Keep dispatch, driver tablets and impound records running on every shift

Towing Companies IT Services

A towing company runs on dispatch, and when the dispatch software, the phones or a driver's tablet goes down, rotation calls and motor club jobs go to the next company on the list.

At a glance

Behind every tow sits a record: who requested it, photos of the vehicle, the storage location, owner notices built from DMV lookups and the release paperwork when someone pays to get their car back.

We run and secure the IT behind that: the dispatch and impound platform, driver phones and tablets, the dispatch office phones, the release window POS, motor club and police portal logins, and the owner data you're allowed to use only for specific purposes.

We support towing and recovery operators in Texas and nationwide, with remote engineers and local hands at the yard when needed.

IT that keeps calls dispatched, trucks rolling, releases documented.

Managed IT and security for the dispatch board, driver tablets, impound records and phones of towing and recovery companies.

Towing & recovery

Every call becomes a record someone will dispute

Tow work happens fast and in the open, but it ends in paperwork: photos, storage logs, owner notices, fees and release forms. Owners dispute charges, law enforcement asks for records and motor clubs audit jobs. When the dispatch system or the data behind it fails, you lose calls and arguments. Here's how that happens, and what we change.

01 · The pressure

Rotation, motor club and private calls never stop

Calls arrive from police rotation lists, motor club platforms, private property accounts and the public. The dispatcher assigns the nearest truck, the driver photographs the vehicle and its condition, and the tow lands in your storage lot. The office pulls owner information to send required notices, tracks storage fees and handles releases at the window when owners show up angry. Lose dispatch for an hour and the calls go elsewhere.

  • Dispatch software assigns every call and truck
  • Photos and storage logs back up each impound
  • Owner lookups drive notices and releases

02 · How it breaks

Shared dispatch logins and a phone with every photo

Dispatchers and drivers all share a single login, so no one can tell who changed a storage fee. A driver's personal phone holds every vehicle photo, and when he quits, so does your evidence. A dispatcher's email is phished and the attacker accesses your motor club portal. The release window PC runs as an admin with remote access software a former vendor installed. Owner lookup data gets copied into a spreadsheet nobody controls.

  • One shared login for dispatchers and drivers
  • Vehicle photos stuck on drivers' personal phones
  • Unmanaged remote access on the release window PC

03 · What we change

Named accounts, managed devices, controlled owner data

Every dispatcher, driver and office user gets a named account in the dispatch platform with roles that limit who can edit fees or void calls. Driver tablets and phones go into device management so photos upload to the platform, not a camera roll. Old remote tools get removed, and the release window PC becomes a locked-down workstation. Owner lookup data stays in the system and is used only for the notices it's meant for.

  • Role-based dispatch accounts with audit trails
  • Managed driver devices with automatic photo upload
  • Owner data limited to permitted notice uses

04 · The after

Win disputes, keep rotation spots, sleep through the night

When an owner disputes damage or fees, you pull photos, timestamps and the driver's name in seconds. When a police agency or motor club audits your records, they're complete and consistent. A driver quitting doesn't take your evidence with him. Dispatch keeps running through a power or internet outage, and the dispatcher on the night shift isn't fighting a frozen screen while calls ring through to someone else.

  • Photo evidence tied to every call
  • Records ready for agencies and motor club audits
  • Dispatch that rides through outages

What We Offer

Comprehensive solutions tailored for Houston-area businesses

Dispatch & Impound Platform Support

Your towing software handles dispatch, storage, fees, notices and releases. We set up named accounts and roles, connect it to accounting and payments, manage integrations with motor club platforms, and handle tickets with the vendor when calls stop syncing to driver tablets or invoices don't match.

Driver Tablet & Phone Management

Driver devices carry photos, vehicle details and customer signatures. We enroll them in device management with passcodes, encryption and remote wipe, set the camera workflow so photos go straight to the dispatch platform, and give new drivers a ready device the day they start, already signed in to dispatch.

Owner Lookup Data Handling

DMV owner information is protected under the Driver's Privacy Protection Act and can be used for towing notices, not marketing or curiosity. We keep that data inside your platform, limit who can run lookups, log access and remove stray copies from spreadsheets and email. Your counsel decides what notices are required.

Dispatch Office Phones & Failover

Missed calls mean lost jobs and lost rotation standing. We set up cloud phones with call queues, overflow to cell phones, recording if you choose to use it, and failover internet plus battery backup for the dispatch office, so a storm or an outage doesn't silence your lines.

Release Window & Payment Security

The release window takes cards from upset owners, often fast. We keep payment terminals on their own network, lock down the release workstation, remove leftover remote tools and keep card data inside your processor, which helps keep your PCI DSS scope small and the window running.

Yard Cameras & Gate Networks

Storage lot cameras and gate controls protect vehicles and back up your side of a dispute. We put them on their own network, change default credentials, update recorder firmware, keep footage backed up for a set period and give managers secure remote viewing without exposing the recorder to the internet.

Why Choose LayerLogix?

Serving businesses throughout the Greater Houston area including Houston, Dallas, Austin, San Antonio, Atlanta, Nationwide.

More Calls Answered and Kept

Reliable dispatch, phones that fail over and working driver tablets mean calls get accepted and trucks roll quickly. That protects your standing on rotation lists and with motor clubs, where slow or missed responses can cost future work.

Disputes Settled With Evidence

Photos, timestamps, driver names and camera footage tied to each call let you answer damage claims and fee disputes with facts. That saves time at the release window and in small claims court, and keeps reviews from turning into a shouting match.

Owner Data Used Properly

Keeping DMV lookup data inside your platform, limited and logged, lowers the risk of misuse claims and keeps your access to owner information intact. You can show an agency how the data is handled if they ever ask.

Clean Turnover for Drivers

Drivers come and go. Named accounts and managed devices let you shut off access and recover company data in minutes, so no former driver keeps photos, customer details or the ability to log into dispatch from home.

Our Process

1
Review the dispatch platform, accounts, driver devices, phones, release window, yard cameras and every motor club or agency portal.
2
Map where vehicle photos, storage logs and owner lookup data live, including personal phones, spreadsheets and email.
3
Give every dispatcher, driver and office user a named account with roles, and move portal credentials into a password vault.
4
Enroll driver devices in management, route photos to the platform, and remove old remote tools from office and release PCs.
5
Set up cloud phones with overflow, failover internet and battery backup, and segment POS, cameras and office networks.
6
Review access, new drivers, platform changes and outage readiness each quarter, especially ahead of storm and holiday seasons.

Frequently Asked Questions

Does the Driver's Privacy Protection Act affect towing companies?▼
Yes. The DPPA restricts how personal information from motor vehicle records can be used, and providing notice to owners of towed or impounded vehicles is one of the permitted purposes. That means the owner data you pull for notices should be used for that and not for marketing, debt collection outside your process, or anything personal. We help by keeping lookups inside your towing platform, limiting who can run them, logging access and cleaning up copies in spreadsheets and email. Your counsel should advise on notice requirements and permitted uses.
Our drivers take photos on their own phones. Is that a problem?▼
It's a big one for disputes. If photos stay in a driver's camera roll, they leave when the driver does, they can be deleted, and their timestamps are easy to challenge. Most towing platforms let drivers take photos inside the app so they attach to the call automatically. We set that up, enroll the device in management with a work profile if it's personally owned, and make sure company data can be removed when the driver leaves without touching their personal photos.
How do we keep dispatch running during a power or internet outage?▼
Layer it. Cloud-based dispatch and phones remove the single server in the office as a failure point. Then we add failover internet, usually cellular, and battery backup for the firewall, switch and dispatcher workstation. Phones can overflow to dispatchers' cell phones if the office loses everything. We also write a short plan for working from another location. The goal is that a storm or a cut line slows you down for a few minutes, not that calls ring through to the next company on rotation.
Can you help with motor club and police rotation portal access?▼
Yes. Motor club platforms and agency systems each have their own logins, and they're often shared among dispatchers or tied to one owner's email. We set up a business password manager, request individual accounts where the platform allows, turn on MFA wherever it's offered and remove access when staff leave. That way a phished dispatcher can't hand an attacker your motor club account, and you can show an auditor who accepted or closed each job.
Our release window PC has remote access software we didn't install. What should we do?▼
Treat it as a priority. Leftover remote tools from a former vendor or a past support call are a common way into small businesses, and the release window often handles card payments and owner data. We identify every remote tool on your machines, remove the ones you don't need, put approved support access behind MFA and logging, and lock the workstation down so staff can't install new software. If there's any sign it was misused, we investigate before cleaning up so evidence is preserved.
We run several yards. Can you put them all on one setup?▼
Yes. Multi-yard operators often end up with a different network, camera system and set of passwords at each location, especially after buying another company. We bring every yard onto the same setup: firewall and segmented network, managed devices, cloud phones with shared queues, standard camera configuration and the same dispatch roles. Dispatchers can cover for each other across yards, and you get one picture of IT health for insurers, agencies and motor club audits.
Do you provide Towing Companies IT Services in Houston and nearby areas?▼
Yes. LayerLogix is based in the Greater Houston area and delivers towing companies IT services to businesses across Houston and the surrounding communities, including The Woodlands, Spring, Katy, Sugar Land, Conroe, Cypress, and Pearland. For most Houston-area clients we can be on-site the same day when something needs hands-on attention, and our help desk is available during business hours, with after-hours emergency support. Call 713-571-2390 to check coverage for your specific address.
What does Towing Companies IT Services cost for a Houston business?▼
Pricing depends on your size and what you need, so we do not publish a one-size-fits-all number — but Houston businesses generally pay a flat, predictable monthly fee rather than surprise hourly bills. We start with a free, no-obligation assessment of your current setup, then give you a clear quote in plain English with no hidden costs. That way you know exactly what you are getting and what it costs before you commit.
