Keep charters booked, coaches dispatched and passenger data protected

Motorcoach & Shuttle Operators IT Services

A motorcoach or shuttle operator sells trips months ahead and runs them on tight schedules, so a hijacked inbox that redirects a group's deposit or a dispatch outage on a tournament weekend hits both revenue and reputation.

At a glance

Your day depends on charter quoting and booking, driver assignments under hours-of-service rules, ELD and telematics data, driver qualification files, passenger manifests and onboard Wi-Fi that riders now expect.

We run the IT behind that: the booking and dispatch platform, the office and sales mailboxes, garage and dispatch PCs, driver tablets, telematics integrations and the records FMCSA and your insurer will ask to see.

We support charter, tour, shuttle and contract carriers in Texas and nationwide, with local hands at the garage when needed.

IT that keeps charters booked, coaches on time, deposits secure.

Managed IT and security for the booking desk, dispatch board, driver files and onboard Wi-Fi of motorcoach and shuttle operators.

Passenger transportation

Every trip starts as a quote and ends as a record

Charter and shuttle work runs on promises made weeks ahead: a school's band trip, a church retreat, a corporate shuttle loop, a wedding party. Each one moves through quotes, deposits, driver assignments, manifests and safety records. Passengers trust you with people as much as data. Here's where that system breaks down, and what we put in place.

01 · The pressure

Groups pay ahead and expect the coach to show up

Sales quotes trips for schools, teams, churches and tour companies, and group leaders send deposits and final payments, often large ones. Dispatch builds assignments around driver hours, vehicle availability and inspections. ELDs and telematics track coaches on the road. Safety keeps driver qualification files, drug and alcohol testing records and maintenance logs ready for audits. Riders want Wi-Fi and power on board, and corporate shuttle clients want reliable reports.

  • Large group deposits flow through sales and billing
  • Dispatch depends on driver hours and ELD data
  • Driver files and safety records must be audit-ready

02 · How it breaks

Redirected deposits, shared dispatch logins, open garages

A youth league treasurer receives an email that looks like your sales rep's, asking her to wire the trip balance to a new account. The sales mailbox was phished weeks earlier. Dispatchers share one login to the booking system. Driver qualification files sit in a shared folder anyone can open. The garage PC used for diagnostics also browses the web, and a telematics vendor account still belongs to a manager who left.

  • Phished sales email used to redirect group payments
  • Shared booking and dispatch logins
  • Driver files open to anyone on the network

03 · What we change

Locked sales inboxes, named access, guarded driver files

We put strong MFA and impersonation protection on sales and billing mailboxes, and help you tell every group leader how payment changes are confirmed. Dispatchers and agents get named accounts with roles. Driver qualification and testing records move to restricted, backed-up storage. Telematics and ELD portals get individual logins in a vault. Onboard Wi-Fi is isolated from your business systems, and garage PCs become managed, diagnostic-only machines.

  • MFA and impersonation alerts on sales and billing
  • Restricted, backed-up driver qualification records
  • Onboard passenger Wi-Fi isolated from company systems

04 · The after

Groups trust your invoices and auditors find the files

Group leaders know you never change payment details by email, so a spoofed message dies on contact. When FMCSA or your insurer reviews safety records, driver files and testing documentation are organized and access-controlled. A dispatcher leaving means one account turned off. Riders get working Wi-Fi without that network ever touching dispatch, and you head into prom, graduation and tournament season without wondering whether the booking system will hold up.

  • A payment process group leaders can trust
  • Safety records organized for audits and insurers
  • Peak-season dispatch without IT surprises

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Charter Booking & Dispatch Support

Your booking and dispatch platform holds quotes, trip details, customer contacts, driver assignments and invoices. We set up named accounts and roles, connect it to accounting, payments and telematics, back up its data independently and work with the vendor when trips stop syncing to driver devices.

Group Payment Fraud Prevention

Charter deposits and balances from schools, leagues and churches are large and handled by volunteers, which makes them ideal targets for payment redirection. We harden sales and billing mailboxes, block lookalike domains, alert on suspicious forwarding rules and help you publish a clear payment confirmation process for every group.

Driver Qualification & Safety Records

Driver qualification files, medical certificates, drug and alcohol testing records and Clearinghouse queries carry sensitive personal data and must be ready for audits. We move them into restricted, versioned storage, limit access to safety staff, log who opens them and back everything up off-site so a server failure never empties a file.

ELD & Telematics Integration

ELDs, GPS tracking and camera systems produce the hours-of-service and location data dispatch and safety rely on. We manage portal accounts with individual logins, connect telematics data to your dispatch platform where supported, and coordinate with vendors when devices or integrations stop reporting. In-vehicle hardware stays with the vendor.

Onboard Passenger Wi-Fi

Riders expect Wi-Fi on charters and shuttles, but that network should never connect to your business systems. We work with your onboard router provider on isolated passenger networks, content and abuse filtering and data plan monitoring, and keep driver tablets on a separate, managed connection.

Garage & Terminal IT

Maintenance shops, wash bays and terminals need diagnostic PCs, parts systems, printers and reliable Wi-Fi in big open buildings. We manage diagnostic laptops as standard-user, diagnostic-only devices, cover the garage with solid wireless and keep terminal check-in kiosks and departure displays patched, monitored and working when crowds arrive.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

Group Money Stays With You

Hardened email and a published payment process stop the scam that hits passenger carriers hardest: a fake invoice to a volunteer treasurer. Groups pay the right account, and you avoid the painful conversation about a stolen trip balance weeks before departure.

Audit-Ready Safety Files

Organized, restricted and backed-up driver qualification and testing records make compliance reviews and insurer audits faster and less stressful. Your safety manager finds what an investigator asks for without digging through shared folders or old filing cabinets.

Dispatch That Holds Up at Peak

Supported booking systems, working driver tablets and monitored office networks keep trips flowing through graduation season, tournaments and holiday travel, when one hour of downtime can scramble dozens of assignments and leave a group waiting at the curb.

Better Rider Experience

Reliable, isolated onboard Wi-Fi keeps passengers happy on long trips while protecting your company network. Corporate shuttle clients and tour operators notice, and it often shows up in renewal decisions, repeat bookings and online reviews from group leaders.

Our Process

1
Review the booking and dispatch platform, sales and billing email, telematics portals, driver devices, garage PCs and onboard Wi-Fi.
2
Map where driver qualification files, testing records, passenger manifests and payment details live and who can open them.
3
Turn on MFA and impersonation protection for sales and billing, and publish a payment confirmation process for groups.
4
Give every dispatcher, agent and safety user a named account, and move portal credentials into a password vault.
5
Move driver and safety records to restricted, backed-up storage, and isolate passenger Wi-Fi from company systems.
6
Prepare each year for peak seasons, new coaches, new terminals and audits, and review access after staff changes.

Frequently Asked Questions

A school group sent their trip balance to the wrong account after an email from us. What happened?▼
Most likely a sales or billing mailbox was compromised, or someone registered a domain that looks like yours and slipped into the conversation. Contact the group's bank right away about a recall, and call us to check your mailboxes for unauthorized access and hidden forwarding rules. Your counsel should guide any notification decisions. Afterward, we add strong MFA and impersonation protection, and help you put a short payment policy on every quote and invoice so group leaders know to call before paying anything unusual.
How should we store driver qualification files and testing records?▼
Restricted, organized and backed up. Driver qualification files, medical certificates, drug and alcohol testing results and Clearinghouse records contain sensitive personal data and need to be available when FMCSA or an auditor asks. Many carriers keep them in a shared folder or a filing cabinet. We move them into storage where only safety staff have access, every file has version history, access is logged and backups run off-site. Your safety manager and counsel decide what goes in each file and how long it stays; we keep it secure.
Can you manage our ELDs and telematics?▼
We manage the accounts, integrations and devices around them, not the in-vehicle hardware itself. That means individual logins with MFA for your telematics portals, connections to your dispatch platform where the vendors support it, and driver tablets enrolled in device management. When ELDs stop reporting or an integration breaks, we work with the vendor to sort out whether it's the device, the cellular connection or the software. Hours-of-service decisions and logs belong to your safety team.
Is passenger Wi-Fi a security risk for us?▼
It can be if it shares anything with your business systems. Passengers connect unknown devices, and some will misbehave. The onboard router should put riders on an isolated network with no path to driver tablets, telematics or anything back at the office. We work with your onboard Wi-Fi provider on that separation, set content filtering to fit your customers and policies, and watch data usage so a single passenger streaming all trip doesn't blow through the plan for the whole fleet.
Do accessibility rules affect our booking systems?▼
They can. Over-the-road bus operators have accessibility obligations under the ADA rules in 49 CFR Part 37, including handling advance requests for accessible service and keeping related records. Your booking system and staff workflow need to capture those requests reliably and keep the documentation. We make sure the platform, forms and email paths that receive those requests are dependable and that records are retained and backed up. Your compliance lead and counsel should confirm exactly what you need to track and report.
We also run airport and corporate shuttles. Does that change anything?▼
Somewhat. Contract shuttle work often comes with client security questionnaires, reporting requirements and sometimes integrations with the client's systems or badge processes. Riders may be employees whose names and schedules show up in manifests. We help you answer those questionnaires accurately, keep shuttle data separate from charter customers where needed, and protect the reports you send each client. Driver devices and dispatch stay on the same managed setup, so adding a new shuttle contract doesn't mean a new set of IT problems.
Do you provide Motorcoach & Shuttle Operators IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers motorcoach & shuttle operators IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Motorcoach & Shuttle Operators IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
