network and the devices. Sometimes old scanners need replacing because they can't use current wireless standards, but we'll tell you which ones rather than recommending a full refresh.
How do you help with FSMA traceability requirements?▼
We handle the IT side. The FDA Food Traceability Rule expects you to keep key data elements for foods on the Food Traceability List and produce them in a sortable format on request. Your ERP or traceability tool holds that data. We make sure those systems are backed up immutably, access is controlled and logged, and you can pull a report quickly in a mock recall. What data to capture and how to meet the rule is for your food safety team and counsel to decide.
We connect to a lot of customers through EDI. Is that a security risk?▼
It can be, mostly because integrations get set up once and forgotten. Service accounts end up with broad permissions, credentials never rotate and a VPN tunnel for a former customer stays open. We inventory every integration, tighten permissions, rotate secrets, restrict which systems each connection can reach and watch for failures so an order feed doesn't silently stop. If your EDI is handled by a third-party provider, we work with them on credentials and access rather than around them.
Can you support our trucks and driver handhelds too?▼
Yes, the IT side of them. We manage the handhelds and tablets drivers use for manifests, proof of delivery and invoicing, keep them updated and lock them down so a lost device can be wiped. We also support the office systems that pull data from telematics and ELD providers. The ELD hardware and its compliance with the FMCSA rule stays with your provider; we make sure the accounts, integrations and devices around it are secure and working.
What happens if ransomware hits during the overnight pick?▼
With 24/7 SOC monitoring on your endpoints and servers, an infected machine can be isolated automatically. Our engineers provide after-hours emergency response for active incidents, so someone is working the problem that night. The aim is to stop encryption before it reaches the ERP and to restore anything affected from immutable backups. We'll have planned in advance which systems come back first so trucks can still get out. Notification and legal decisions stay with your leadership, insurer and counsel.
We distribute produce. Does PACA affect our IT?▼
PACA trust and licensing are legal and financial matters for your management and attorney, not IT. Where IT matters is that disputes and trust claims depend on accurate, complete records of what you bought, received and paid for, including invoices that carry trust language and payment dates. We protect the ERP and AP data that holds those records with backups, access controls and retention settings, so if a dispute ever happens, the records exist and nobody quietly altered them.
